Structure Governance and Management

Colchester Phoenix Amateur Swimming Club is a charity with the Charity Commission governed by its constitution adopted 24th February 1996. This has been revised by the trustees in May 2017 and March 2020.

Organisational Structure

The trustees administer the charity. Meetings are held by Zoom on a regular basis. The trustees have responsibility on all operational matters, including finance and swimming coaches/teachers.

Objectives and Activities

The object of the club shall be to provide an opportunity for people with physical or learning disabilities to enjoy swimming. This will be done by providing teaching, development of swimming, diving and other water-based activities for its members and where, appropriate, enable them to compete. The club is committed to treating everyone equally within the context of its activities and with due respect to the difference of the individuals. It shall not apply or endorse unlawful discrimination and shall act in compliance with the protections afforded by the Equality Act 2010 and shall implement the Swim England Equality Policy: and shall provide the above objectives with an emphasis on providing them to members of the Charity with a disability.

Achievement and Performance.

Our club runs two different sections: the Teaching section and the Development and Squad Section. The teaching section runs on a Saturday 4-5 and 5-6 pm at the fitness pool at Colchester Leisure World. At this session, swimmers start as trialists, some as young as 4 years old. If they are taken on, the swimmer progresses from the teaching pool to the main pool. There are several different levels for the swimmer to progress through, which they do at their own pace. At these sessions the club also has some older swimmers who swim for their well being

The development and squad section operates on a Saturday 6-7pm and up to three other sessions. All take place at Leisure World except for the Wednesday session which takes place at the Garrison Pool. Many of our swimmers take part in galas. The following have para-swimming Essex County Entry times: Beau, Ziva, Kristina, Oliver, Mark and Holly. This year our swimmers have taken part in the SEER Championships, Norwich Swimability, Suffolk Swimability, Len Badcok Meet, Colchester last Chance Regional Qualifiers, Essex Masters County Championships and others. Our committee gala team is always looking for suitable galas for all the swimmers who want to compete. Two swimmers Holly and Mark were chosen to swim at the World DSS Championships in Turkey. They were part of the GB team which retained the Best Team award. One of the highlights of the year was watching former club member Ellis Challis win a Gold medal at the Paris Olympics. The day started with a training session for our swimmers at Leisure World (LW) in the presence of Ollie Hynds MBE, BBC Essex, BBC Look East and representatives of the National Lottery. The swimmers, coaches and committee members then all watched Ellie win on a TV screen at LW. Our teachers and volunteers continue to work hard for the club. Following a directive from Swim England the club needed a Level 2 Coach. Tracy Cole undertook the training and received her qualification in April 2024. Hywel, Eve passed their level 1 teacher qualification. teaching qualification. Chloe passed her level 2 teacher qualification.

The club has welcomed India and Roisin and said goodbye to Catherine as teachers during the year. Julie Jago retired as Head Coach in December after several years with the club. She will still be coaching one session a week. Sue also retired but still coaches when required The committee is grateful to all the teachers and coaches. The committee is also grateful to all the volunteers who give up their Saturday afternoon to help the least experienced swimmers. We still have a long waiting list. We offer trials to people on the list but we often have a disappointing response despite contacting the swimmers many times. We have to balance the needs of the swimmers on the list with the spaces we have. Over the years the type of additional needs that swimmers have, has changed. The vast majority of our swimmers are on the autism spectrum. We retained our SwimMark status with Swim England. The club is grateful for donations received during the year. Ultimotive, National Lottery, Ellie Challis via Visa and Colchester Forum and Colchester Rotary Club have donated to the club. There have also been some private donations. The costs keep going up with the hire of the pool increasing significantly due to higher energy prices. Thank you goes to the Trustees and Committee for their continued support in enhancing the swimmers experience with the club. Thank you goes to the Head Coach, Julie Jago, and the Head teacher Tracy Cole. We are grateful to all our teachers. We have regular teachers and some can be called at a short notice if needed. We have a graduated pay scale for the teachers with a pay rise in April in line with inflation and other criteria. Theresa Higgins Chairman. INDEPENDENT EXAMINER’S REPORT FOR THE YEAR ENDED 31 DECEMBER 2024

I report on the accounts of Colchester Phoenix Amateur Swimming Club for the year ended 31 December 2024 which are set out on pages 7-8.

Respective responsibilities of trustees and examiner

The Charity’s trustees are responsible for the preparation of the accounts. The Charity’s Trustees consider that an audit is not required for this year (under section 144 (2) of the Charities Act 2011 (The Act)) but that an independent examination is needed.

Basis of independent examiner’s statement

My examination was carried out in accordance with the General Directions given by the Charity Commissioners. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes considerations of any unusual items or disclosures in the accounts, and seeking explanations from you as trustees concerning such matters. The procedures undertaken do not provide all the evidence that would be required in an audit and consequently I do not express an audit opinion on the view given by the accounts.

In the course of my examination, no material matters have come to my attention which gives me cause to believe in, any material respect:

1. Accounting Policies

Basis of the preparation of the accounts

The financial statements have been prepared in accordance with Accounting and Reporting by Charities: Statement on Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019) - (Charities SORP (FRS 102)), the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) and the Companies Act 2006.

Cash flow statement

The directors have taken advantage of the exemption in Financial Reporting Standard 1 (revised) from including a cash flow statement in the financial statements on the grounds that the company is small.

Incoming resources

All material incoming resources have been included on a receivable basis i.e. they are included if the date receivable falls within the period covered by these accounts.

Resources expended

These have been analysed using a natural classification.

Accounting Period

These accounts are for a 12 month period to 31 December 2024.

Tangible fixed assets for use by the Association and depreciation

Tangible fixed assets for use by the Association are stated at cost less depreciation. Depreciation is provided at rates calculated to write off the cost of fixed assets, less their estimated residual value, over their expected useful lives on the following basis:
