MINUTES OF THE ANNUAL GENERAL MEETING HELD IN RINGWOOD PARISH CHURCH ON THURSDAY 17[TH] JUNE 2021
Present: Peter Goodwin (Chairman), Anne Steer, Carol Goodwin, Sally Board,
Marion Davies and 12 members present.

WELCOME
2 NO ANNUAL GENERAL MEETING IN 2020
Peter welcomed everyone and thanked them for attending. He explained that there was no AGM in 2020 due to government guidance
regarding the Covid 19 pandemic. The Trustees approved the accounts at a special meeting on 3 July 2020 to comply with Charity Commission guidance.
3 CHAIRMAN’S REPORT 2020/21
Peter reminded those present that Ann Osborne had established the Friends of Ringwood Parish Church as a charity 22 years ago, with Marion Davies as the first Chairman. Ann died in January 2020 and is sadly missed by us all but she left behind a legacy of work that the Friends have completed to keep the Parish Church in good repair including –

Toilets accessible within the church building

Tower Roof re-leading
-
Conservation and re-siting of the John Prophete Memorial Brass
-
CCTV System
-
Contribution to the New Lighting System
-
Refurbishment of the Choir Vestry and installation of Organ Loft staircase

Refurbishment of the Coffee Area
-
Costs involved with Repair of the Transept Window
-
Funds towards General Maintenance.
Peter went on to update on the repair of the South Transept Window. He explained that there had been a delay due to getting clearance from Winchester DAC on this project but confirmed that the Trustees
of the Friends had agreed to support the project with a contribution of £30,000.
He also highlighted that urgent Drainage Works are currently being undertaken to stop the flooding outside the church porch. The church attracted a grant of £25,000 and the Friends Trustees agreed to support the project with a further £15,000 for necessary additional work.
Sadly, Peter explained, that due to Covid our fundraising activities had ground to a halt but that we had received a legacy from the estate of a local businessman in the sum of £96,681.82 and for this we are extremely grateful.
4 TREASURER’S REPORT 2020
Russ Doody sent his apologies and Peter Goodwin read the Treasurer’s Report, which again referred to the lack of fundraising but that we had been fortunate in receiving a substantial legacy for which we are extremely grateful. The Treasure highlighted the generosity of Friends members during 2020 and he was able reclaim £590.06 Gift Aid from HMRC. The profit from the last “Tea and Talk” was £450.50 and we provided funding in the sum of £17,554.37 for ongoing work on the boiler and heating system and preliminary work on the south transept window.
Due to the increase in funds during 2020 it was necessary for our accounts to be audited before submitting the information to the Charity Commission. With thanks to Rothmans Accountants who carried out the work on our behalf.
The balance on our accounts as of 31 December 2020 was £145,146.33.
5 ELECTION OF TRUSTEES
Peter Goodwin, Russ Doody, Anne Steer, Carol Goodwin, Gillian Habbin, Sally Board and Marion Davies – All re-elected.

With thanks for the hard work of those Trustees standing down –
Diane Rayner, Valerie Smith and Alison Riddell who sadly died on 27[th] July.
With special thanks to Anne Steer who wishes to remain as a Trustee but is standing down as Secretary after 20 years. Peter gave a vote of thanks and presented Anne with a bouquet and card.
Also remembering Anne Osborne who established The Friends of Ringwood Parish Church in 1999.

I report to the trustees on my examination of the accounts of the above charity (“the Trust”) for the year ended 31/12/2020.
Responsibilities and As the charity trustees of the Trust, you are responsible for the preparation basis of report of the accounts in accordance with the requirements of the Charities Act 2011 (“the Act”).
I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.
Independent examiner's statement
I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination which gives me cause to believe that in, any material respect:

the accounts do not accord with the accounting records
