The Group Executive Committee welcome you all the 2021 Annual General Meeting of 1[st] Perton Scout Group.

We extend a very warm welcome to all our families who have joined us for this celebration of our new garden this evening and much appreciate the continued support given over the last 12-18 months.

Firstly, we would to introduce to you all our new official Group Scout Leaders Alan and Sharon Head. Alan and Sharon have been involved and volunteering for 1[st] Perton Scouts for over 20 years now and have agreed to become the leaders of the entire group.

PERTON 1st SCOUTS GROUP

MINUTES of the ANNUAL GENERAL MEETING held on Tuesday 29th September 2020 by Zoom “as a consequence of social distancing required due to the Covid-19 pandemic”.

Present M. Martin (Acting Chair/Treasurer) D. Poultney (District Commissioner) I Coleman (Secretary) S. Gallis (Scout Leader)

The meeting was jointly opened by M. Martin and D. Poultney, as the previous chair D. Sargeant) had resigned and the Group Scout Leader was not available. D. Poultney thanked D. Sargeant for his time and work for the Group during the tenure of his chairmanship.

  1. Apologies: H. Keilor, F.Head,

  2. Minutes of the last meeting were not presented as they were unavailable at present.

  3. Matters Arising - In consequence, there were no matters arising.

  4. Chair’s Remarks - As Chair, D Poultney welcomed the people to the meeting. In the absence of the Group Scout Leader, he presented the Group Scout Leader’s Report which had been compiled by M. Martin.

  5. Treasurer’s Report - M. Martin presented the accounts as attached (Appendix 1). Indicated that subscriptions were

increased compared to the previous year, aided to a significant extent by Gift Aid; the treasurer particularly thanked the parents for their considerable help in this respect. She indicated that the small deficit of £4,526 was a consequence of significant work to upgrade the fabric of the Scout Hut outlined in the chairs remarks. There was a need to realise new funding streams to maintain the work of the Group. The acceptance of the accounts was proposed by D Poultney, seconded by I. Coleman and approved by the meeting.

D. Poultney thanked all the section leaders for their support and hard work during the year.

  1. Appointment of Scrutineer. - Hollingsworth & Company Limited was again accepted as examiners.

  2. Approval of Group Scout Leader’s Nomination of Chair - In the current absence of the Group Scout Leader this item was held in abeyance.

  3. Election of Officers - I. Coleman was re–elected as secretary proposed by D. Poultney seconded by all.

M. Martin was re–elected as Treasurer proposed by D. Poultney seconded by all.

All agreed.

  1. Approval of Executive committee members- The following were approved by the meeting. A. Head and S. Gallis An invitation was also issued to any parents that may wish to join the committee.

  2. Any Other Business

Communication received from Revd Julia Cody regarding (restricted) arrangements for the Remembrance Day Service. S. Scout Group Registration Number 43821

Gallis agreed to liaise with Revd Cody to organise the Group’s representation at this service.

Imaginative use of Zoom had occurred to offset the absence of face to face meetings by the sections. The issue of enhancing individual interaction via Zoom was raised and it was felt that consideration be given ways in which Zoom might be used.

D. Poultney closed the meeting by reiterating his thanks to everyone who contributed so much to the work of 1st Perton Scouts in very challenging times.

Group Scout Leader’s Report

First of all I would like to thank all leaders and helpers for their support to enable us to take the role of team GSL. Especially Michelle who we couldn't have managed without. We are a good team and hopefully with our leadership this will continue.

The group has maintained a great level of members during 2020/21 considering the situation, Beavers 14 Monday cubs 16 Tuesday 15 and Scouts I would like to thank all leaders, young leaders and helpers for volunteering and giving up their time and providing a varied programme of events, camps and badges for all members in all sections.

Covid has proved a challenge for the group but thanks to Andy who got all our signs fixed all the hand sanitisers etc and Steve who sprayed the hut with some long lasting protection we have raised to the challenge.

I started helping at cubs when my eldest joined cubs at the age of 8, he has just turned 30. My lad was shy has dyspraxia with challenges that many of you parents will know about. Every child is different but the satisfaction that comes with helping a child makes it all worth while. Would anyone here like to make a difference and ensure that Perton Scout group still exists for not just our children but our children's children.

Looking forward we will be planning some group celebrations for the Queen's jubilee and for a group camp at Patsull Park.

