Structure, governance and management

The governing document of the Hampton School Parents’ Association (HSPA) is its Constitution which aligns with the Parentkind model constitution for use by Parent Teacher Associations (PTA’s) and other home-school groups that are members of Parentkind in England & Wales. The Parentkind model constitution is considered “best practice” and has been pre-approved by the Charity Commission of England & Wales. There was a unanimous vote and a resolution passed for the HSPA to adopt the Parentkind model constitution at the Annual General Meeting of its members in January 2024. The Association is a registered charity, constituted as an unincorporated association. Its charity number is 1044756.

The Association is managed by a Committee, which meets at least once per school term. In addition, there are occasional Sub-Committee meetings prior to events, comprising of those Committee members most directly involved in the social or fundraising activity.

The members of the Committee are elected at the Annual General Meeting (AGM) and hold office until the next AGM.

Objectives and activities

The policies adopted in order to achieve these aims include arranging social and fundraising events, holding receptions specifically for new parents, arranging second-hand uniform sales, and facilitating a class representative network. In planning our activities for the year the trustees have considered the Charity Commission’s guidance on public benefit. They will continue to support Hampton School in its efforts to provide a wide range of public benefit locally, nationally, and internationally.

Funds raised are used either to provide the School’s pupils with extras that do not fal! within departmental budgets, or to support other worthwhile causes in which the pupils are involved at School. Items of equipment or funds are also donated to activities which either have no budgets, or those with very small budgets, such as some of the sports and other extra-curricular clubs. The HSPA aims to make sure its funds benefit the largest number of boys possible. A full list of the items purchased and proposed are set out on pages 9 and 10 of the accounts.

Achievements and performance

The HSPA ran two successful quiz nights and a comedy night which were well attended by new and existing parents at the school.

The Autumn quiz night sold 147 attendance tickets and raised £1,695 for the HSPA. The Winter quiz night was a quieter event with only 72 tickets sold raising £285. The Committee has subsequently agreed to run one quiz event in 2025/26.

In May, the HSPA ran the popular annual comedy and wine tasting evening featuring the very entertaining, Dr Phil Hammond. This event raised £920 for the HSPA.

Alongside the quiz night events, the HSPA ran two text raffles with hampers as prizes. The raffles raised £562 (Autumn quiz) and £838 (Winter quiz) which has been equally donated to the School Form Charities — Shooting Star Children’s Hospices, the Alzheimer’s Society and UNICEF.

The HSPA also ran its two second-hand uniform sales, which proved phenomenally popular. The total raised from these two sales was £16,517.

Finally, in June 2025 the HSPA funded its annua! Summer Social / picnic event for students and parents to socialise in the sunshine and celebrate the end of another school year. It was a wonderful day and very well attended, particularly by new boys and their parents — who are keen to meet and connect with each other before the 2025/26 school year begins. The HSPA budgeted £5,000 for the event. The net costs were £1,693 and the remaining cost budget (£3,307 / rounded to £3,300) was donated equally to the three School Form Charities.

Financial review

Net funds increased by £5,969 this year. The standout achievement was the success of the secondhand uniform sales, which raised a substantial sum. The quiz nights, comedy event, and raffles have not only provided entertainment but also significant funds for the HSPA, the Fitzwygram Foundation and the three School Form Charities.

Total funds carried forward amount to £65,725 which includes an agreed £5,000 working capital buffer and £5,000 representing the estimated cost budget for the 2026 Summer Social / picnic.

Independent Examiner’s Report to the Trustees

| report on the accounts of the Hampton School Parents’ Association for the year ended 31 August 2025 which are set out on pages 6 to 10.

Respective responsibilities of Trustees and Examiner

The charity’s Trustees are responsible for the preparation of the accounts. The charity's Trustees consider that an audit is not required for this year under section 144(2) of the Charities Act 2011 (the 2011 Act) and that an independent examination is needed.

It is my responsibility to:

Basis of Independent Examiner’s Report

My examination was carried out in accordance with the general Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you as Trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given as to whether the accounts present a ‘true and fair view’ and the report is limited to those matters set out in the next statement.

Independent Examiner’s Statement

In connection with my examination, no matter has come to my attention:

  1. which gives me reasonable cause to believe that in any material respect the requirements: ® tokeep accounting records in accordance with section 130 of the 2011 Act and

  2. ® toprepare accounts which accord with the accounting records and to comply with the accounting requirements of the 2011 Act

have not been met or

  1. to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.

  1. Accounting policies

The accounts have been prepared under the historical cost convention, and in accordance with Accounting and Reporting by Charities: Statement of Recommended Practice Charities (SORP) 2005, and applicable accounting standards.

General funds are unrestricted funds which are available for use at the discretion of the trustees in furtherance of the general objectives of the charity.

All incoming resources are included in the Statement of Financial Activities when the charity is legally entitled to the income, and the amount can be quantified with reasonable accuracy.

All expenditure is accounted for on an accrual’s basis.
