## **Trustees’ Annual Report for Thornbury u3a Sept 2021 to Sept 2022** 

## **The Objectives and Activities** 

Thornbury u3a (Tu3a) is a registered charity (number 1080095) constituted in 1999.  The Charity does not have a permanent address but for Charity Commission purposes, the address provided is that of the Treasurer in situ.  Currently this is 58, Hopkins Close, Thornbury, Bristol, BS35 2PX. 

Its purpose is the advancement of education and in particular the education of older people and those retired from full-time work, by means including associated activities conducive to learning and personal development in Thornbury and its surrounding locality. 

Thornbury u3a is operated as a collection of interest groups (people drawn from a common membership to follow a particular interest).  The interest groups are the primary means of satisfying the object of the organisation.   These groups have a large degree of operational independence, with the central committee (the Charity Trustees) responsible for :- 

- Ensuring the Groups have regard to the Charity Commission guidance on public benefit when planning their activities. 

- Providing recruitment and administration of the overall membership 

- Providing the establishment and support to the interest groups 

- Providing an internal communications hub 

- Providing events with a cross-group interest 

- Providing governance of the organisation 

## **Achievements & Performance 2021 - 2022** 

## _Open Meeting, Talks & other Activities_ 

Many Open Talks and Visits in 2022 had to be cancelled due to further waves of the Omicron variant of the Corona Virus that had caused the lockdowns during 2020/21.  However, an Open Talk by Sir Steve Webb, the former Minister of State for Pensions, was held on Zoom in February 2022 and one very successful Open Visit was held later in the year to the Steam Railway in Somerset. 

Our Family History Group participated in an event organised by the Charity “Jigsaw” for the public in Thornbury.  This was a demonstration of how to undertake Family History research and was held in the local Thornbury Library. 

## _Recruitment and administration of the overall membership_ 

Membership numbers have fluctuated during 2022.  Two very successful “New Members” meeting were held in March and October 2022.  Both resulting in between 20 and 30 new members joining our organisation and our membership now stand at 1600; still some 250 below the peak in 2019. 

## _Support to the interest Groups_ 

There are currently 79 interest groups within our organisation.  The new Groups, “Spanish” and “You On Your Own”, that started at the end of last year, are very well attended.  The Trustees have supported several Groups that have been hit by the effects of the pandemic which still impact the older generation.  In some cases, this includes financial aid to ensure these groups can keep running even when numbers drop below an economic level.  Unfortunately, several Group Leaders have stood down through health and age-related issues during this year resulting in the loss of several Groups.   A Leaders Lunch was held in Sept to recognise the hard work undertaken by our volunteer Group Leaders and enable the them to mix and exchange ideas on how to improve their organisations.  A short presentation was given by the Chairman on the state of the overall

organisation.  It focussed on the general reluctance on the part of the membership to come forward to run and support the Groups and also take on the responsibilities of the Committee. 

## _Financial Review_ 

The Financial Review is given in an associate document attached to this Report. 

## _Trustees_ 

The Charity is an Unincorporated Association with the Trustees being elected by the membership from the current membership.  Elections are held by ballot at the annual AGM in accordance with our Constitution.  The current Trustees are:- 

Norman Taylor (Chairman), Vacant (Vice Chair), Pat Wells (Secretary), Steve Hughes (Treasurer), Jackie Gitsham (Membership Secretary), Steve Wells (Beacon Administration), Mike Farquhar (Equipment), Don Grundell (Webmaster), Louise Ingsley (Group Co-ordinator), Sue James, Trevor Daniels. Overall, the Trustees believe Thornbury u3a can continue to be a successful and thriving organisation with strong finances and a friendly, helpful and supportive atmosphere.

## **Independent Examiners report to the Trustees of the Thornbury U3A on the accounts for the year ended 30 September 2022** 

I report to the trustees on my examination of the accounts of the Thornbury U3A for the year ended 30 September 2022. 

## **Responsibilities and basis of report** 

As the charity trustees of the Thornbury U3A, you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (“the Act”). 

I report in respect of my examination of the Thornbury U3A’s accounts carried out under s145 of the 2011 Act and in carrying out my examination, I have followed all the applicable Directions given by the Charity Commission under s145(5)(b) of the Act. 

## **Independent examiner’s statement** 

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in, any material respect: 

- Accounting records were not kept in respect of the Thornbury U3A as required by section 130 of the Act; or 

- The accounts do not accord with those records. 

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in order to enable a proper understanding of the accounts to be reached.
