The cost of the Hall is being amortised at 4% per annum to write of the cost over the period of the lease.

The equipment and curtains are being depreciated at the rate of 10% per annual on the reducing balance method.

## Section B: Structure, Governance and Management 

The Southwick and Widley D-Day Memorial Hall is governed by a constitution which includes a lease and trust deed originating on 7 October 1994 and was signed by the current trustees in 2025. The charity is constituted as a charitable trust.  The trustees are responsible for managing the charity in accordance with its governing document and charity law. 

Trustees are appointed or elected in accordance with the governing document. New trustees are briefed on the charity’s purposes, village hall operations, safeguarding and health and safety responsibilities, financial controls, and the Charity Commission’s guidance on trustee duties. 

## Section C: Objectives and Activities 

The charity’s objects are to provide and maintain a village hall for the use of the inhabitants of the parish of Southwick and Widley and the surrounding neighbourhood, without distinction of political, religious or other opinions. The hall is available for meetings, classes, recreation, social activities, community events and other forms of charitable community use. 

The trustees confirm that they have had regard to the Charity Commission’s guidance on public benefit when reviewing the charity’s aims, planning activities and setting hire arrangements. The hall provides accessible facilities that support community participation, reduce social isolation, and enable local groups, residents and volunteers to meet and organise activities for public benefit. In recent hot weather it has provided a “cool space” for older residents. 

## Section D: Achievements and Performance 

During the year, the trustees continued to operate and maintain the hall as a community facility. Regular users included local clubs, band practices, fitness classes, parish council meetings, children’s activities, social groups and private hirers. The

hall also supported the very popular Revival Weekend, fundraising events of other charities, local government elections and community events. 

Key achievements for the year included: 

- Maintained regular community access to the hall 

- Grew income from 2025 

- Completed small repairs, maintenance and improvement works 

- Secured donations from the parish council and Revival Committee for small improvements to the facilities. 

## Section E: Financial Review 

The charity’s principal sources of income during the year were hall hire charges, fundraising, donations and, where applicable, grants. Expenditure was mainly incurred on utilities, insurance, maintenance, repairs, cleaning, administration and other costs necessary to keep the hall safe, available and fit for community use.

The trustees review the charity’s finances regularly and aim to hold sufficient unrestricted reserves to meet routine operating costs, insurance, essential maintenance and unexpected repairs. The reserves policy is to hold six months’ expenditure unless a different level is justified by planned works or financial risk. 

At the year end, unrestricted reserves were £34576.10. there were no Restricted funds. There were no funds materially in deficit at the year end. 

## Section F: Risk Management and Future Plans 

The trustees have considered the principal risks facing the charity, including rising operating costs, building maintenance requirements, volunteer capacity, health and safety, safeguarding, insurance, and continuity of bookings. The trustees manage these risks through regular review of finances, maintenance planning, appropriate insurance, policies and procedures, and oversight of hall operations.

(1) Due to an error on BGs part, they billed all of the Hall’s electricity to the Church’s account since they took over in late 2024. This was rectified in July by payment of the outstanding Halls amounts to the Ch Onwards the billing arrangements use the correct separate banking details for the two Churches and th Amounts for the Hall for 2024/2025 £763.85.
