 Currently there is a small fenced off area, there is a larger piece of land behind this, asked the Town Council if we can section off part of this with a temporary fence (Photo shown on Zoom), granted formal permission by the council.

Treasurer’s Report for AGM – 29th March 2021

The Accounts for the financial year 1st February 2020 to 31st January 2021 have been audited by an Independent Examiner of Accounts, as required by the Scout Association and the Charity Commission. The accounts were Approved by the Group Executive Committee on 24th February 2021 and are now presented for Adoption by the 3rd Bramshill Group Scout Council at the AGM.

INCOME

Due to the pandemic, sadly we were unable to hold any fundraising events this year. We also received very little revenue from Hall users as, for the majority of the year, the hall was not in use. We were however fortunate to receive grants from Hart District Council, Hampshire County Council and Yateley Town Council, which means that our accounts have remained healthy.

Our INCOME was £32,214 (£36,712 the previous year).

This includes:

£1,581 from our Hall users and Lettings.

£3,460 retained from Subs.

£244 raised from the Easy Fundraising portal and Hart Lottery

£20,311 Grants

GIFT AID was claimed for the years 2018/19 and 2019/20. This totalled £5,471. This makes a huge difference to our income. Therefore, if you are a Taxpayer and have not added your details onto the OSM system, please take a minute to do so.

EXPENDITURE

The expenditure was much less than last year for two reasons. We did not have an extension to build this year (although some funds were used to finish electrics, flooring etc). Secondly much more limited Scouting activities took place.

Our EXPENDITURE was £13,061 (£70,470 the previous year).

Running costs included:

£6,517 Hall Costs, including utilities, insurance, maintenance and cleaning.

£816 for Badges

£287 for Admin, including Online Scout Manager Subscription and OS Subscription.

£3,598 Group Expenditure (mainly the first instalment for the new fencing).

ACTIVITIES

£359 was spent on activities, this was mainly for supplies for Zoom activities.

£503 was paid towards the Canoe Club. £300 of this was storage costs, but it is expected that the remainder will be carried over, as no actual kayaking took place.

The Capitation Fee is the money that we pay for each member, towards the running of District, County and National Scout Associations. This year it totalled £4,620 (£5,299 last year).

The End of Year account balance was £48,601 (£29,447 at the start of the year). This appears to be healthy, but we need to bear in mind that our income is likely to be lower than usual this coming year. We still have a Lodge to maintain and a programme to run, whether on Zoom or in person.

This figure has already dropped substantially, as already this new financial year £7,486 has been spent on the new outside fencing needed to help return to safe face to face meetings. Also £6,324 Capitation fees have been paid for this current year. In addition, there are lots of plans in discussion to improve the building, to finish fitting out the extension, update security to include CCTV and a new front door, decorating and improving sound acoustics in the main hall to name a few.

Chair Report 2020-2021

2020 saw me complete my third year as Chair. It was clearly a year like no other. Sadly, there was little face-to-face scouting, and the camps and rich programme of activities of previous years was suspended.

Notwithstanding, thanks to the commitment and dedication of the section leaders, we were able to provide virtual scouting. For many youths this provided a welcome distraction from homeschooling and provided an element of normality and routine into the lives of many. The leaders responded over the year and when we were able to return to some face-to-face scouting we did, and they also quickly pivoted back to virtual Scouting when the third lockdown hit in January.

The executive committee met (virtually) regularly over 2020-2021. We discuss a range of things, from fundraising and accounts; to the activities that Beavers, Cubs and Scouts take part in. Clearly the meetings last year were dominated by our response to the Covid pandemic and how to return to Scouting safely.

We asked for your views on Scouting outdoors. Thanks to those of you who responded. Sadly, we were not able to make use of the weather-related answers, because we were forced back into virtual scouting. If the end of 2021 closes in the same was as 2020, we will think about the impact of bad weather in line with your preferences. A number of you highlighted skills that might help improve the Scout hut and other facilities, as well as with some sessions. Now that we can return to face-to-face Scouting, we will be asking all of you who put your hands up to support us, if you can. A few hours of time can make a huge difference.

2020 did bring significant challenges. For 3[rd] Bramshill it continues to cause two ongoing concerns. One is fundraising. Much of our fundraising takes place at face-to-face events (such as the May Fayre). These were cancelled last year. Fortunately, we were able to obtain grants, but the future still looks uncertain, so if anyone has any ideas for virtual fundraising events, please do let us know. Perhaps you would like to give up an evening to run a virtual bingo session? Maybe you could organise an online quiz? All ideas and support welcome.

The second challenge is parent helpers. When face-to-face Scouting returns in April we will continue to run with bubbles. This means we need more help than usual. If you are able to spare a few evenings over the year, please let your leader know. Your help in assisting at even a few sessions would be much appreciated. It might even make the difference between an evening being able to go ahead or not.

