Objectives and activities

a. Policies and objectives

The Trustees present their annual report together with the financial statements of the British Society for Gynaecological Endoscopy Trust for the year 1 January 2024 to 31 December 2024� The trustees confirm that the Annual report and financial statements of the charity comply with the current statutory re�uirements, the re�uirements of the charity�s go�erning document and the pro�isions of the Statement of Recommended Practice (SORP), applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the United Kingdom and Republic of Ireland (FRS102)�

In setting objecti�es and planning for acti�ities, the Trustees ha�e gi�en due consideration to general guidance published by the Charity Commission relating to public benefit and in particular to its supplementary public benefit guidance on the ad�ancement of education�

b. Activities undertaken to achieve objectives

The main acti�ities undertaken to achie�e the charity�s objecti�es are the organisation of courses and training acti�ities for the ad�ancement of gynaecological endoscopy� These courses are a�ailable to members and nonmembers of the society�

c. Grant-making policies

Grants are pro�ided to indi�iduals who are seeking funding for the opportunity to study and learn first-hand the gynaecological endoscopy techni�ues used in the UK and abroad�

a. Review of activities

In 2024 we had our regular face to face�hybrid meetings�courses�

The Officers and Council ha�e endea�oured to maintain and deli�er the Charitable aims of BSGE�

1� Awards and Bursaries� The BSGE Clinical Research Grant is a�ailable to all members of the BSGE twice a year up to a limit of �3,000 per round� The annual sum set aside for bursaries and fellowships is �30,000 and continues to be utilised by the membership with one third allocated o�er 2 rounds� Apart from the Alan Gordon Fellowship, which is still only a�ailable once a year, there are two rounds of applications for fellowships and bursaries throughout the year, which has made them more flexible and accessible to the membership� These are a�ailable across the 3 membership categories� Consultants�SAS, Trainees and Nurses� In time we hope to add further flexibility to the use of awards such that if an award is not gi�en in one category that amount can be used in another category if the criteria is met and there is Merit in the submission�

The following are a�ailable to BSGE members�

2� BSGE Website� The website helps fulfil one of our charitable aims by increasing access for educational purposes to our members and the public at large� The main website has been an essential part the Society this year, allowing us to communicate with our members and pro�iding information regarding upcoming webinars, courses and conferences, with any changes as they occur� In addition, the site contains links to related noteworthy articles, jobs and the society�s newsletters� Our relationship with our website pro�ider Akiko is ongoing� The new website was launched in 2023 although ongoing impro�ements and content are being added continuously�

3� The Video Library is an additional educational resource for the members� Videos are an essential learning resource for endoscopic surgeons and to encourage submission to this library, prizes are awarded annually for the best submissions in addition to those awarded in the �arious categories at the Annual Society Meeting�

4� The Society usually organises a number of academic and educational meetings�

�� International links� The Society has maintained close relationships with other similar academic Societies particularly the European Society for Gynaecological Endoscopy (ESGE) and the American Association of Gynaecological Laparoscopists (AAGL)� As corporate members of ESGE our members contributed to their conference offering in 2023 (Brussels)� As associate members of the AAGL our president (or a BSGE council member on their Behalf) usually attends their annual meeting in person� Our members also ha�e electronic access to their journal and recei�e the AAGL electronic exchange forum if they wish�

6� Guidelines� The Society acts as the professional organisation in the UK pro�iding guidance and peer opinion on matters relating to gynaecological endoscopy and endoscopic surgery� The Society works closely with the Royal College of Obstetricians and Gynaecologists (RCOG) and other national organisations to produce joint National guidance�

7� Endometriosis� The BSGE accreditation of UK Endometriosis Centres which ha�e met the standards laid down by the BSGE is ongoing� A �uality Assurance programme organised by National Health England, has now undergone stakeholder re�iew� Additional work is still ongoing�

8� ASM� A successful ASM was run in Belfast 2024� This was well attended by our members� Sessions were interacti�e and excellent feedback was gi�en�

9� Training� RIGS has continued to pro�ide support to our trainee members through the RIGS HUB National Training programme� Sessions were ran in �arious deaneries throughout the year followed by webinars to compliment the programme�

10� GESEA� This remains a BSGE programme franchised from the ESGE�

11� Data Go�ernance� The outsourcing of GDPR monitoring and the function of Data Protection Officer to the Society is by E�alian� We ha�e strengthened data protection for the Society and members as a whole� Ongoing support by E�alian will continue�

12� Communications� Directed email, the Website, Twitter and Facebook are ongoing� Our dedicated digital magazine �The Scope� continues to pro�ide a useful resource for our members� The Webinars�podcasts continue to enhance our links with our members and the wider Gynaecological Endoscopic Community and ha�e been free to all following registration� Recordings are a�ailable on our Website�

BSGE Council Meetings take place 3-4 times a year ((�irtually and in person) and Officers meetings by Zoom on a more regular basis�

Income recei�ed by the charity has been used to ad�ance the education and knowledge of gynaecological endoscopy�

Financial review

a. Going concern

After making appropriate en�uiries, the Trustees ha�e a reasonable expectation that the charity has ade�uate resources to continue in operational existence for the foreseeable future� For this reason, they continue to adopt the going concern basis in preparing the financial statements� Further details regarding the adoption of the going concern basis can be found in the accounting policies�

b. Reserves policy

The charity holds no assets, thus all funds held by the Society are a�ailable as cash at short notice�

At the year end, the charity�s reser�es were all unrestricted and will be used to ensure that the charity can meet its growing training and course commitments in the future�

c. Principal funding

The charity recei�es most of its funding from annual membership fees and conference course income� This income has been used to facilitate the organisation of the courses and co�er in the administration costs of the society�

Structure, governance and management

a. Constitution

British Society for Gynaecological Endoscopy Trust is a registered charity, number 1077892, and is constituted under Trust Deeds dated May 1999 which were supplemented in September 1999 and amended in December 2007, April 2010, 2018, 2023 and 2024� Further amendments may take place in 202��

b. Methods of appointment or election of Trustees

The BSGE Council acts as the Trustees of the charity� The elected members of the Council are trustees of the BSGE� Elections to the BSGE Council are re�iewed on a regular basis�

Elected representati�es should ser�e no more than three years unless elected as an Officer of the Society�

Elected Council membership is open to all members of the society with fully paid current subscriptions, with candidates for election to the Council being proposed by two sponsors�

An election is carried out prior to the AGM being a�ailable to e�ery annual member and honorary fellow�

Elected Council members take office at the Council meeting following the AGM�

c. Organisational structure and decision-making policies

The main organs of the society are the BSGE Council and the Annual General Meeting� he BSGE Council are responsible for the day to day management of the affairs of the charity�

This includes establishing the annual budget and determining the best use of a�ailable funds� It shall also determine the renting of premises and other needs suitable for the re�uirements of the society�

All agendas and minutes of the Council are sent to the Trustees�Council members for re�iew�

d. Policies adopted for the induction and training of Trustees

Newly appointed trustees�Council members are pro�ided with copies of the charity�s Trust Deeds and the pre�ious year�s �Trustees Report and Financial Statements�� There is an oral induction dealing with the history and objecti�es of the charity�

Newly appointed trustees are inducted into their responsibilities and duties under Charity Commission regulations on the basis of Charity Commission publications�

Ongoing trustee de�elopment takes place at each meeting of the BSGE Council and Board of Trustees�

STATEMENT OF TRUSTEES' RESPONSIBILITIES FOR THE YEAR ENDED 31 DECEMBER 2024

The Trustees are responsible for preparing the Trustees� report and the financial statements in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice)�

The law applicable to charities in England � Wales re�uires the Trustees to prepare financial statements for each financial which gi�e a true and fair �iew of the state of affairs of the charity and of its incoming resources and application of resources, including its income and expenditure, for that period� In preparing these financial statements, the Trustees are re�uired to�

The Trustees are responsible for keeping ade�uate accounting records that are sufficient to show and explain the charity�s transactions and disclose with reasonable accuracy at any time the financial position of the charity and enable them to ensure that the financial statements comply with the Charities Act 2011, the Charity (Accounts and Reports) Regulations 2008 and the pro�isions of the Trust deed� They are also responsible for safeguarding the assets of the charity and hence for taking reasonable steps for the pre�ention and detection of fraud and other irregularities�

1. General information

The British Society for Gynaecological Endoscopy Trust is unincorporated and recognised as a charitable trust by the Charity Commission� The address of the registered office is Royal College of Obstetricians � Gynaecologists, 10-18 Union Street, London, SE1 1SZ� The principal objecti�e of the Trust is the organisation of courses and training classes on the ad�ancement of gynaecological endoscopy�

2. Accounting policies

2.1 Basis of preparation of financial statements

The financial statements ha�e been prepared in accordance with the Charities SORP (FRS 102) - Accounting and Reporting by Charities� Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effecti�e 1 January 201�), the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) and the Charities Act 2011�

The financial statements ha�e been prepared to gi�e a �true and fair� �iew and ha�e departed from the Charities (Accounts and Reports) Regulations 2008 only to the extent re�uired to pro�ide a �true and fair� �iew� This departure has in�ol�ed following the Charities SORP (FRS 102) published on 16 July 2014 rather than the Accounting and Reporting by Charities� Statement of Recommended Practice effecti�e from 1 April 200� which has since been withdrawn�

British Society for Gynaecological Endoscopy Trust meets the definition of a public benefit entity under FRS 102� Assets and liabilities are initially recognised at historical cost or transaction �alue unless otherwise stated in the rele�ant accounting policy�

2.2 Income

All income is recognised once the charity has entitlement to the income, it is probable that the income will be recei�ed and the amount of income recei�able can be measured reliably�

Other income is recognised in the period in which it is recei�able and to the extent the goods ha�e been pro�ided or on completion of the ser�ice�

2.3 Expenditure

Expenditure is recognised once there is a legal or constructi�e obligation to transfer economic benefit to a third party, it is probable that a transfer of economic benefits will be re�uired in settlement and the amount of the obligation can be measured reliably� Expenditure is classified by acti�ity� The costs of each acti�ity are made up of the total of direct costs and shared costs, including support costs in�ol�ed in undertaking each acti�ity� Direct costs attributable to a single acti�ity are allocated directly to that acti�ity� Shared costs which contribute to more than one acti�ity and support costs which are not attributable to a single acti�ity are apportioned between those acti�ities on a basis consistent with the use of resources� Central staff costs are allocated on the basis of time spent, and depreciation charges allocated on the portion of the asset�s use�

Expenditure on charitable acti�ities is incurred on directly undertaking the acti�ities which further the charity�s objecti�es, as well as any associated support costs�

2.4 Debtors

Trade and other debtors are recognised at the settlement amount after any trade discount offered� Prepayments are �alued at the amount prepaid net of any trade discounts due�

2.� Cash at bank and in hand

Cash at bank and in hand includes cash and short-term highly li�uid in�estments with a short maturity of three months or less from the date of ac�uisition or opening of the deposit or similar account�

2.� Liabilities and provisions

Liabilities are recognised when there is an obligation at the balance sheet date as a result of a past e�ent, it is probable that a transfer of economic benefit will be re�uired in settlement, and the amount of the settlement can be estimated reliably�

Liabilities are recognised at the amount that the charity anticipates it will pay to settle the debt or the amount it has recei�ed as ad�anced payments for the goods or ser�ices it must pro�ide�

Pro�isions are measured at the best estimate of the amounts re�uired to settle the obligation� Where the effect of the time �alue of money is material, the pro�ision is based on the present �alue of those amounts, discounted at the pre-tax discount rate that reflects the risks specific to the liability� The unwinding of the discount is recognised in the statement of financial acti�ities as a finance cost�

2.7 Financial instruments

The charity only has financial assets and financial liabilities of a kind that �ualify as basic financial instruments� Basic financial instruments are initially recognised at transaction �alue and subse�uently measured at their settlement �alue with the exception of bank loans which are subse�uently measured at amortised cost using the effecti�e interest method�

2.8 Operating leases

Rentals paid under operating leases are charged to the statement of financial acti�ities on a straightline basis o�er the lease term�

2.9 Fund accounting

General funds are unrestricted funds which are a�ailable for use at the discretion of the Trustees in furtherance of the general objecti�es of the charity and which ha�e not been designated for other purposes�

Restricted funds are funds which are to be used in accordance with specific restrictions imposed by donors or which ha�e been raised by the charity for particular purposes� The costs of raising and administering such funds are charged against the specific fund� The aim and use of each restricted fund is set out in the notes to the financial statements�
