Rotary Club of Oxford Isis Trust Fund

Annual Report for the 12 months ended 30[th] June 2023.

## **Trustees**

Rotarians Roger Long (Chairman), David Hughes (Secretary), Robert Fitchett (Treasurer) and Malcolm Fearn were the Trustees throughout the year.

## **Structure, Governance and Management**

Registered with the Charity Commission, number1038992.

The governing document is the Deed of Trust dated 13 January 1994. The Trust is the charity arm of the Rotary Club of Oxford Isis (Club)

New trustees are elected on a vote of members of the Club.

## **Summary of Objectives**

The relief of the poor and needy or to or for such other charitable purpose, institution, society, or object as the Club shall direct.

## **Public Benefit**

Throughout the year, the Trustees have kept in mind the Charity Commission’s guidance on public benefit.

The Club was active in raising funds for the Trust and engaging with the community. The main events organised were the Cowley Classic Car Show, two Classic Car Drives, the Blenheim Run(s) and the Christmas Float Tour around Woodstock.

Members of the Club also helped with the November Fireworks Display put on by Oxford Round Table.

A public collection to support a local food bank and a charity proving meals for those in need was held in December. An emergency collection was organised in February to support victims of the earthquake in Turkey and Syria.

Club Members were again generous in donating personally to the Trust.

From the various activities undertaken, the Trust was able to provide grants for local, national, and international good causes.

All members of the Rotary Club of Oxford Isis are unpaid volunteers, and the charity could not function without their tremendous individual and collective efforts. The Trustees extend their heartfelt thanks to all our fellow club members for their wonderful commitment to improving the lives of others.

## **Achievements and Performance**

See the Accounts provided for details.

In the 12 months to 30[th] June 2023, total receipts were £26,796, and costs paid out to undertake the fundraising activities totalled £6,480. Net income from all fundraising and other sources was £20,316.

Grants made to support local, national, and international charities over 2022/23 totalled £20,851. The largest of those grants was £6,800 to the Charity, Dogs for Good, which was used to buy and train an assistance dog to help someone with a major disability to deal with everyday chores.

A further £79 was spent on putting on with another Club “Youth Speaks”, which encourages public speaking by school students.

## **Reserves Policy**

The policy is that there should be sufficient reserves to cover in the following year:

a) The charitable activities planned such as Youth Speaks.

b) The fixed costs of fund-raising events planned (should they be cancelled), and if such events do take place, to meet any shortfall should the income not be sufficient to cover the total expenditure of such events.

## **Restricted Funds**

Our Trust policy is that income should be paid over to the relevant beneficiaries as soon as it is administratively possible to do so.

## **Risk Management**

All activities undertaken by the Club are subject to the Club’s risk management policies and processes. A risk assessment is undertaken for each event with a strong emphasis on health and safety.

All activities involving members of the public are covered by a comprehensive insurance policy arranged for all Rotary clubs by Rotary in Great Britain and Ireland.

This report was approved by the Trustees and signed on their behalf.

We report to the Trustees of the Rotary Club of Oxford Isis on our examination of the Trust Accounts for the year ended 30[th] June 2023.

## **Responsibilities and basis of report**

As the charity trustees of the Trust you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (‘the Act’).

We report in respect of our examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out our examination we have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.

## **Independent examiners’ statement**

We have completed our examination. We confirm that no material matters have come to our attention in connection with the examination which gives us cause to believe that in, any material respect:

- the accounting records were not kept in accordance with section 130 of the Charities Act; or

- the accounts did not comply with the applicable requirements concerning the form and content of accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a ‘true and fair’ view which is not a matter considered as part of an independent examination.

We have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.