Hall Manager Report 2020-2021

The Hall is well utilised. 3rd Bramshill Beavers, Cubs and Scouts hold their meetings in the hall throughout the weekday afternoons and evenings. In addition, 1st Yateley Rainbows, 7th Yateley Brownies, 4th Yateley Guides, TEDS dance school and Gateway Fellowship also hire the facilities during the weekday evenings and weekends, although during Covid restrictions these groups have been unable to meet at the hall.

The hall is also available for hire to the public / other clubs for events and meetings, however these are infrequent at present. There is availability for the hall to be hired during school hours and school holidays, and as Covid restrictions are lifted, the possibility to increase the hall’s use during these times will increase.

COVID-19 update: Please note that the hall is available for bookings, but users must now follow strict Covid-19 guidelines.

Recently, there have been improvements made to the lodge. The main hall has been decorated and there are plans to update the hall, kitchen and toilet facilities. We also hope to replace the internal and external doors and enhance the main hall acoustics. We have secured council approval to temporarily extend the fenced-in area to the rear of the lodge. The fencing is now complete and we are in the process of making good the outside space and landscaping. We believe this will be a huge benefit to all hall users particularly moving into the summer months.

I am pleased to report building works for phase 1 of the extension project are almost complete. Health and safety procedures have been evaluated and will continue to be evaluated and updated regularly as the works reach completion. Plans for the extension can be found on the 3rd Bramshill notice board in the entrance hallway. Phase 2 requires more fund raising, details of how to help fundraise are also on the notice board.

Covid-19 Report

To allow us and other groups to continue with a rich and enjoyable face to face programme for the children the committee approved a new Hall Usage Policy, Lodge Risk Assessment and individual Risk Assessments for each group and activity that will take place. These have been updated to include the Government and Scouting guidance with respect to Covid-19. The main points to note are the new one-way system through the lodge, hand sanitisation stations at entrances / exits, temperature check of children on arrival and the children and leaders being placed into cohorts (bubbles). After each group meeting all contact points are thoroughly cleaned in readiness for the next group meeting. We would like to take this opportunity to thank the parents and carers for their support during this time. All hirers of the hall also have to adhere to the new policies, cleaning schedule and have their risk assessments approved prior to commencing hire.

More specifically to Scouting, for physical meetings, cubs and scout sections are currently subdivided into cohorts of maximum 15 youths. Each cohort arrives and leaves at a different time and is kept separate from each-other throughout the meeting, each individual is temperature checked and supervised while they sanitise their hands. While at the meeting youth are always reminded to maintain social distance. We hope to be able to camp this summer and are currently reviewing precamp testing options for all attendees to further secure this event and provide peace of mind to parents.

Group Scout Leader (GSL) Report 2020 - 2021

This year will be the second of our online Annual General Meetings although we do hope it will be our last as we would much prefer to welcome you all to our Scout Lodge. An AGM is necessary every year to meet our obligations under the Charity Commissions rules and to present our accounts.

We have an elected Executive Committee that manages the Groups affairs which leaves our Scouting Leaders’ free to run the Scouting programme for the Beavers, Cubs and Scouts. Offers of help to serve in an Executive or Scout Leader role are always gratefully received.

With 3 Beaver Colonies and 2 Cub Packs and 1 Scout Troop there are over 100+ youths in our Group which gives us a practical problem to deliver and sustain a quality programme. Clearly our aims to offer an exciting programme are being achieved as youth numbers continue to grow. Again, this last year our committee, under the leadership of Claire Rason as Chairperson has been very proactive to ensure the survival of our Group. I would like to state that we Leaders hugely appreciate their endeavours. I would like to personally thank them all for their efforts and support to us Leaders.

Our three Beaver Colonies (2 on Tuesday and 1 on Wednesday) are run by Julie PhillipsStafford (Mole), Paul Woodford (Squirrel) and Wayne Hooper. On Tuesday for the Forest Colony, Mole is assisted by Squirrel, James (Wolf) and for some of the time Hedgehog. Squirrel runs the other Tuesday Colony; Copse and he is assisted by Mole. Our Wednesday Colony, Woodlands is run by Wayne Hooper (Falcon) and he is assisted by Mole and Jude as a Sectional assistant.

Ian Puttock is our Thursday Cub Scout Leader (Akela) and he is assisted by Assistant Cub Scout Leaders Richard Cole, Nick Cutbill, Susan Sabatakakis and since the September of last year Sam Puttock.

Paul Ruddick is our Tuesday Cub Scout Leader (Akela) and he is assisted by Assistant Cub Scout Leaders, Chris Cole (Bagheera) and Rebekah Cole and Alison Slater as a Sectional Assistant.

At the Scout Troop our Scout Leader Chris Mead fondly known as Skip runs our Scout Troop with assistance from Alastair Swaffer is his role as AGSL(Scouts), James Yates (ASL), Sam Puttock (ASL) and Richard Cheeseman as a Sectional Assistant. Paul Ruddick also has a role within Scouts as (ASL) and is the linking leader between Cubs and Scouts,

I would like to thank them all on your behalf for all their efforts particularly as they have had to undergo training themselves.

Beaver Report 2020 – 2021

Another interesting time since our last AGM!

We managed 9 face-to-face meetings during the autumn term where we had fun learning first aid skills, going for a mini hike, making and then burning guys and playing games. We also had a couple of zoom meetings where we worked towards our International badge and our Space badge.

January saw us enter another period of lockdown, so meetings headed back online. With better home schooling during this lockdown meeting attendance was very up and down but we continued meeting every week. We have had fun, seen some hidden talents, met some wonderful pets, learnt about people’s hobbies and collections as well as earning our Air Activities badge.

This week sees us being allowed to return to face-to-face scouting outside and we are looking forward to seeing everyone for some outdoor fun and games.

Fingers crossed the worst is behind us and we can look at reducing our long, outstanding waiting list and introducing many more youth to the world of Scouting.

As always, many thanks to my fellow leadership team, Squirrel, Wolf, Hedgehog, Falcon and Fox, who have been there throughout it all.

Tuesday Cub Pack Report 2020-2021

Running the meetings online each week has enabled us to keep meetings going throughout the pandemic. The cubs have still been able have loads of fun and learn new life skills while being safe at home and keep earning lots of badges. We have also been able to continue to achieve silver awards for cubs while in lockdown.

There is now light at the end of the tunnel, and we will be shortly able to return to face-toface activities and with guidance we will hope to be able to follow a gradual phrased return to a form of normality.

Tuesday cubs currently have 33 cubs,1 young leader.

Thursday Cub Pack Report 2020 – 2021

What an interesting year! The Pack continues to evolve with interesting activities and programme ideas coming from both the leaders and the Cubs themselves.

Much of the year has been spent meeting virtually and thanks must go to Akela Tuesday (Paul) who has managed to come up with interesting activities and games to do online. As far as games go, Tagpro an online version of capture the flag, the drawing game and Kahoot quizzes are very popular.

We have been working hard towards Challenge badges including The Personal Challenge, Team Work Challenge and Team Leader Challenge. We have met virtually with a Magician, The Yateley Fire Station and members of the Royal Navy. We have had virtual camps and a number of Cubs have been very successful in raising funds for good causes and have achieved their Silver Award.

Numbers online are now usually around 16. Thanks to all the parents enabling this. Although when we have met face-to-face we have had around 28.

Unfortunately, it has not been possible to undertake Archery shooting or Kayaking, but I am hopeful that we can get back to these activities later this year.

A big thank you must go to the leadership team; Nick (Chil), Richard (Baloo), Sam (Mang) and Gemma (Grey).

We are looking forward to getting back to Face-to-Face Scouting, even if it is working in small bubbles and keeping our distance. If any parent is able to spare a few hours every few weeks on a Thursday or a Tuesday evening after Easter, please speak to one of the Leadership team.

Scout Report 2019 – 2020

Since the last AGM I am pleased to say that a lot of positive progress has been within the Scout Troop, even with all the challenges of the coronavirus pandemic. I have been very busy working with the Scout Leadership Team to offer the best activities for the Scouts and, as soon as it is safe to do so and we have the green light from the NYA and Scout Headquarters, we will be looking to camp.

The Leadership team is currently Myself as Skip, James (aka Jarvis) as ASL, Paul as ASL, Sam as ASL and Alistair AGSL. I would like to say a massive thank you to all of the leadership team (including Ray) as I would not have been able to run the troop without them all.

Not much time has passed since our last AGM but we have still managed to do a lot of activities in that time frame. We had a few in person meetings and managed some more again just before Christmas. We've been back online for this term and looking forward to hopefully be meeting face to face again after Easter, more details will be e-mailed out soon.

This term we have had fun participating in a National winter camp online, looking into the effects of Fairtrade and having some exciting talks from the Yateley Fire Station, the Royal Navy and on our last meeting before Easter the Antarctic Fire Angles.

The troop has also continued to grow during this current lockdown, and we could be having a troop of over 50!! Please let us know if you are planning on coming back to face to face after Easter as you can imagine the leadership team will need as much time as possible to make it work in a covid safe way.

Finally, if you feel that you have any skills that would be interesting or beneficial to the Troop and would be prepared to spend a couple of hours instructing the Scouts please speak to myself or any member of the leadership team.
