THEDDLETHORPE VILLAGE HALL & PLAYING FIELDS COMMlftEE MINUTES Annual General Meeting Tuesday October 1 St 2024 19:30 Present- Jack, Jane, DÈ, Greg, George, Dot, Dawn, Maggie, Liz, Sarah, Sue West, Fiona, Noi Andrea, Lydia, Sue Hallett and five members of the area of benefit. Apologies - David. Chairperson's Report- Jack thanked the committee for all the hard work and fund raising that had been carried out over the years since the turbulent last AGM. The committee had pulled together and worked magnificently. The regular use has increased signtftcantly with Bell Target Shooting, Community Lunches, History Club and Walk and Play. Jack thanked all those involved for their work. The 25th Anniversary Ceilidh celebration went well and was enjoyed by all. The Play Area has boosted the local community. It was finally built through blood, sweat and tears and the work to support the Play Area is still ongoing. Jack thanked all those involved. The Bell Target Shooting ts now fully fledged with over 40 attendees every fortnight. Thanks to Maggie and her team for all the hard work. The Kitchen and Bar are bringing in a good income with Bell Target Shoottng, History Club, Lunches and Walk and Play. There are still some issues with maintenance and we need to re-invest and with costs escalating we need more events. This means that we all need to be willing to give up our time. We are the heart and soul of the village and what we are doing is working hard to bring people together. Treasurer's Report - Di handed out coptes of the Financial Statement for the 1 St October 2023 to 30 September 2024. Sarah asked about costs of the Septic Tank. Di said that they were tnctuded in Item 1 of the Expenses, General Expenses. The cost had been £3,700. Di reported that the income had been good. Fiona asked about the BarJRefreshments Expenses. Di explained that the Sumup Machine had made it difficult to differentiate between Bar and food sales. The VÉllage Hall has set the profit from Bar Sales at 50 % . Currently we are only makÈng 33 % therefore bar prices will be increased to bring It back to 50 %. Di said that there was on overall loss on the accounts of £949.93. There was an amount of money that hadn't been able to be accounted for as it was held by the Bell Target Shooting, History Club and Walk and Play as a float and had not been given in in time for it to be included. Di thanked all the committee for their hard work fundraising over the last year but said that with the monthly cost of maintaining the Hall we stÈll need to do more. Secretary's Report - Apart from the expected dutÉes of taking minutes and day to day running of the meetings much of the secretary's time had been taken up by applying for planning permission for the Play Area and successfully applying for a grant from the Elizabeth Rook Charity. The other duties included overseeing the butlding of the Play Area General Maintenance and Portable Appliance Testing. Election of Committee Members - The Secretary confirmed that the Constitution allowed for 15 elected members, three appointed members and four co-opted members. The Chair asked if the current committee wished to stand for re-election and all committee members put themselves forward and were duly elected. The Chair then asked if anyone else wished to become a member of the committee. Nikki Mccreight was elected as a trustee and member of the committee.
