## **ABOUT US AT LANGLEYBURY CHILDREN’S FARM** 

## **Background** 

Langleybury Children’s  Farm is a Registered Charity, governed by a constitution dated 17[th] January 1999. The Charity was registered on 20[th] October 1999. Originally the Farm operated as part of Langleybury School Association, the school’s PTA. Despite the closure of the School in 1996 the Farm continues to operate. We still have 3 committee members who attended the school. 

## **Objectives** 

The objectives are 

1. The advancement of Education of children and young people in farming Technology and the Rural Environment. 

2. The provisions of facilities to the General Public for recreation and leisure time 

   - occupation. 

3. The farm provides educational facilities to local community groups, schools and learning disability groups 

## **Governing Body** 

The Executive Committee consists of 5 members. 

At the Annual General Meeting , a Chairperson, Secretary and Treasurer are appointed for the forthcoming year.

## **TRUSTEES REPORT** 

Hello, and welcome to the latest annual report from our charity. Last year it was COVID that we were discussing and how the charity would continue to move forward. 

This year our schools, our families, indeed the charity itself faces considerable challenges because of the cost-of-living crisis. However, and through this crisis, we will do all that we can to make sure that the Community Groups and General Public still have access to all our facilities by not increasing any of our prices. 

Our landlords, The Ralph Trustees, continue to support and permit the farm to run with minimal intervention from them, but as I write this we have just had a meeting with our landlord Chris Andrews who has given us some exciting news. The farm will be moving to a new site with a echo-friendly purpose built facilities. 

Being British we are of course subject to the vagaries of our weather, but income from admissions, shop and farm sales are up year on year. 

Again our Genera Reserves are still more than adequate for our future needs, and our objective is to continue to reinvest our profits in improved facilities when needed and provide a pleasant, safe and enjoyable environment for our visitors 

Once again we extend our grateful thanks to Iain and all the volunteers who help to maintain and run the farm for the benefit of all our visitors. Each and every one of the team contributes to the success of the farm.

Langleybury Childrens Farm AGM Minutes On January 30th 2023 

Present: Kim Tyler, Iain Burrowes, Jeanette Martins, Tara Burrowes, Ella Trevillion, Claire Twomey, Darren Martins and Lilly Martins 

Apologies: Theresa, Peter and Naveah 

The meeting commenced at 6:15pm 

Chairman welcomed and ran through the previous year’s highlights and thanked everyone for their hard work and commitment to the smooth running of the farm. 

Kim went back over the last AGM notes and looked back at the unfortunate event of the digger being stolen. We were  able to claim through our  insurance. This did mean the work had to be completed by hand, thank you Iain and Darren for all your hard work to completing the Zip wire for our opening. 

We also managed to get many of the jobs done that was discussed at our last AGM meeting such as : 

- Hedge on the drive – thanked Iain 

- Field beside the drive – thanked Iain 

- Football pitch reseeded – thanked Iain 

- New warren floor (pets corner) - thanked Iain 

- Trees donated by the Grove was planted all over the farm from the     Jubilee. 

• Kim Thanked Darren and Iain for sorting out the new path in the picnic area and putting in the zipwire which has proven very popular with our visitors. 

- Thanked Darren, Jeanette and Iain for getting the peafowl and suitable/lovely 

- home for them but sadly we lost 2 of them. 

• Kim thanked Claire for sorting out the outside undercover area of the shop, it was well received and noticed by many of our customers. This area will be used for the upcoming parties that we have previously discussed. 

• Kim also noted that we got a new display fridge, ice cream freezer and air conditioning unit for the shop. All have been a success especially due to the heatwave we had in the summer. 



• Kim thanked Tara for setting up the new website and booking system which seems to be working well with our two sessions again (11-1.30 and 2.30-5pm). The system worked well as we could update and shut down the system as and when needed i.e. staffing, weather and events. 

• We also have had a success with re instating our free school visits and Kim thanked Jeanette for arranging. We also had regular visits from St Pauls Primary School every other week. Who have been helping around the farm with jobs such as donkey poo picking, leaf picking, cleaning out the guinea pigs etc. 

In September a film shoot took place which brought in a big revenue and Kim thanked Iain for sorting it out. 

Kim was grateful and thanked Naveah who is a new volunteer who has been coming up regularly and helped out a lot with day to day tasks around the farm such as feeding, cleaning out the guinea pigs and donkey grooming. 

Kim thanked Jeanette for over the treasurer role and sorting out the accounts which has got up to date. Kim and Jeanette will need to look at a new system for the red tin and will meet up on a separate occasion to discuss. 

