CHAIRMAN’S REPORT
The Mechanics/Village Hall, has continued to be a lively and thriving village asset. Used by many organisations in the village. The monthly Quiz nights, and Monthly music nights, continue to be popular, and attract good attendances. I continue to be amazed at such musical talent we have in our community. My thanks go to the members who put together interesting subjects for our quizzes.
The music evenings also continue to be well attended, and it always attracts many talented people, playing a variety of musical instruments, and also singing, such a wide variety of music.
I have been supported by the Trustees in their various roles. Mary (Secretary) Janice, (Treasurer) Malcolm ( Maintenance) Jane (Events Bookings) Emily (Musical) Linda (Volunteers Diary), but who resigned during the year due to her impending leaving Laverton, to live elsewhere Ric ( Grants and IT ) Also Mac and Julie (Caretaker and Cleaner ) all of whom, I offer my thanks, we work as a team. It was a great shock to us all and the whole village, at Mac’s sudden death. We extend to Julie our deepest sympathy, as Mac had served as caretaker for over 50 years service.
The role of Chairman is one of knowledge of Committee procedures, and also the constitution of the Mechanics Trust deed. The role of the Charity Commission, and ensuring that the annual returns are adhered to. I hope that discussions which are now taking place, to convert the mechanics/village hall into a C I O, which affords limited liabilities, not only to the trustees, but the members also. As, and when this initial process is satisfactorily completed, an Extraordinary General Meeting will be held for all members to attend, and vote, either for or against this move. By undertaking this work ourselves, with the help and advice from the Charity Commission, I would hope we will have saved potential Legal fees of about £5,500. The original Constitution was created in 1852, when reading this document, it certainly needed revision to bring us into the 21[st] Century.
For a number of years we have undertaken some feasibility of become a Charitable Incorporated Organisation. As Chairman, I have now taken up the gauntlet with advice from the Charity Commission. It does seem it can be incorporated without the necessity for high legal costs. As previously advised, we will need to bring this change in the Hall’s current status to the members, to be ratified. It does make it a sensible move to protect the Trustees and members from any potential Legal problems. I am happy at tonight’s meeting to answer questions on this, but a full power point presentation will be given in the near future, which members will be asked to vote on this important move.
During the year, we have used the new lighting on the stage to good effect. Also we now have new Sound system, which Nigel Robertshaw encouraged us to buy
and he set up the system, which has made a good and more enjoyable Music nights. I would like to record, all of our sadness at his recent death, and extend our sympathy to his wife Fiona.
A lot of bookings of the hall, are now generated by an on line system, which helps us to keep track on hirings of the hall.
The Solar Panels on the roof, (but not visible from Main Street) and batteries under the stage area, have now been producing lower electric bills. will provide power to two sockets in case of power outages in the village, for community use. The pay back period looks as though it will be in 3 years with electricity savings and energy export proceeds.
With the 33 houses nearing completion at the West End of the village, hopefully, we will see new residents wishing you come to events in the Mechanics, and also become members. The Trustees Committee would welcome new members to come and join us. However, we also wish to increase the number of volunteers to help at Quiz and Music nights, and other events. So please let us have your contact details. Always a good way to get to know people in our community.
Following on from last year of my own personal hope, for the rear garden area, I have enjoyed myself creating this additional facility, with two raised flower beds at the rear next to the fencing, and perhaps a couple of trees. We took advantage of the half price sale at the local garden centre in September, and I bought two wood benches at an auction sale, so saved us money which new ones would have cost. The £2000 grant for this, helped the cost of this work. It would be an additional facility at the Mechanics for our village community. The opportunity for Garden Parties which people could book, or BBQs in the warm weather.
I would also like to thank the ladies of Kirkby in Bloom for the planters at the front of the hall, which add colour during the season.
It is important, that we constantly look at opportunities to enhance the Mechanic’s facilities for the benefit of our Local Community, not only in Kirkby Malzeard, but also Laverton and Dallowgill.
