Report of the Trustees for year 1[st] August 2020 - 31st July 2021
The trustees are elected from the local Christian community for their knowledge and expertise relevant to the work of the organisation; they make major decisions and carry out or enable practical projects. All trustees must feel able to sign The Statement of Faith.
The officers, Chair, Treasurer and Secretary are elected from within the trustee membership.
The trustees usually meet twice during each school term in Ashby Methodist Church which accommodates the AYFC office. The AGM was held on 19[th] January 2021at 7.30pm via Zoom.
The trustees are supported in their work by a Council of Reference, members are drawn from several local churches, they meet to hear an update from the Centre Director and provide invaluable advice and prayer support to the trustees and staff.
Youth for Christ in Ashby de la Zouch is a charity federated to similar charities bearing the same name, and sharing the same ethos and direction as the central charity British Youth for Christ.
AYFC has adopted all Policies and Charter requirements in line with British Youth for Christ, and constantly review and update all governing documents, we adhere to all relevant government laws as they are introduced. Rev Mike Firbank was appointed Data Protection Officer in January 2019, there has been no change to this.
Safeguarding is of major importance, all staff and trustees are D.B.S. checked, and AYFC is compliant with BYFC standards, staff and trustees receive regular Safeguarding training. Noreen Mewies and Shân Dyer (trustees) have responsibility for overseeing this.
As the National Charity continues to evolve and develop AYFC continues follow their lead in developing our five key areas. Increasing evangelism Serving the needs of young people in the community Developing a culture of prayer Developing our ministry to minorities Increasing financial sustainability All of these key points are reconsidered at every trustee meeting as they form the basis for our Centre Directors Report, we as trustees believe that AYFC continues to make excellent progress in all of these areas.
The mission of AYFC is to take the good news relevantly to every young person in Ashby de la Zouch and surrounding area. In every club we run, or lesson we lead, we show the young people we work with Christ’s love and provide them with every opportunity to question, explore and respond to the challenges of the Christian faith.

A three-year license to increase Outdoor Activities was granted in April 2019, we have necessary Insurance cover to facilitate this work with liability of up to £10,000,000. The license is due to be renewed in 2022.
Starting this work has been delayed by Covid-19, plans are in hand to increase this work as it offers a wonderful opportunity for staff and young people to bond and be more open to learning about Jesus especially outdoors and in one-to-one situations.
AYFC Centre Director continues to oversee the work of a full time Senior Youth Leader a Youth Leader and Youth Worker. The trustees consider they are very fortunate to employ these enthusiastic and dedicated staff.
Work with young people continued outdoors when and where this was possible, once the Covid-19 restrictions started to relax opportunities to work in schools and re-start clubs in churches became available again.
During the time this wasn’t possible meetings were held via zoom, while this worked in practice it proved not to be as successful as face-to-face meetings.
Due to the effects of the pandemic AYFC has lost income from fund-raising events and the unavailability of grants, and we have been greatly helped by the availability of the Government furlough scheme which enabled AYFC to retain all staff members with no redundancies.
Flexible furlough provided an opportunity for staff the enrol for on-line training, the most significant and important being School Chaplaincy which all staff are now equipped to do, they are available to go into schools should the need arise.
The trustees continued to monitor the level of unrestricted reserves following the introduction of a Reserves Policy in 2019, in order to ensure that the bank balance does not fall below 3 – 6 months working capital to securing the charity’s future.
Whilst funds once again fell by around £4,000, we have enough money to continue through the 2021-2022 school year and will continue to seek grant application opportunities going forward.
Assessment and mitigation of risk is undertaken and regularly reported to the Trustees.
The trustees are paying due regard to the Charity Commission’s guidance on public benefit as we seek to meet our charitable objectives.

Commentary

AYFC holds funds more than the reserves policy. The Trustees are continuing to explore opportunities to spend on new initiatives, especially short-term ones thar can be financed by current funds.

Giving in 2021 reduced by a further 10% and remains insufficient to match regular spending. The Centre Director and trustees are working to increase regular planned giving which is core to ongoing sustainable funding. In the meantime, the Trustees have continued to approve short-term initiatives based on the short-term funding that has been received.

There was no Grant funding received in 2021 (as well as 2020) as no grants were obtained during the lockdown period.

Making use of the Government furlough scheme during lockdown meant that we were able to continue to pay staff members, and only see a further reduction in assets by approximately £3000.

The AYFC Trustees are responsible for the preparation of the accounts and consider that an audit is not required for this year under section 144 of the Charities Act 2011 (the Charities Act) and that an independent examination is needed. It is my responsibility to: examine the accounts under section 145 of the Charities Act, to follow the procedures laid down in the general Directions given by the Charity Commission (under section 145(5)(b) of the Charities Act, and to state whether particular matters have come to my attention. My examination was carried out in accordance with general Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a ‘true and fair’ view and the report is limited to those matters set out in the statement below. In connection with my examination, no material matters have come to my attention which gives me cause to believe that in, any material respect: accounting records were not kept in accordance with section 130 of the Charities Act or the accounts do not accord with the accounting records I have come across no other matters in connection with the examination to which attention should be drawn in order to enable a proper understanding of the accounts to be reached. (1) No grants were received in FY2021, or most of FY2020 (the £2,795 shown here was received in August 2019.
(2) Event Contributions are funds received by individuals towards support for individual events. These were severely restricted in both FY2020 and FY2021.
(3) No fundraising events were undertaken in FY2020 and FY2021 due to the COVID-19 lockdown
(4) Adventurous Income were contributions by third parties making use of the outdoor activities provided by AYFC. Further events were curtailed by the COVID-19 lockdown.
(5) Government Employment Relief (“Furlough Payments”) were claimed for much of FY2020 and FY2021, when the AYFC staff were not able to undertake their normal activities. The trustees agreed to top-up these payments so that the staff continued to receive full salaries at this time. Some Furlough payments will also be received in FY2022, but these are being wound down as the AYFC staff get back to working their full hours.
(6) Schools income is money received off local schools in payment for AYFC staff helping in their activities. In FY2021, this was due to AYFC staff providing Duke of Edinburgh Award supervision.
