ANNUAL GENERAL MEETING

Meeting date: Wednesday 19th November 2025

248 CHAIRS’ REPORT

Introduction

This year the PTFA committee grew to its largest number of committee members in recent years with 10 people stepping up to be on the committee. This allowed us to continue our large selection of both community events such as the summer fayre and fireworks, as well as our in-school activities for the children including discos and the annual sponsored pancake flip. All raising lots of funds for the school. We even added a new event in the village fun run which was a huge hit.

As ever we couldn’t have done any of this without so many volunteers giving up their time to help at all the events. It really does take everyone doing their bit to make these events a success. Thank you to everyone who continues to help out.

Our main focus for fundraising in this school year was to replace the adventure playground which was going to cost in the region of £36,000. As you will have seen, we achieved this target with some to spare and the playground was installed over the summer holidays, and the children have been enjoying using it.

We also continued to support the school with travel costs for exciting adventures to the theatre. The cost of coach travel has skyrocketed in recent years, with the cost of taking KS2 to London coming in at over £4,000 and the KS1 trip to the Gruffalo at £1,800, these opportunities would not be possible or affordable for parents, without the contributions from the funds raised by the PTFA.

Review of Year’s Events

Fireworks

The 2024 fireworks raised over £8,500 with a fully sold out event. Skyburst again provided the excellent display, with people enjoying the barbecue and refreshment on offer. We are blown away by people’s comments on the quality of this event year on year and we’re glad that the whole community comes together to enjoy this evening and support the school.

Our 2025 event which has just taken place was also very successful and we’re eagerly awaiting to hear how much money we raised.

We are very grateful for the continued support of the parish council who provided a grant to cover the cost of the external fireworks company, allowing for more of the profits to come directly to the school.

Discos

The discos continue to be popular with the children. This year we have introduced a quiet room and breakout space, where children who need a break from the loud dancefloor, where we provide colouring and other quiet activities. These have proved so popular that we had to increase their capacity to two rooms at the summer disco! The committee continues to run these events at a low cost for families to enjoy. Our cashless discos have proved successful and will be continuing under this format for the time being.

Christmas cards

The Christmas card offering has continued to improve with your children’s designs available on a wider range of products including cuddly toys, and tree ornaments.

Pancake Flip

In 2025 we held our third sponsored pancake flip event, which continues to go from strength to strength with the children continuing to look forward to trying to beat their previous flipping scores. This year we went back to our previous format of both online and paper sponsorship which was hugely successful raising an incredible £2,600. We are hopeful that this event will be back in 2026.

Quiz

A stalwart of the PTFA calendar, our annual quiz took place again in March, raising £1,353. Always a fun night out and compared again by Jon - thanks again, Jon! Next year’s quiz has been planned in and the date will be communicated shortly

Village Fun Run

May 2025 saw the inaugural village fun run, which was a first for the PTFA and for the village. This involved a family 2k around the fields on the Moor, and a longer 5k for the more serious runner, on a Sunday morning. We were so delighted with the weather and we had a great turnout. We were grateful for a number of local businesses stepping forward to sponsor this event, and to TTP for allowing access to the science park track. One of the best things about organising this event was the creation of the sub-committee which involved many more people from the school community who

got involved. We would love to do more of this to help share the load. People were asking on the day of the event if we would run it again in 2026 - watch this space!

Summer Fayre

This year's summer fayre was a huge success, we raised £6,690, which was £20 short of last year's total. We were lucky to have a nice contribution of sponsorship from local companies.

We increased our inflatables offering for this year with an assault course, climbing wall and toxic wipeout. We felt this worked really well and gave more variety on the day. Due to a lack of volunteers we did decrease the amount of other stalls we offered, which did have an impact but meant we could also use the teachers' help more wisely. We thank the teachers and staff help for their support at the fayre and we couldn't do it without them- so thank you

Little Recyclers

We have now had our little recyclers clothing bin for just over a year and its been a great success used by all the community, we have raised to date £132.

Other fundraising

We are always interested in new ideas, but cannot do it without people stepping up to help organise, so please let us know if there’s something you’d like to see and if you can help!

Thank you

We would just like to also take the opportunity to say a heartfelt thank you to all the parents, teachers and school staff who continue to help with all the above. It really is a team effort and we are all working together to improve our children’s experience at school.

A special thanks this year must go to Kevin who joined as a Friend of the Association last year and stepped in as Treasurer, allowing the PTFA continue to operate. We are incredibly grateful for Kevin’s enthusiasm and dedication over the last year, he will be very missed as he steps down to spend more time with his family. Thanks Kevin!

Financial Report for the year ending1 31° st August 2025

Having been appointed Treasurer this time last year, |am pleased to present the Financial Report to the year ending 31* August 2025.

The Association have been busy with various events; the aim was to support the school in purchasing replacement playground equipment in time for the Summer 2025 break.

At the start of the year, children were drawing Christmas pictures. These were then sent off to be made into novelty gift for Christmas presents. The PTFA received a percentage of sales totalling £488.

The first major event in 2024 was the Fireworks and with a generous grant from the Parish Councilfor £2646 (in the previous financial years accounts), the event was held on the 9" November and attended by local residents who saw a wonderful display. A further £5929.29 was added.

The autumn disco was a great success and was attended by many of the school children, raising £887.

The annual Pancake Event was a fun event in the school raising nearly £2424 and a further £242 in Gift Aid, followed by a Quiz Night raising £1353.

After the winter was out of the way, we headed outdoors for a new event, The Fun Run. After months of planning, we were blessed with fine weather and raised £4345.50 through support from local businesses and the runners being sponsored by friends and family members. Thank you to all who were able to Gift Aid, which added nearly £530 to the total.

As we headed into the final half term, the children had their Summer Discosraising just under £1000, and the year finale, the Summer Fayre brought together the wider community in supporting their school. We were blessed with wonderful weather and raised over £6690.

At the start of the school year, we took delivery of a clothes bin, and this has proved to of been very successful in recycling clothing, shoes and bags and has brought in £1046.

We are grateful to our parents who, through their place of work, were able to Match Fund with donating their time helping out at our events and receiving donations from their employers.

Even the smaller fundraising helped along the way with £89 from EasyFundraising. Summer Ice Poles £158. ASDA Cashpot £91. Melbourn Village Summer Fete stall (Splat the Rat) £77. Donation Day even raised £46.

We are immensely grateful to Melbourn Parish Council who have supported MPSPTFA in supporting next year’s Firework event and allowing us to purchase three Gazebo and a Inflatable Race Arch for next years Fun Run, and to all the parents and friends who have supported the PTFA. With the fundraising throughout, we were able to support the school in providing transport to see Matilda and The Gruffalo. To provide RWI Phonics Book Bags Sets and Year 6 Year Books, and to confirm to the school that we had raised the necessary funds for the Playground Equipment (that will show up in next year’s accounts)

MPSPTFA started the year with £33138, already on the way to the Playground purchase, and have raised in the last school year over £30441, supported the school with nearly £9600 and given the go-ahead to fund the Playground equipment.

We end the year with a balance of £53981, with the cost of the Playground equipment to come out in September 2025 and the purchase of the Race Arch.

My grateful thanks to the Committee, who allowed me asa total stranger into the Friends Association. | have been astounded by the dedication and commitment given to each event and they should be very proud in what they have achieved over the last few years.

To the parents, please keep supporting your PTFA who are supporting your children’s school and education. I’m off for a couple of years rest while my youngest grandchild, who has just started nursery. Primary school waits for no child. I’ve asked to be relieved of being your Treasurer. | will be around as the new Treasurer finds his way.
