TRUSTEES' REPORT FOR THE YEAR ENDED 5 APRIL 2022

The Trustees present their report and accounts for the year ended 5 April 2022.

The accounts have been prepared in accordance with the accounting policies set out in note 1 to the accounts and comply with the Charity's governing document, the Charities Act 2011 and the Statement of Recommended Practice, "Accounting and Reporting by Charities", issued in March 2005.

Structure, governance and management

The Charity was established by a declaration of trust deed dated 20th September 1996.

Amici Trustee and Strategy Meetings

Areas of work in these meetings continued to focus on addressing the implications of working through a virtual platform due to the Pandemic and the need for shielding of some of Amici members. This included organisational arrangements, financial arrangements, and human concerns. Equivalent energy then went into managing the move back to face to face meetings which were also live streamed enabling those unable to yet return to still participate. Managing uncertainty continued to be a focus during this year as the Trustees navigated the health, safety and risk assessment requirements by the Lyric, Turtle Key Arts and Amici. Additionally there was ongoing liaison between the Lyric, Turtle Key Arts and Amici about the rescheduling of the 40th Year production to July 2022. Plus, preparation for the rehearsal schedule and production issues. The first rehearsal occurred in March 2022. Also, support for Turtle Key‘s strategy for seeking funding for the production continued. Involvement in setting up the series of Open Workshops and International workshops. Updating/reviewing Amici Policies and addressing issues such as: film, photographic and creative work consent, Digital policy for safeguarding and protection of children and vulnerable adults and Zoom etiquette. The process of transferring all financial matters from the retiring Treasurer to the Interim Treasurer and negotiating the challenging process of updating signatures/mandates on financial matters and setting up electronic banking to modernise Amici’s financial affairs was finally completed during this financial year. Assessing the cost of various events. Generating and monitoring Codes of Conduct for Amici Classes. Reviewing roles within Young Amici. Supporting Turtle Key Arts with additional Funding applications. Maintaining Amici’s media presence.

Amici continues to enjoy the creative partnership with Turtle Key Arts who provide enthusiastic and strong practical support for all Amici’s endeavours and whose expertise and guidance during this time of turbulence has been even more appreciated.

Administration

Turtle Key Arts have continued to act as administrators and the company is very grateful to them for their professionalism and commitment and their practical understanding of AMICI’S particular needs and talents. They have been instrumental in ensuring the growth of AMICI’S educational outreach work and of the continued development of “Young Amici” which has continued throughout COVID. As well as this Turtle Key Arts have continued the development of the talents and skills of the company membership. They have also played a major role in developing a closer relationship with the Lyric. They have identified, fostered and administered many projects in Britain and abroad, including fund raising and they also support company members by their active presence as stage managers, sound technicians, filmmakers and web designers, to name just a few of the many roles they play. A formal contract negotiated by Turtle Key with the Lyric Theatre is in place. As The Lyric has now extended their range of activities to include a number of other groups including music, dance, theatre, acting, and film, each group or company will pay a small fee for room use. During this pandemic year Turtle Key Arts also reduced their fee to support Amici during this difficult and challenging year.

Risk Response

The Trustees has assessed the major risks to which the Charity is exposed, and are satisfied that systems are in place to mitigate exposure to the major risks.

Objectives and activities

Object Codes

Care, welfare and treatment for people with learning disabilities, additional cognitive needs and mental health issues.

Services for disabled and non-disabled people.

Promotion and furtherance of education in and knowledge of the arts and craft of dancing.

Aims and Objectives

To provide stimulating and quality artistic experience for people with physical disabilities, learning difficulties and sensory impairment.

To provide opportunities for people with disabilities to create dance.

To provide opportunities for disabled and able-bodied people to work together in an ensemble company.

To train people with disabilities in skills relating to dance and choreography.

To provide performance opportunities for people with disabilities.

To provide training opportunities for special needs teachers and professional dancers in skills relating to creative work with people with disabilities.

To further AMICI’S artistic development through performance.

To increase public awareness of the high performing ability of its members.

To stress the need to acknowledge and share each other's abilities whether disabled or not.

The Trustees have paid due regard to guidance issued by the Charity Commission in deciding what activities the Charity should undertake.

Activities of the Trust

AMICI meets as a weekly evening class at the Lyric Theatre, Hammersmith, where it is the resident company, by kind permission of Amy Belson, Chief Executive and Rachel O’Riordan, Artistic Director. From time to time Amici presents public performances and open workshops.

Organisational Activities

Amici’s activities across the first half of this year were primarily focused on continuing to maintain Amici’s regular activities through the repeated bouts of the Covid Pandemic. The second half of the year focused on health and safety and risk assessments to prepare and enable Amici and Young Amici to return to face to face meetings on the Lyric premises from the second half of the summer term. Additionally, the second half of the year focused on preparation for Amici’s future 40th year anniversary production deferred from May 2020 due to the pandemic and rescheduled for July 2022. There continued to be a considerable amount of organisational tasks that Amici Trustees, Turtle Key Arts and Amici members had to put in place to ensure that Amici membership was fostered, energised and maintained during the move from a virtual medium to a hybrid mixture of virtual and face to face meetings.

Amici Trustees and Turtle Key Arts and Wolfgang Stange convened a number of meetings across the year to address all the issues that arose. This included meetings via a virtual platform on 14/4/2021 and 3/12/2021 [focusing on Young Amici], 7/7/2021 and 3/12/2021 together with smaller, less formal meetings of key people to prepare for the more formal meetings and gather an agenda. There were also a number of less formal meetings arranged between those involved in setting up the virtual Amici workshops across the year.