We also need to look to replacing the huts heating so any ideas or help would be most welcome.

Finally the reason we are all here to celebrate us all being back together and to make full use of our new outdoor space. It certainly looks a lot larger than before and will hopefully last for many years to come.

We unfortunately, was not able to secure any Bag Packs during the year which do normally provide approx. £750 of fundraising for the group. Due to Covid this year, I feel it will also be unrealistic to expect us to be able to obtain one this year.

Overall, expenditure has increased by £5,622 but this is mainly work and improvements done to the scout hut as agreed and required. The group’s focus this year was to update the scout hut and improve the group’s overall image which we did budget and all agree for etc.

This current financial year has obviously been massively affected by Covid19. We are so grateful for the continued payment and support of the monthly subscriptions by the parents but our level of subscriptions being paid has reduced by 37%. We do have a small cash reserve available to help through this pandemic but I hope subscriptions will quickly increase back up to normal levels very soon. It is something I am monitoring and discussing with the group on a regular basis. As and when we are able to return to normal scouting meetings etc, I would like to suggest, that our focus should be on maybe organising many fundraising events over the next 6- 12 months to help bring the group’s financial position to a better level.

Over the last 12 months 1st Perton Beavers has had between 10-15 children with leader Laura running the group. Beavers do have a considerable waiting list however efforts are being made in the background to hopefully be able to extend the group and reduce the waiting list down.

This year has been very challenging for everyone with Covid19. As you all know, no one could mix so unable to have face to face meetings. Therefore, weekly zoom meetings and activities were done at home. Activities included having a space talk, mini first aid, evening with the Cosford RAF and a beaver camp at home with a full weekend of camp activities. All done over zoom which everyone really embraced.

Due to covid our normal events like firework evening, remembrance Sunday couldn’t happen but Beavers finally managed to return to face to face groups in June 2020. This showed how special and fun the ‘getting together’ is. Groups were based outside but was lucky with some great weather. Beavers did ‘Hula’ fun, bug hunting and leaf printing.

The past year has been very tough but Beavers kept running down to the commitment of Laura. Once returned, Laura was joined with a new sectional helper Kev. Sadly, Laura has recently decided to step down from Beaver Leader to Sectional Assistant. Beavers would like to thank her for all her hard work during the last 12 months. We are pleased to announce tonight, that Kevin has agreed to become the new Beaver Leader of 1[st] Perton and is looking forward to planning the next few months. Beavers are in need of some regular help so if any parents tonight are available to help out please have a chat with Kev.

We as a group, would like to take this opportunity to thank everyone, including our beaver families who have been extremely supportive, kind and patient during this strange and challenging time.

I’d like to thank all the leaders for their help and support over this last unusual scouting year.

Mark and Andy as section assistants but also our two young Leaders Ryan and Jamie. As with every section, leaders and helpers are key to be able to run a safe and enjoyable programme. With new scouts coming up from cubs and others wishing to join it is leader/helper numbers that will the restricting factor. Jamie now wants to continue and train as a leader but will be off to Uni before long (which we wish him well and am sure he will have a great time), So his time with us will be limited.

Scouts via zoom was an interesting experience and clearly not for all but we had a regular group who attended most weeks. It was quite a chore at times to come up with ideas to keep it as interesting as possible, but our young people stepped up and came up with quite a lot of ideas themselves. They taught me quite a lot on how to use zoom and various other internet tools as quite clearly they know far more than me!!

Since starting back face to face we deliberately kept things more casual and relaxed after what has been a difficult time for many. We did however indulge in many of our regular activities of burning stuff and cooking with a wide range of styles and ingredients!

At one particular night, the ready steady cook style, cook with randomly selected bizarre ingredients (back of the fridge and cupboard leftovers sort of thing) “How is this skills for life” came a comment! “Trust me, when you go to college or have your first flat and you come back hungry from a late night at the club or pub and the cupboards are almost bare you will thank me”!! As it happens, they created some interesting and very edible meals from the weirdest of stuff. They can all caramelize a banana now and quite a few other things were attempted too!

We currently have 23 scouts on the list with an average attendance of 18 -20 since we started back face to face. We are

expecting to lose a few that did not attend but have 9 cubs due to come up in September.

Next year......

Starting back with new scouts joining us we are looking to try out the nets course and high ropes course at Baggeridge with the confidence and team building aspects at the core of this.

Hoping also that we can arrange at least one camp this year too.
