## **Chairperson’s AGM Report 2022** 

It is my great pleasure to write the chair’s report for this past year (June 2021- June 2022). I have the privilege to report that “We Have Done It”. The new sports Pavilion has been built and is now up and running. The village of East Markham has a modern new amenity to be proud of and which will enhance the experiences of the sports clubs who use the playing field as their home ground. 

It has been 26 years (1996) since a group of East Markham residents set up the first committee to identify, purchase and develop a sports field/recreation area for the benefit of the local community. Peter and Diane Gilbert were the initial driving force of this venture and are still very much involved with the running of the field today. They set about with imaginative fund raising schemes (raft races, May Days, race nights, barn dances, entertainment shows, donations, etc.) in order to get the project off the ground. Even at this point a pavilion was a part of the planning. Mr. Cyril Rayner, a local landowner kindly offered to sell the committee two of his fields for £40,000 to be used as a playing field. Obviously fundraising was not going to raise the full amount of money so the Parish Council stepped in and the fields were finally purchased in 2002. During the following two years the fields were developed by levelling, drainage, creating a network of paths and car parking facilities. This development was made possible by the successful application for grants. 

By 2005 the playing field was finally completed to be used by the community and by a variety of local sports teams. The evolving EMPFA committee had the responsibility of running and maintaining the field which it is continuing to do to the present day. As mentioned before the building of a sports pavilion was always an on-going project and it has taken until 2022 for this development to be achieved. We no longer need the unsightly portacabins and earth closet toilets which were proving to be inadequate for the 21[st] century although these facilities have served their purpose for the past 18 years. 

With the addition of new members to the EMPFA committee and the setting up of the Bassetlaw Bulldogs Rugby League club a new impetus was injected into our desire to build a sports pavilion and serious plans were made to identify ways to fund the project. It has been a 2-3 year process of raising the means to fulfil this venture and of course the pandemic was a factor in the time scale. Grant applications, fundraising initiatives and donations of works for the build were successful and are as follows:

A special word of thanks must be given to Daryl Knight from Oaktree Developments (Nottinghamshire Ltd) who has been the contractor for the development and has made every effort to accommodate all our wishes. Thanks also to Field Practice our architect and Tom Miller the project manager.  Credit must be given to Phil Abbott for successfully applying for the various grants which have been fruitful. East Markham PC has been very much involved with the project and a special thanks to Mark Priddle for his input. 

The pavilion consists of 2 separate changing rooms, complete with showers, a referee’s room and a spacious social area with a fitted kitchen. Most importantly there are now proper toilet facilities! A covered veranda surrounding the pavilion completes this wonderful building. 

The EMPFA committee was asked to use the occasion of the Queen’s Platinum jubilee to formally open the pavilion and show the community what our combined efforts have achieved. This was an ambitious plan and meant that the final three weeks of the build were a frantic time of activity involving painting, cleaning and finishing. But on Saturday 4[th] June we were ready and the ribbon to open the pavilion was cut by Bob Bennett, a founding member of the committee. The event was well attended by East Markham residents who were able to venture inside the building and identify their names on the “buy a brick wall”. The village now has a new facility to be proud of. The Bassetlaw Bulldogs with their multi teams, the men’s senior football club and the U15’s boy’s football team are now able to use the new facilities and offer their opponents a positive experience. 

Going forward the EMPFA has the responsibility of maintaining the fabric of the pavilion and making sure that the finances are robust enough to support its upkeep. Although the EMPFA have these obligations the playing field and pavilion are actually owned by the Parish Council. 

A further success story to be celebrated in my report is the setting up of the 250 lottery club. The EMPFA took the opportunity to take over this project from the village hall committee and has worked really hard to re-establish the lottery in the village. An annual number costs £18 and five prizes are drawn each month with extra bonus prizes throughout 



the year. The money collected is shared equally between the prizes awarded and the playing field funds. This is going to be an important and stable source of income for us. We have now had 8 monthly draws and are planning to continue with this venture into the future. Thanks must be extended to Ruth and Steve Woodcock for giving so much of their time in establishing the 250 club and organising the monthly draws. 

A third success for us this year is that the application for internet banking has finally been confirmed. The process has taken over one year to come to fruition after much frustration, paperwork and telephone calls. Thanks to Kevin Wonham who saw this through to the bitter end! The ability to complete our finances on line is going to simplify the treasurer’s role. 

The playing field continues to be enjoyed by the local community for recreation on the grassed spaces, children’s playground, cycle track and picnic areas. The Bassetlaw Bulldogs rugby club continues to expand and thrive attracting scores of young people from the Bassetlaw district and providing them with a positive experience. The Sunday league men’s football club rose in the rankings last season and are now playing in a higher division. The U15’s boy’s football team also continue to make progress. 

The EMPFA is grateful to the rugby and football clubs for their role in improving the quality of the pitches. Their members work conscientiously to do this in their own time. The financial contributions made by the official users of the field are an important income source for us. 

Many thanks must be given to Tony Thompson for continuing with the responsibility of opening and closing the playing field gates each morning and evening. Also thanks to Reg Batty for his efforts to keep the rabbit infestation under control. This was becoming a problem for the footballers. Once again thanks to Bob Bennett for his efforts in maintaining the field and its surroundings and offering his services to help with any issues that arise concerning the upkeep of the field. 

All members of the EMPFA committee have worked so incredibly hard over the past year and deserve to be congratulated for their commitment and fortitude. It is hoped that next year will be a calmer time for consolidating our achievements and enjoying the new pavilion.

## **Statement for non-external account verification** . 

As a charity of our size we haven’t had external verification of our accounts, primarily due to the revenue levels.  The year in question is a one off due to a large capital project (new sports pavilion) and revenue raised over several years accumulating in the payment of the project.  Under normal conditions our revenue wouldn’t normally exceed £5000.00.
