Report of the Trustees

Constitution and objects

The Rotary Club of East Grinstead Meridian is constituted by the Trust Deed dated 14 December 2004, and its objects are to support general charitable purposes.

Trustees

The Trustees are members of the Rotary Club of East Grinstead Meridian. Their appointment is governed by the Trust Deed of the Charity and they are authorised to appoint new Trustees to fill vacancies arising through death or resignation of existing Trustees.

Investment Powers

The Trust Deed empowers the Trustees to make and hold investments using the general funds of the Charity. No investments, apart from the holding of cash in the Trust Bank accounts were made in the year under review.

Activities and Achievements

The Club's principal fundraising activities continued as before. The Golf day proved successful. Christmas collections were less than the previous year, arising from poor weather. The Tree of Light Appeal again raised considerable funds.

During the year the Club commenced to raise funds along with other Rotary Clubs in our District for the Cutout Cancer campaign to raise funds to equip new cancer treatment facilities for the Royal Surrey County Hospital in Guildford. That fundraising continues into the following Rotary year.

Generally donations and grants made were higher than the previous year, but the total was less as there had been a one off donation to St. Catherine's Hospice in the previous year.

All appeals and requests for donations are carefully scrutinised by the Club before the Trustees are asked to make any donations.

Financial Review

Funds in hand at the year end are adequate to enable the Club to respond to requests for support in the ensuing year. All management and administration costs are met by volunteers or the Club.

Statement of Trustees' Responsibilities

The Trustees are required under UK charity legislation to prepare financial statements each year which give a true and fair view of the Charity's financial activities for the year and of its financial position at the end of the financial year. The Trustees consider that a simple Receipts and Payments Account is the most appropriate form of financial statement having regard to the very straightforward and transparent way in which the Club operates. However, in preparing the financial statements, the Trustees are required to follow best practice and:

Adopt suitable accounting policies and apply them consistently.

Make judgements and estimates that are reasonable and prudent.

Disclose and explain in the Financial Statements any departures from applicable accounting standards and statements of recommended practice.

Prepare the financial statements on a going concern basis unless it is inappropriate to presume that the Charity will continue to operate.

The Trustees are responsible for maintaining proper accounting records, which disclose with reasonable accuracy the financial position of the Charity and also enable them to ensure that the Financial Statements comply with applicable law and regulations. The Trustees are also responsible for safeguarding the assets of the Charity and for taking reasonable steps to prevent fraud and other irregularities as well as for the risk management of the Charity.

Notes to the Statement of Financial Activities

1 Accounting policies

The accounts are prepared on a receipts and payments basis and include the results of the Charity's operations described in the Trustees' Report, all of which are continuing.

The accounts have been prepared in accordance with the Statement of Recommended Practice for Charity Accounts where applicable.

Fundraising and donations are accounted for as such receipts are received and fundraising costs and donations and grants are accounted for when such payments are made.

Value Added Tax is not recoverable by the Charity and as such is included in the relevant costs in the accounts.

Report of the Independent Examiners

Our examination was carried out in accordance with general directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts and seeking explanations from the Trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a "true and fair" view and the report is limited to those matters set out in the etstament below.

In connection with our examination, no material mattters have come to our attention which gives us cause to believe that in any material respect:

accounting records were not kept in accordance with Section 130 of the Charities Act or accounts do not accord with the accounting records.

We have come across no other matters in connection with the examination to which attention should be drawn to enable a proper understanding of the accounts to be reached.