Donkey news: Scout had the snip back in April and we had regular visits from the farrier and also a donkey dentist appointment which will be due again soon. Kim spoke to Claire and Ella about this. 

Finally a big surprise when Chris Andrews contacted Kim for a cup of coffee and spoke about the re allocation of the farm down to the lower field. We found out we will still be able to keep the wood where the zipwire and pigs are kept. Kim thanked Iain for sorting out the repositioning and location for the new farm shop for better heat and light, hopefully this will be approved. Kim, Iain and Jeanette met up with Chris Andrews regarding planning proposals and was asked to do a letter of recommendation stating the farm approved of the new plans. Chris should hopefully get back in touch in March and will keep us informed. 

We ended the season at the end of October with a successful end of season Halloween event that was enjoyed by all. 

## Treasures Report 

Jeanette discussed the years figures and pointed out the larger transactions and what a successful year we have had. Please see the report attached. Jeanette also discussed that we will need to have an increase in our shop products as they are more expensive to purchase. Jeanette also made and gave out a shop survey that looked at our top 5 chocolate bar/sweets/confectionary so we can look to narrow down our selection to ;avoid wastage. 

The committee was also in agreements to purchase a laptop for Jeanette to help with her treasurer role and farm admin. 



## Iain – Farm Manager 

Thanked everyone for their commitment and hard work to the farm and staying loyal during the new up and coming phase to the farm. He said a lot of work has been completed and now we should look to be maintaining our current state rather than updating as we only have a predicted 2 seasons left until the move. Iain also mentioned that we will be changing our veterinary practise as they no longer will be practising our larger farm animals. 

Iain also would like to sort out the pig fencing as it needs updating and this is an area that the farm will still use with the new move. The pigs this year are more expensive and he is in discussions with other local businesses to sort out the best option and will keep us informed. 

Iain predicted that one of our donkeys may be pregnant and the committee discussed our options as 5 donkeys could be a lot of work and we may have to consider rehoming 1 or 2. 

Iain put forward that he would like a soil analysis to look at the lower fields where the farm would be moving to and will keep us updated. 

Iain mentioned that after the electric survey (before we found out about the move) that we still some checks to be done to insure a safe workplace and farm for the rest of our duration. 

Admin/Socials - Tara, Claire and Ella 

Everyone agreed how well the new website was running and Tara is happy to continue overseeing/looking after it. We decided on opening and closing dates to get social media awareness of when we are opening and Tara can plan when to open the booking sheet. Our social media posts had reached over 1,000 views and we are getting more interaction and more new followers. Claire and Ella are happy to assist Tara.

## Other Business 

Dates for diaries Saturday 1st April 2023 open for Easter holidays and will look nearer the time at doing an Easter event. Last day of opening Saturday 28th October 2023 and will end with our Halloween/end of season event. 

Work parties/get ready for opening in March to before we open, we aim to do 2 days and get as many of our volunteers to come along and help. 

The committee discussed childrens birthday parties as this has been highly requested by our visitors in the last season. It is something we are looking at revisiting as this this would be a good source of income to the farm. The committee will hold another separate meeting to discuss in more detail. 

Party Ideas included: 

- Prices yet to be confirmed 

- Wristbands – suggested by Darren 

- Dedicated undercover area 

- Booking via the website. This could be less hassle for volunteers and an easy 

- booking system for guests – suggested by Claire 

- Waiver form – suggested by Claire 

- 1st come 1st serve basis 

- Small bucket of feed included ? 

- We briefly looked at competitors and what they was offering 

The coffee machine needs a good clean and water filter change before opening. 

Darren said he was not going to buy any more birds or rehome any more tortoises due to move. Darren has said he has to step back a little as family and work commitments are full on at the moment. 

We also discussed about selling our manure. 

We have had some really good weather this year but a little too hot so this did keep our entrances down. We made large ice cubes for the donkeys and rabbits which they appreciated. 

We will be sending out a email to all our volunteers and workers to see if they are still available for our next season.

I report to the charity trustees on my examination of the accounts of the charity for the year ended 31 October 2022 which are set out on pages 3 to 4. 

## **Responsibilities and basis of report** 

As the charity's trustees you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 ("The Act"). 

I report in respect of my examination of the charity's accounts carried out under section 145 of the Act and in carrying my examination, I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act. 

## **Independent examiner's statement** 

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect: 

- (i) accounting records were not kept in respect of the charity as required by section 130 of the Act; or 

- (ii) the accounts do not accord with those records.
