These accounts have been prepared on a recelpts and payments bas15 which is acceptable as the Income and assets are less than the thresholds for accruals accounting. The Charlty SORP FRS 102 has not been followed. The Trustees conflrm that they have kept proper accountlng records that dlsclose wlth reasonable accuracy at any tlme the flnancial posltlon of the Charity and enable them to ensure that the accounts comply with the Charities Act 2011. the applicable Charlties {Ac¢ounts and Reports) Regulatlons and the provislons of the governlng document. Legal Statu5 The Charlty Is establlshed by Trust Deed dated 21st July 1998 by whlch the Edenbrldge Womerfs Instltute Hall was leased by the Edenbrldge (Afternoon) Wl to Edenbrldge Town Council, to be held In trust for the Edenbrldge Town Hall Vlllage Charlty. Charlty reglstr3tlon number 1076281 was granted on 25th June 1999. The Charity Is an unlncorporated assoclatlon. The hall addre5515 Statlon Road, Edenbrld8e, Kent, TN8 5LX. The contact address (as shown on the Reglster of Charltles) Is: Statlon Road. Edenbrldge, Kent, TN8 5LX. The hall Is often referred to locally as Yhe Wl Hall,. Objects, Policles and Organlsation The Trust Is establlshed for the purpose of malntalnln8 the Vlllage Hall for the use of the Inhabltants of the town of Edenbridge, wlthout distlnctlon of politlcal, rellgious or other opinion5, Includlng use for meetlngs, lectures and classes, and for other forms of recreatlon and lelsure tlme occupatlon. The object is to improve the conditions of life for the said Inhabitants.
The hall Is available for hire by any Individual or organisation in accordan with the standard hlrlng agreement and scale of charges adopted for the year. The pollcy of the managing trustees is that the scale of charges be sufflclent to generate adequate income to meet the ordlnary expenditure Incurred In malntainlng the building. Speciflc improvements are funded by appeals, grants, and fund-ralslng events. The Charlty Is njn and governed accordlng to the trust deed above, The management commlttee Is elected or appolnted on an annual basis. with the OffirS belng elected from members of the committee at the annual 8eneral meetin8. Applicatlons for representatlon on the commlttee from new or8anlsatlons operatlng In the area of beneflt may be granted subject to guldance In the 80vernlng document. All members of the comrnittee shall retlre from off Ice together at the end of the annual general meetlng next after the date on whlch they came Into offlce but they may be re- elected or re-appolnted. The annual general meetlng Is usually held in May. All inhabitants of Edenbrldge aged eighteen and over are entltled to attend and vote at this. There are re8ular meetings of users and mana8ement durln8 the year. Responslblllty for the iecrultment of new trustees rests wlth exlstlng trustees. Methods such as personal recommendatlon are traditlonally used and guldance from the Charlty Commlsslon Is to be followed, as necessary1 for each Indivldual appolntment. When making decisions regardlng the runnlng of the hall, the Trustees have kept In mlnd the Charlty Commlsslon's guldance on publlc beneflt. The Trustees take their responslbllity to care for personal data seriously. Certaln types of data need to be collected and used In order to carry out our activltles of mana8ln8 the hall. Thls personal data wlll be stored and processed In Ilne wlth the General Data Protectlon Re8ulatlons effectlve May 25th 2018 There Is no reserves pollcy. The governing document states that any sum of cash at any time belon8ln8 to the Charity and not needed as a balance for workln8 purposes shall (unless otherwlse dlrected by the Charlty Commlssloners) be Invested. Actlvities The hall continues to be a venue for regular groups. Such sessions Include Wl groups, dance classes for chlldren and adults, amateur dramatics, and singlng. In addition, It is available for events such as electlons, meetlngsi prlvate partles, weddlngs and other celebratlons and wakes. The car park space Is on occaslon hired out separately, although prlority must be glven to hall hlrers.
Chairman's Review of the Year and Future Intentions Flrst of all, as always, I would Ilke to thank all trustees, the commlttee and hall users along wlth our cleaner and local tradespersons for their efforts in maintalnlng the hall to a high standard. This financial year has proved challenglng In terms of fSnance and maintenance. It was necessary to Increase the hlre costs to meet rlslng costs In utllltles and malntenance of the building. Thi5 resulted In a Ioss of a regular hirer. However, support and acknowledgement were shown by other re8ular hlrers. Hall booklngs contlnue to 8Yow wlth Interest shown from varylng organisatlons. We hlre to two local production teams {theatrical and muslcal performances, staged for all locals to enJoy)I plus accommodate children's and adult dance and exercise classes, birthday partles, weddlng receptlons and wakes as well as the occa51onal commerclal hire. Thls shows the versatillty of the Hall. The hall webslte utlllses an onllne bookings calendar, Thls glves the general public a chance to vlew the hall and Its faclllties onllne, together wlth up-to-date availability for hlre. Hall events are promoted on soclal medla alon8 wlth an advertlslng board. In the later part of the year, It was found that there was an Issue wlth the floor, It had dropped. On Inspectlon from floorln8 experts, it was found to be sufferlng from wet and dry rot. Inltlally, thls was thought to be only In one area. Upon further Investlgatlon, It showed that the whole floor was sufferlng from rot. The hall was bullt In 1934 and the concluslon was that the whole floor would need replacln8. The hall was closed for 10 days In January whilst a temporary floor was laid wlth ply and vlnyl. Thls project was Phase l. Thls was flnanced by our Charlty and grants. Phase 2 of the project will take place between August and November 2025. Thls wlll result In a new sports floor beln8 lald. Thls Is to be funded by the Charity and 8rants. Durlng the year, we have.. Held events to raise capltal and awarene for the hall Introduced a new sound system Renewed the surface of the car park Part decorated the front of the bulldlng Kept vegetatlon down General Malntenance-118hts and plumblng We do appreclate that we must keep updating, both internally and the exterior of the building to both malntain our current levels and Improve conditions for hirers and neighbours further 5tlll. Curient conslderatlons for hall Improvement are: Decorating the front entrance and main hall Installing an Electronic Serving hatch
Better general rnaintenance, both external and Internal Replaclng existlng overhead Ilghting and general upkeep of electrlcs We do recognise Edenbridge ts stlll growlng and the need to offer a safe warm and friendly bulldlng for all users, young and old. We contlnue to Use the Services of a pald book-keeper. Our secretary is an asset to the Charity who takes on many roles Including organising fundralsing events and keeplng administrative documents up to date. Meanwhlle we contlnue to recrult volunteers to serve on the Committee. Jim Burbrldge, Chalrman Flnances The statement on page 10 shows the current state of the finances. Accounts were prepared under the recelpts and payments basls. Total balances In the bank were £48,587 as at 31 March 2025 (2024.. £47,791). Grants were applled for durln8 thls perlod to flnance the hall floor as mentloned above.
