STRUCTURE, GOVERNANCE AND MANAGEMENT
Governing Document
Southcourt & Walton Court Community Project is a company limited by guarantee, governed by its revised Memorandum and Articles of Association dated 16 July 2015. It is a registered charity with the Charity Commission. Any one over the age of 18 can become a member of the company. In the event of the company being wound up members are required to contribute an amount not exceeding £5.
Appointment of Council of Management
The Project is governed by a Council of Management consisting of volunteers who have past and present experience in business, management, education, and social work. The Council meets regularly to review the activities and finances of the Project. Members of the Council of Management serve a 3-year term of office and are elected at the annual general meeting.
The Council of Management also invites a representative from other organisations to participate in management meetings. These organisations are funding partners, advisory partners, or local charitable partners. Councilor Niknam Hussain has been appointed by Buckinghamshire Council to be their representative on our management committee.
Organisation Structure
The Project employs a part-time Play Manager who is responsible for the preparation and day- today running of the holiday play schemes. We employ a part time Deputy Play Manager and several sessional paid staff. The Deputy, sessional paid staff and volunteers report to the Play Manager. The Play Manager reports to the Council of Management and attends the management meetings.
Regulation
The holiday play schemes took place at Oak Green School up until February 2021 when we moved our setting to Ashmead School. Our setting is Ofsted registered and inspected. When we were based at Oak Green School, Ofsted graded us as ‘Good’ in February 2018. We look forward to a visit from Ofsted at our new setting. Our Ofsted Unique Reference Number is 2620091.

OBJECTIVES AND ACTIVITIES
Mission
The Project is committed to working with other local agencies and community organisations to support children living in the Southcourt, Walton Court and Mandeville estates, including children with disabilities or special needs. The Project aims to provide the best play services for these children that will improve their condition of life by promoting their physical, mental, and psychological wellbeing which should prevent them from experiencing social exclusion and/or developing anti-social behaviour.

Service Description
The Project provides holiday play schemes for children aged 4 – 11 years who primarily live in the Southcourt, Walton Court and Mandeville estates of Aylesbury. The Project does not have its own premises but operates play schemes from Ashmead School.

OBJECTIVES AND ACTIVITIES
Operating hours are: Morning session: 09:30 – 12:00 Lunch Session: 12:00 – 13:00 Afternoon session: 13:00 – 15:30 Extended day session: 08:30 – 17:30
ACHIEVEMENTS AND PERFORMANCE
Attendance
The social restrictions put in place by the government to hinder the spread of the COVID-19 pandemic were gradually eased throughout the spring/summer of 2021. This easing allowed us to be open more days, as in pre-pandemic years (43 instead of 25), and allowed us to invite more children into our venue each day. Total attendance was up 230% compared to last year and showed a 30% improvement compared to the previous pre-pandemic year.
During the year, twelve children with Special Educational Needs and disabilities were amongst our attendees. These children have been diagnosed with communication difficulties, Autism Spectrum Disorder, Attention Deficit and Hyperactivity Disorder, Asperger Syndrome and Oppositional Defiance Disorder, and sight impairment. Many of the days had at least two children attending who required additional support. All activities were planned to allow children of all abilities to participate.

ACHIEVEMENTS AND PERFORMANCE
Cost per session
Due to our strong current financial position, the Project’s management committee decided to maintain prices at the previous year’s level.
Play Activities
Easter holidays
Under new government guidelines we were able to accept children whose parents/carers needed to work, not just critical workers as previously. We still worked in bubbles with limited numbers, with priority given to local residents.
The activities for the Easter holidays were very hands-on craft, ranging from paper flowers, rainbow streamers, Easter craft, rock painting, and seed planting. We welcomed outside organisations to provide a circus skills workshop and sports activities.
Hot lunches were served, catering for all dietary needs. Some of the choices were jacket potato, cheesy pasta, and fish fingers.
May half term
This holiday was a little more relaxed regarding COVID guidelines and the numbers we could take. We invited Sublime Science to do workshops with the children. The children really enjoyed the different experiments and making slime to take home.
The children really loved using our new archery boards. Game On Sport joined us on the Friday to do different sports with the children.
Hot lunches were very popular with the children.
During Summer our themes were:
- Multicultural week – The children designed a diversity poster; drew pictures of the Eiffel Tower with pastels. The African drumming workshop was enjoyed by all.

