|**13_4/26**|**To discuss the village hall lease**<br>The Chair and Hon. Treasurer summarised the current<br>position regarding the lease negotiations. The Parish<br>Council Representative, Mr M Evans, advised that the<br>solicitor’s costs were estimated to be between £2,500<br>and £3,000plus VAT. Whilst the charitycould meet these||

||costs as a one-o^ payment, doing so would signifcantly<br>reduce its reserves.<br>A proposal was therefore discussed whereby the Parish<br>Council would meet the legal costs for both the lease<br>relating to Cuckney Play Park and the lease for Norton<br>and Cuckney Village Hall, with the latter sum being<br>treated as a loan to the charity.<br>The charity would then repay its share of these costs<br>over a period of ten years. Should the charity be in a<br>position to repay the full amount before the end of that<br>period, it would do so.<br>This proposal was unanimously accepted by the<br>Trustees.||

|**14_4/26**|**To discuss priorities for renovation in 2026**<br>The Trustees resolved that the priorities for renovation<br>should be the toilets.<br>**Kitchen**<br>Mrs M Rowson proposed that bespoke foldable work<br>sufaces be created in the kitchen to add more working<br>area but preserve the space as a meeting room.<br>**Exterior Cleaning**<br>Quotes for this work have been obtained.  Applications<br>will be made to grant funders to allow this work to<br>proceed.<br>**Toilets**<br>A quote has been obtained from Sarjant Construction.<br>Two more quotes will be required.  Applications for grant<br>funding will be made once to new lease is in place.<br>Hopefully this work can be scheduled for Jan/Feb 2027<br>to minimize disruption to hirers|NW to contact<br>Sarjant Construction<br>to get a quote<br>NW to make relevant<br>applications<br>NW to get quotes for<br>renovation of the<br>toilets.|

Mr K Shaw to make arrangements for the bar.<br>**SOS Fashion Show – June 2026**<br>Tickets sales are slow for this (as usual) but e^orts will<br>be made to push this out word on social media<br>**Parish 100 Charity Walk – June 2026**<br>Again, responses slow for this event but this year’s walk<br>is going to regarded as a proof of concept. ## _**Appendix i**_ 

## **Chairman’s report on the activities of the charity since the previous Special General Meeting held on 23rd April 2025** 

One Year ago, Norton and Cuckney Village Hall was welcoming the installation of our new heating system and the redecoration of the main hall. One year on, I am pleased to report the Village Hall has been available for use all year round and in that year, we have seen further renovations, with the new projector screen, the installation of a consistent internet connection, improved doors, our own sound and visual equipment, not forgetting our new kitchen. 

Throughout the year, it has been a privilege to continue to open the doors of the Village Hall, sharing each step of the process with everyone who has used the building. The positive feedback has shown our work has been worthwhile and we are delivering on our promise to make this community asset one that reflects the needs of those who it serves. 

This support has proven, not only to us as a Charity, but also to grant funders, that this project is worth supporting and that the hall is a worthwhile investment. If it was not for Tarmac,  Severn Trent, Bassetlaw District Council, the Co-Op, the Women of Welbeck and the Parish Council, then we would not have been able to complete this work at such a great pace. We are all truly grateful and thankful for their support. I would personally like to thank Nancy for co-ordinating the Village Hall renovation projects and submitting such compelling grant applications. We have also made progress on our lease negotiations, which will further illustrate our commitment to this building to all those who support us. 

I would also like to thank all the Trustees, as well as the friends of the Village Hall. My report would be far too long if I listed all your contributions, but our continued pace of progress would not be possible without you all. My thanks also go to the team at Jac’s Café and the local community, who have been with us throughout, positively supporting us every step of the way. 

We now turn to the toilets, along with the general accessibility of the hall, to ensure that all those who use the hall are comfortable and their needs are met. We have a strong base to build on and we will continue to listen and act on any feedback. 

I hope that our proactive responses will continue to attract new bookings, with a new weekly line dancing group starting soon, along with Nottinghamshire County Council using our facilities during the day for training. I also hope that the groups who have supported this hall continue to succeed, such as the Battle of Hatfield society who will be hiring the hall as part of an upcoming television programme. 

In summary, it has been an honour to Chair the Village Hall over the last year, I could not be prouder of our progress, or more thankful for the support we receive, and I look forward to what the next year holds. Kind Regards,