A member of Amici Trustees Lynne Humpheson supported by Turtle Key Arts has taken on the principle responsibility for organising most of Amici events including many other organisational tasks. This involves a lot of work and Amici Trustees greatly value the role that Lynne continues to play within Amici. However across this year it also became clear that the roles and responsibilities in running Amici needed review and redistribution . This will be focused upon in the following years report. The Amici Trustees are also grateful to the support of Turtle Key Arts who organised, administered and marketed the open online workshops and provided technical support alongside Amici members.

Amici has remained fortunate in having Shane Aurousseau as resident photographer. Shane has continued to use the restriction of COVID and the renewed opportunities of returning to face to face meetings to gather a series of evocative images of Amici members which he circulated to Amici members and is used to keep our social media updated. In the future there will be a display of these images at Amici’s production week.

Activities

Across this difficult first half of the year Amici continued to meet through the Zoom platform every Wednesday. Much thought and planning went into arranging the Technology, running the classes in a creative way, planning social time before the class for members to connect to each other, recruiting varying workshop leaders etc. Additional to this, across the year several Open Workshops were held online. The open workshops were very popular often reaching a membership of at least 50. This was also a source of some additional income, with an option of donating whatever individuals decided. There were also several International workshops planned on Saturdays for those affiliated with Amici who would have been involved with the 40th year production for example participants and artists from Japan and Australia. These occurred in August, September, October, and November. Some Amici members participated in the Heart of Hammersmith community show and planning also began for participation in the summer 2022 Joy festival. All these Amici classes and events were much appreciated by those involved and often became creative opportunities for dance and the joy of movement at a time of difficulty for many of our members due to the COVID Lockdown requirements and shielding. DVD’s of some of the classes were gathered and made available to Amici members

On occasions when Wolfgang Stange was unavailable to run the Wednesday evening Amici class alternative workshop leaders took the class offering their own unique contribution. This remains very successful offering creative variety.

The termly Amici Newsletter changed into more regular email updates about Amici activities to keep Amici members in touch with each other.

Visitors from other Integrated Dance Theatre Companies and students from Roehampton University and other dance theatre courses also joined AMICI virtual classes for the experience of working within an integrated setting.

In early 2021, we began to organise a new project called “We’ll Dance Again” where Amici’s freelance artists supported by fellow members headed into the local community and danced in residential homes, special educational schools, assisted living and on people’s door steps to encourage the Hammersmith and Fulham community to dance again, especially those most isolated. A video of this project was created by Alan Bowyer from Primo digital video productions and is available on YouTube.

Young Amici

Young AMICI is open to young people aged between 11-25 and meets prior to the normal Amici class on Wednesday evenings. Young Amici has continued to flourish beyond expectations creatively led by the Artistic Director Ingrid Molinos Torres. There is a growing membership of young people and this project has been successfully funded for 3 years by John Lyons Charity. Kelly Codling-Bray has assumed primary responsibility from Turtle Key Arts to co-ordinate Young Amici’s activities and Ingrid has been invited to attend part of Amici Trustees meetings on a regular basis. Young Amici will be involved in Amici’s production in July 2022.

Young Amici ran a very successful hybrid Summer School held both online and in person, where diverse workshops were offered by different artists such as Ballet, Feldenkrais, Meditation, Yoga, Amici Rep and Drama. 15 participants attended in person and 25 joined online. It took place the final week of July 2021 at a local Hammersmith school, and a final sharing was held online to friends and family for the young people to share what they created. Young Amici will be seeking funding to run a live Summer School in July 2022.

In February 2022, Young Amici successful gained a bursary from LEVEL Centre which gave them a week’s space to develop a new idea. They based this on connections and got members of Young Amici, Amici and Amici friends to send suggestions of what they would include in a dance. Ingrid, Anna and Filippo from Young Amici travelled to Derby to undertake this week’s R&D. Young Amici will continue to work on these initial ideas to develop a dance to be presented at JOY 2022.

Further work was undertaken to update the Young Amici website and the funding of the Leadership of Young Amici was reviewed and increased to reflect the additional workload. A separate meeting was convened to celebrate the success of Young Amici and to review and amend how it is structured and how it interacts with Turtle Key Arts and Adult Amici. Following on from this Job Descriptions of the different roles and responsibilities were drafted. Discussions also occurred about facilitating the transition of Young Amici members to Adult Amici and to identify additional workshop leaders. Planning for shared workshops between Young Amici and Adult Amici also took place. Young Amici also mentors Dance students on placement with Young Amici from Roehampton University, Royal Academy of Dance and Middlesex University.

Insurance Policies

The company has two insurance policies.

Charity Trustee Assurance which covers professional and financial risks. This is with the Royal and Sun Alliance.

Theatres Combined Insurance for accidental loss or damage with Public and Performer’s Liability. This is with Aviva. The company’s public liability indemnity limit is £ 2,000,000 in line with recommendations from the lyric theatre management.

Both policies are brokered with Wrightsure who have particular expertise in these areas.

TO THE TRUSTEES OF AMICI INTEGRATED DANCE THEATRE COMPANY

I report on the accounts of the Charity for the year ended 5 April 2022, which are set out on pages 8 to 12.

Respective responsibilities of Trustees and examiner

The charity's Trustees are responsible for the preparation of the accounts. The charity's Trustees consider that an audit is not required for this year under section 144(2) of the Charities Act 2011 (the 2011 Act) and that an independent examination is needed.

My examination was carried out in accordance with the general Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you as trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given as to whether the accounts present a ‘true and fair view’ and the report is limited to those matters set out in the statement below.