ACHIEVEMENTS AND PERFORMANCE

Disney film week – The children made dragons from clay, treasure maps and snow slime. We took 40 children on an outing to Gulliver’s Land, and the remaining children were left at the school and made musical instruments and had take-away pizza as a treat.

Animal week – We had a visit from Zoolab and the children were able to hold/touch different animals. The children made paper plate animals, and spiders from playdough.
-
History week – From making Egyptian bread, clay Viking long boats, to World War 2 first aid practice, the children learned a lot and had lots of fun along the way.
October half term
All COVID restrictions were lifted, and we were able to be together as one large group. We had lots of spooky and magical fun from making Casper wands, brewing our own potions, having a Harry Potter style sorting ceremony, and a game of quidditch. We had a trip to Wendover Woods, where the older children took to the high ropes at Go Ape and the younger children enjoyed the Gruffalo trail, making full use of all the play equipment on the trail.
February half term
Emma Tegg started her role as Play Manager and was very grateful for all the support given by the staff, especially Lisa, Matthew, and Kirsten in answering all her questions.
Attendance was very good, however, due to staffing, we had a waiting list on a few days and unfortunately had to turn children away.
The children enjoyed making grass heads and shared pictures during the week to show how they were growing. We also went to the cinema to watch Sing 2, which the children really enjoyed, although a little tired from the walk on return. Another activity was for the children to make their own pizza for lunch. Game On was not able to visit as planned but two members of our staff, Andrew and L’Rhone, were able to provide a fun packed day of sport for the children.
We also had a visit from Aylesbury Town Council to present us with a cheque towards activities for the next year. It was lovely to meet the councilors responsible for making decisions about funding grants and the children were all well behaved.
All the new children that attended said they had a lovely time and would be returning for the next holiday club.

ACHIEVEMENTS AND PERFORMANCE
Staff
We said goodbye to our Play Manager, Lucy Mayhew, and Deputy Play Manager, Matthew Braybrook, who stepped down from their roles this year. We wish to express our thanks to them and their team of play workers for their dedication, hard work, and creativity. We welcomed Emma Tegg as Play Manager and Lisa Alvarez as Deputy Play Manager into their new roles from February 2022. Both Emma and Lisa have been staff members with us and have a wealth of experience working with children.
Fund Raising
Due to the COVID-19 pandemic, we were not able to use the funding we received in 2020 for our originally proposed activities. Buckinghamshire Council agreed that we could reallocate some of their funding for our 2020 lockdown activities and for the balance to be used in 2021-2022. The funding received from Vale of Aylesbury Housing Trust was allowed to be carried over to 2021-2022 and 2022-2023. The promised funding from Buckinghamshire Freemasons was also carried over to 2021-2022. The combination of these grants enabled the play scheme to provide free lunches and snacks, a variety of activities, and an outing to Gulliver’s Land in 2021-2022.
We continue to identify funding organisations and submit applications throughout the year.
Marketing and Media
Our Facebook presence continues to be very effective in communicating with families who use our play schemes and attracting new families. Our Facebook account now has over 500 likes and followers! Council of Management
At present, the Council of Management has 4 trustees, the Play Manager, the Marketing Officer, and the Buckinghamshire Council representative. We welcome any individuals or organisations who share our concern for the children of Southcourt and Walton Court to apply to join our management committee to support the provision of high-quality affordable play services.

FINANCIAL REVIEW
2021-22 was a recovery year for the South Court and Walton Court Community Project and the Go Play playschemes after the restrictions of Covid.
We were able to cater for increasing numbers of children as the restrictions eased and this led to an
increase in fee income but also an increase in costs, particularly salaries. Salary costs increase annually in line with the National Living Wage legislation and in terms of the number of staff to look after the increased number of children and the provision of lunches. The net result for 2021-22 was a deficit of £12,497.
It should be noted that we have not increased the fees payable by parents and carers.
In terms of our cash reserves, we ended the year with a positive balance of £56,992 cash at bank. This is mainly due to donors paying monies early into our account to support our 2022-23 activities.
A major change for the Go Play playschemes was the relocation to Ashmead School. This has provided the children with enhanced facilities and is a good foundation for the future. The actual costs of this move were minimal as staff and volunteers undertook most of the work involved. The rental cost of the new facilities is the same as the previous venue.

Thanks also to Ashmead School for welcoming us to their school premises and for storing our learning materials.
THE FUTURE
The Project has been operating in the Southcourt and Walton Court community for over 30 years and has grown and adapted to change thanks to the dedication of past and present staff and management committee members. The increased economic hardship our communities have been experiencing lately due to global events such as the pandemic, means that our play scheme provision is even more important to families. As a management and staff team, we will continue to focus on providing affordable high quality play services for children living in our target areas of Southcourt, Walton Court, and Mandeville estates.

I report to the charity trustees on my examination of the accounts of the Company for the year ended 31 March 2022.

1. STATUTORY INFORMATION
TheSouthCourtAndWaltonCourtCommunityProjectisanincorporatedcharity,limitedbyguarantee, registered
inEnglandandWales.Thecharity'sregisterednumberandregisteredofficeaddresscanbefoundinthe Report
of the Trustees.
2. ACCOUNTING POLICIES
Basis of preparing the financial statements
Thefinancialstatementsofthecharitablecompany,whichisapublicbenefitentityunderFRS102,have been
preparedinaccordancewiththeCharitiesSORP(FRS102)'AccountingandReportingbyCharities:Statement of
RecommendedPracticeapplicabletocharitiespreparingtheiraccountsinaccordancewiththeFinancial Reporting
StandardapplicableintheUKandRepublicofIreland(FRS102)(effective1January2019)',Financial Reporting
Standard102'TheFinancialReportingStandardapplicableintheUKandRepublicofIreland'andthe Companies
Act 2006. The financial statements have been prepared under the historical cost convention.
Inpreparingthefinancialstatements,thetrusteesarerequiredtomakeanassessmentoftheabilityof the
charitytocontinueasagoingconcern.Thetrusteeshavepreparedacashflowforecastandbudgetsfor the
charityandagainstthebackdropoftheCOVID-19Pandemica"reversestress"testhasbeenappliedto the
forecasts,seekingtoestablishthelevelofliquidityheadroomthecharityisexpectedtohaveduringthe12 month
going concern period.
Onthebasisoftheseforecastsandthefactthatthecharityhassubstantialnetcurrentassetsandnetassets, the
trusteesareconfidentthatthecharityhasadequateresourcestocontinueinoperationalexistenceandto meet
itsliabilitiesastheyfallduefortheforeseeablefuture.Asaresultoftheabove,thetrusteeshaveconcluded that
it remains appropriate to adopt a going concern basis of preparation in these financial statements.
Income
AllincomeisrecognisedintheStatementofFinancialActivitiesoncethecharityhasentitlementtothefunds,it is
probable that the income will be received and the amount can be measured reliably.
Expenditure
Liabilitiesarerecognisedasexpenditureassoonasthereisalegalorconstructiveobligationcommitting the
charitytothatexpenditure,itisprobablethatatransferofeconomicbenefitswillberequiredinsettlement and
theamountoftheobligationcanbemeasuredreliably.Expenditureisaccountedforonanaccrualsbasisand has
beenclassifiedunderheadingsthataggregateallcostrelatedtothecategory.Wherecostscannotbe directly
attributedtoparticularheadingstheyhavebeenallocatedtoactivitiesonabasisconsistentwiththeuse of
resources.
Taxation
The charity is exempt from corporation tax on its charitable activities.
Fund accounting
Unrestricted funds can be used in accordance with the charitable objectives at the discretion of the trustees.
Restrictedfundscanonlybeusedforparticularrestrictedpurposeswithintheobjectsofthecharity. Restrictions
arise when specified by the donor or when funds are raised for particular restricted purposes.
Further explanation of the nature and purpose of each fund is included in the notes to the financial statements.
Government grants
Inaccordancewiths24ofFRS102thesearetreatedusingtheaccrualsmodelandsoarerecognisedin income
onasystematicbasisovertheperiodsinwhichthecharityrecognisestherelatedcostsforwhichthegrants are
intended to compensate.
