Trustees Annual Report for the year ended 8[th] April 2025
The trustees present their report and the financial statements for the year ended 8 April 2025
History
Ascot Round Table has been established for many years. It was established and registered as a charitable Trust with the Charity Commissioners for England and Wales on 10 September 1996, registration number 1057937. It is also a constituent member of the National Association of Round Tables of Great Britain and Ireland, Area 25 number 929. Its status is governed by the Constitution, Rules and Standing Orders of the Round Tables of Great Britain and Ireland; and, by the Trust Deed of the charity.
Ascot Round Table consists of 20 members, giving their time voluntarily and receiving no remuneration or other benefits. Past members & local associations also assist Ascot Round Table with fundraising activities, without whose help we would struggle to manage. Trustees are appointed when known and trusted by their fellow members
Objectives and public benefit
The aims and objectives of Ascot Round Table Charitable Trust are those of the Round Table movement as a whole. Our main charitable aim is to raise funds through organized events, and to distribute these funds to charitable concerns, mainly local to Ascot and surrounding areas. This provides a benefit to the public, especially locally, where the majority of our charitable donations are made.
Activities
Ascot Round Table is a charity and exists to promote fellowship and service to the local community.
Achievements and performance of the trust
Ascot Round Table continued into 2024 with the same focus around distributing funds out and this became one of our best years for donations, proudly providing over £96,000 to Charities and worthwhile causes across Ascot and surrounding areas, notably our members did a fantastic job of casting the net wide to ensure we gave to a range of charities (as opposed to large donations to a few), resulting in us providing support to 17 seperate Charities and good causes. Also we set in rules around how much we would donate to any single Charity, alongside setting smaller limits of any request by a non-charity good cause. This structure ensures all members today and those to come operate correctly and know how to handle requests when they come in.
The fireworks event was once again well attended and the weather supported us providing one of our biggest years yet. Alongside this we were able to provide 3 nights of Santa float bringing in additional funds but most importantly bringing joy to the local community.
Investment and Reserves policy
As the object of fundraising activities is to provide the means to make donations to worthy local causes it is not anticipated that funds will be retained longer than the short term. Surplus funds are
therefore held in a deposit account until distributed. A ‘base-line reserve’ of funds is maintained to ensure that if our fireworks event is affected by bad weather and makes a loss in any year, This reserve fund was increased from £20k to just over £35k due to the increased costs of the Fireworks, thus ensuring there will be sufficient funds to remain solvent.
Grant-making policy
The charity receives many requests from all aspects of society. All requests are considered by the charity at ‘business meetings’, but the emphasis is very much on supporting local people in Ascot, Bracknell and the surrounding areas but gifts are also made to national and international charities. Grants are made at the discretion of the members, who consider each request and the needs of the donees before allocation of donations.
Independent Examiner
The trustees intend to ask the existing auditors to undertake the independent examination of the Trust in the following year.
Signed on behalf of the trustees
