## **Objectives and activities** 

The aim of the Parents Association (PA) is to advance the education of the pupils in the school by: 

1. developing effective relationships with staff, parents and others associated with the school. 

2. Engaging in activities or providing facilities or equipment which support the school and advance the education of pupils. 

Our main activities are fundraising events and activities run for pupils or parents/carers of the school. These not only raise funds but also bring parents, teaching staff, pupils, and the community together. These events include School Discos, Christmas Events, Mother’s & Father’s Day Sales just to name a few of our annual events. The committee also welcomes suggestions and organises one-off innovative fundraising initiatives. 

All events and activities are planned by the committee, drawing on volunteers from parents, school staff and wider community supporters where appropriate – having regard to safeguarding and risk assessments. The committee is incredibly grateful to all those involved, without whom the association would not be able to achieve so much. 

The work of the PA enables the advancement in education of the pupils of The James Oglethorpe Primary School by giving money to the school for the purchase of equipment, resources, facilities and other ‘Wish List’ items it would otherwise not be able to afford. This not only enhances the educational experience for the children but also enriches their learning by offering experiences that they else wouldn’t be able to partake in. 



## **Structure, governance and management** 

Type of governing document 

All the work we do must align with our Constitution as signed by our trustees. Our association has a constitution that states the purpose of the association, and rules and regulations that the committee members should be following. It provides structure for our committee members, giving clear guidance on how the PA should be run. 

We also have a list of policies that we follow for events. 

Trustee recruitment and appointment 

The PA have had no change in trustees this year. 

If we were to recruit for new trustees, they would need to be voted in to position at the AGM by a majority vote. We welcome new people to stand for any position at each AGM. Our constitution states we must have at least two trustees at any one time. 

## **Achievements and performance** 

The PA held multiple events this year, each raising funds for the school but also enriching the children’s time at The James Oglethorpe Primary School. Below I will list a few of our top fundraisers for this financial year: 

- Read-A-Thon – £1035 

- Mother’s Day Sale – £1022 

- Father's Day Sale – £1296.23 

- School Discos – £2789.94 (combined total of two discos held) 

- Inflatables Day – £830.70 

- Christmas Events – £1089 (combined total of all Christmas events)

The Read-A-Thon ran for the first time this year, it is a sponsored event. Children read as much as they can over a 2-week period and raise money while doing so. Prizes are awarded for those who read the most in each year group. Only twenty-six children took part this year, but the committee are hoping to make this an annual event, and we will hopefully see that number grow. 

The School Discos were by far our most profitable events this year, but they do also take the greatest number of volunteers and planning. We held two discos at the same time which enabled us to use only one DJ and wire it through to both halls. This meant that all children attending were there at the same time. We found that doing this for our first disco meant that some of the children in the infants looked a bit lost and so for our second disco we sourced an entertainer who came in free of charge and put on a show for them as well as a mini disco. This seemed to work much better. 

As always the children loved attending the Mother and Father Day Sales this year, it is a chance to buy something for the special people in their lives and gives them a chance to get to grips with using money in the real world too. Father’s Day Sale profit was higher than usual this year due to lots of stock being left over from previous year. 

The PA are currently reserving funds for a large project within the school; we will be contributing to the install of two large sand pits and two large water play areas. These requests have come through to us in line with the schools OPAL (Outdoor Play And Learning) initiative and we are very excited to be able to fund such a big project that will have such a positive impact on the school as a whole. 

The committee would like to thank our volunteers for all their help this year, without them none of this would be possible. They are the backbone of our school community and are helping to enhance the learning and experience of our pupils, for which we are so grateful.

## **Financial review** 

The PA have had an amazing year of fundraising, the most fundraised ever by the association and this is something that the team are enormously proud of. We began the year with just £88.50 in the bank account and our year-end balance for 2022 is £13,988.01. We raised a total of £28,356.55 and our outgoings £14,457.04. 

This year a parent from the school ran a marathon on the school field dressed as an inflatable dinosaur, the money he raised was earmarked for a defibrillator and the rest to be held by the school for future upkeep/training. This event raised a total of £4164.33 and was our largest fundraiser of the year.

We also had additional income this year totalling £2439.86. This was from Your School Lottery, Amazon Smile, Maa Eyecare, EasyFundraising and Donations. 

We also had money come into account from January 2021-December 2021 events, this amount totalled £3,036.95.

Our additional expenditure was a total of £543.97. This was spent on things such as our lottery license, a new hot water urn for events, Parentkind membership, website hosting fee (we have now changed to a free platform), and storage for items that are used at our events. 

We paid for items for the school or activities for the children totalling £6418.62. Below are the items and how much each cost.

Statement of the charity’s policy on reserves 

The committee need to discuss our policy on reserves, currently we are building reserves for a bigger project and so have more than usual in our account. We are still spending on smaller projects to ensure fairness to those parents who have children that won’t get to benefit from the new project, this is the children in their final year as they will have left the school by the time it is in action. 

Donated facilities and services 

We received a donation of £60 from Marion Williams at All Saints Church for our Christmas Trees this year. We also received a £110 donation from a parent within the school who had collected money to fix a pathway but it was no longer able to happen, parents agreed money should be donated to the PA. We were also donated books for a Read-A-Thon from Waterstones, Hatchette Children’s Group and Bloomsbury. Chapman Architecture also kindly donated a £50 voucher for a local spa as a for our Guess the Buttons competition. We would like to express our heartfelt thanks to these people for their generosity.

## **Future plans** 

We have another year of events planned to raise more money to enhance the learning of the children at The James Oglethorpe Primary School. Money in reserves will be spent on a large project next year and we also have smaller items from the school wish list that we will be purchasing early in the new year.
