CHAIRPERSON’S REPORT FOR YEAR ENDING 31[ST] DECEMBER 2023

Overall 2023 was a good year for the club, particularly with respect to fundraising, staffing and attendance.

Sadly we said goodbye to Dennis Humble, a long serving trustee, and to Rachel Trees who was on the committee for a few months, but we welcomed Talbot Clifton and Councillor Sarah Freer as new members the committee, and Talbot as a new Trustee. Anne Richards took on the role of Chairperson, replacing Keith Wilding in October and stepping into his formidable shoes.

There was significant staff turnover for the greater part of the of the year, as various new recruits were tested during their probation periods and several failed due to reliability issues. However, Zoë Bashar (who was appointed Lead Youth Worker in January) and Libby Look who became Deputy Lead Youth Worker provided continuity and an excellent level of professionalism throughout the year. Subsequent recruitment campaigns succeeded in finding good replacements with the necessary qualities to become excellent youth workers. One of our youth workers requested a move to a zero hours’ contract to provide cover when we were short of core staff. This proved to be very convenient and we have since increased the number of zero hours backup staff to three. We ended the year with a very strong, reliable and happy team of youth workers who work very well together. We also partnered with The CLD Trust on their Strong Young Minds initiative to provide mental health support for our young people who provide additional resource on Thursday evenings.

We expanded the activities available to the young people by introducing boxing coaching sessions, extending the food project and offering the chance to do artworks. Zoë also produced a newsletter to raise the BYT profile which can be sent to other organisations such as John Kyrle School and Ross CDT to raise awareness.

Steve Richards reviewed and updated both the Handbook and The Constitution which were both significant tasks. On the fundraising front Steve was also very successful in securing new funders and retaining existing ones, with the help of other committee members, which will allow a small budget to be set aside for additional activities in 2024

In June and July we had visits from Jesse Norman MP and from Clare Bowry from the Eveson Trust. Mr Norman was kind enough to make a donation of £100 of his own money to the club and took on the task of writing to Herefordshire County Council to commend us to them. Contact was made with Paul Walker and although no funding is likely to arise from this contact we

have raised our profile with the County Council. Clare Bowry was so impressed that she invited us to apply for further funding and a second grant for £5,000 was approved through the Eveson Trust.

There were continuing issues with The Venue in particular concerning security of the front door, the rear fire exit, cleanliness of the kitchen and some disruption during their building works. Many of these have been resolved and relations with the landlord are generally good so I am optimistic that outstanding issues will be resolved soon.

Attendance dipped significantly in the summer (which is not unusual based on past experience) and we decided to move to opening only two nights a week during July and August to save money. However, we ended the year on very high levels of attendance and with enthusiasm from the young people for new activities to be undertaken in 2024.

I would like to conclude by thanking all of my fellow Trustees, committee members, our staff, and our funders, new and old, who have supported us over the past year. I would particularly like to acknowledge and thank Keith and Susan Wilding for all they have done in the past to keep the BYT going, through thick and thin, and for their continuing commitment to the club.

I have high hopes for 2024.

1. Accounting Policies

(a) The financial statements have been prepared under the historical cost convention in accordance with fundamental accounting concepts and in accordance with applicable accounting standards.

The financial statements have also been drawn up in accordance with the Statement of Recommended Practice - Accounting and Reporting by Charities, issued October 2000.

(b) Voluntary income is received by way of donation and gifts and is included in the Statement of Financial Activities when receivable. Volunteer time is not included in the financial statements.

(c) Resources expended are recognised in the period in which they are incurred and include irrecoverable VAT.

(d) Restricted funds are to be used for the purposes specified by the donor. Relevant expenditure is charged to the fund together with a fair allocation of management and administration costs. Unrestricted funds are available for general objectives of the charity.
