Trustees Annual Report From 1 September 2019- 31 August 2020

Throughout the year from September 2019 until February 2020 life and activities at the Hall and upon our field and playground were very much business as usual. With a number of regular activities taking place, so much so that when a request arises for a booking for a one-off event it is often difficult to find an available or appropriate slot. Regular clubs continue, Short Mat Bowls throughout the year, also host matches against other teams from Swansea. The Choir have included two impressive performances in aid of charity. Weekly, two Yoga groups, two Pilates groups, Art, and Sewing. Monthly the WI and Cinema Club each continue to be popular.

The Hall has been the venue for Children’s birthday parties, a meditation group, a girls’ motivation group, surf lifesaving lessons, a surgery for the local MP and meetings for the Community Council and the General election in December 2019. In November the Hall was hired for a Charity Lunch in aid of Macmillan Cancer Support. Perhaps the highlight of the summer on The August bank holiday, if not the highlight of the year was the use of our field for a “Walking Rugby Competition” it was sponsored by The Gower Brewery and supported by JPR Williams and actually won by a team including him. Although some found the concept of walking difficult; it was a fun afternoon that raised £800 for the Alzheimer’s Society, again people commented upon our fortunate location and the facilities, we have available. We were again pleased to erect the village Christmas Tree with financial assistance from the Community Council and electricity from Caroline and PJ. at the Surf Shop.

Our Gym continued to be an important revenue stream for the hall but also continued to provide a venue for those looking for a local and available fitness venue as does the Circuit sessions run by Eddie which are also popular among the Gym members. A different type of FIT income comes from our solar panels, installation costs now well covered they provide a useful revenue. The Hall Draw now has 167 participants and we make 3 draws a year with prizes of £50, £20 and 3 x £10. Even donations for the books in our porch play their part in our fundraising.

Gathering pace throughout the year but particularly as we came to the end of 2019 we were looking forward to the new decade and in particular celebrating the 100-year anniversary of the Hall.

However from Mid March 2020 the Hall was forced to close due to the Covid pandemic and opened briefly when Welsh Government rules allowed. For that all too short period, the hall committee volunteers, our contractors (Andrew (maintenance) and Eddy (fitness classes) and individuals who led groups in the hall, worked tirelessly to keep abreast of revised Covid guidelines, complete risk assessments and transform the way we run hall classes and the gym.

Facemasks, social distancing, one-way systems, hand sanitising and track and trace are now all a familiar part of our daily life and all part of life in Llangennith Hall when the lockdown

has eased and we are again able to open. We hope this might be Spring but wait for a Welsh Government announcement

During this time hall income from classes, hall rental, gym membership, events and produce and craft fairs has been dramatically affected. We have not been able to hold any markets or events and only a handful of classes. Given the current economic circumstances, we also decided to not collect for the Hall Draw this year. We are very thankful to the small number of individuals who decided to continue paying gym membership whilst the hall was closed. That, along with our solar panel FIT tariff and the Government Covid support grants for business we have recently been awarded, have enabled us to invest in additional Covid safety measures and eased the pressure at this time. The Hall has built a healthy surplus in recent years which has also provided some financial reassurance and allowed us to continue with our planned maintenance programme during this quiet time.

The AGM scheduled for April 20[th] 2020 was postponed because of the necessary restrictions in force to restrict the spread of the Covid-19. We hope/expect to be able to arrange the AGM later in the year without the need to attempt a virtual meeting. As I say not what we were expecting or indeed planning for, currently the Hall is closed at the very time we were expecting to begin celebrating the 100-year anniversary.

Treasurer’s report for year ending 31 August 2020

I’d like to thank Gerwyn for examining the accounts once again .

Looking at the receipts and comparing with the previous year.

We received a grant of £10,000 from Swansea City Council because of the Covid virus and it’s effect on our income . Also a donation of £200 from the Community Council towards the annual servicing of the rideon mower.

In March 2020 we were in lockdown because of the virus and this affected the hire of the hall and gym membership .

Hire of hall £3051.50 which was £2179.50 less than the previous year.

FIT payments brought in £2481.68 which is £218.55 more

Initial cost of installing the solar panels in November 2011 was £11,550 .The total payments we have received are £17,954.93

We were unable to do any fundraising and that reduced our income by £2377.20.

Gym membership £8387 a decrease of £2386 and Circuits £870 a decrease of £910

Wayleave income £34 a small increase of £1.10.

The Toddler's group which had been run efficiently by two mothers of toddlers folded because they couldn’t find anyone to run it. The balance of £321.57 in their account was transferred to the hall account

Fire Protection services £65.10 down by £52.98 because no extinguishers needed replacing.

Hall insurance £3600 an increase of £201.21

Hall maintenance includes a large expense for fire alarm test and inspection , annual emergency lighting test and remedial works so overall a total of £7482.97 an increase of £1224.52 .This includes a payment to Andrew Thomas of £4212.00

Gym and circuits Eddie Cooper was paid £35 for running circuit classes on Monday evening and Friday morning a total of £2310. £80 was refunded to members who wished to cancel membership because of Covid and £70 for repair of CD player

Playdale £234.00 for annual inspection of field.

Field maintenance £3975.95 includes Gary Taylor £840.00 for grass cutting . £372.08 for fuel .£911.14 for annual servicing of the rideon mower and replacing deck housing . £52.73 for repairs to other mower . £1800 to Michael Alexander for work done on repairing the path.

Mary Lewis was given flowers in sympathy for the loss of her husband Steve. £44.98. Ink for the printer £46.44. Barry for the website £106.51. St Cenydd’s church £50 towards a leaving present for Rev Glyn Austin . £78 for Easter eggs which were bought for the egg hunt but couldn’t go ahead because of Covid .They were given to the foodbank. £25 to the postman . Miscellaneous £139.85 include paint, bags for the Henry cleaner, lights, butane fluid for the bain marie, and floor cleaner

Loss of income from hall hire ,fund raising , gym membership and circuit classes totalled £7852. The donation of £10,000 from Swansea City Council because of lockdown due to Covid has meant that we have total balances amounting to £68,116.98
