The period of reporting covers the accounting period up to the end of September 2021.

The financiai statements for the year ended 30th September 2021 again show that the FFHS has continued to enhance its web-based support of members without any increase in subscription costs. We are pleased to report that the set-up cosis associated with our improved on-line offer have been funded by the retrenchment in physical outreach imposed by the COVID-19 pandemic.

At Exeter in September 2021, we attended our first craft show in almost two years. Whilst governmental restrictions regarding the pandemic are set to ease over the coming months, recent experience suggests that re-establishing full public confidence in physical events may take considerably longer. Nonetheless, we are committed to supporting our members by providing ongoing public outreach and awareness at physical gatherings in a variety of seitings.

Our re-formatted bulletin continues to attract huge attention and our mailing list is growing all the time. Parish Chest, our recently acquired ‘marketplace’ facility is also going from strength to strength with its membership subscriptions facility (with no service fee) being particularly popular as a very tangible benefit of Federation membership.

Our AGM/GM was held as a hybrid meeting this year and attracted many more attendees ihan recent physical gatherings. We are now committed to continue holding all future AGMI/GMs in this format since it provides all our members - including those from overseas - the opportunity to attend and participate.

Our first FHF REALLY USEFUL Family History Show in the autumn of 2020 was both a great success and a significant learning experience! It attracted over 2000 online visitors - with around 20% being from overseas. With its popularity established - and the pandemic still in full-flow - we then committed to holding the event twice more in 2024, in April and November

Also launched for the first time this year has been a four-week series of “Beginning your Family History” online courses. The first was held in April 2021, with more following in May, June and September. Thus far, we have trained over 100 newcomers to family history.

During this past year we have lost Gwen Newland as a member of Federation executive. We are very sorry to have lost Gwen and are most grateful for the service she was able to give. On a happier note, over the same period we have weicomed Dr Penny Walters, Yetunde Abiola and Gary Stephenson onto the executive. Gary is to become the new Treasurer after John Napper retires from the committee after 8 years in the role. We are most grateful to John for all his hard work on behalf of the Federation and hereby confirm he will be sorely missed,

Our Articles of Association allow for the appointment of up to twelve Executive Committee members. We currently have only eight serving officers and thus are far short of our full complement. We would welcome more, since the depth of support we can deliver as an organisation is totally dependent upon the selflessness of our serving officers who now comprise: Steve Manning, John Napper, lan Waller, Dianne L Sutton, Jacqui A Simkins, Gary Stephenson, Dr Penny Walters and Yetunde Abiola.

Last, but not least we must thank all our extremely hard-working team of contractors David Lambert, Company Secretary; Kevin Todman, Data Services Manager; Doreen Holtermann, Find My Past Data Co-ordinator, Debbie Bradley, Administrator and Richard Yates, Finance Officer. We truly value their unstinting and generous service and trust they will continue to support us well into the future.

The Directors present their report with the financial statements of the Company for the year ended 30th September 2021.

The Company’s aims and objectives

Purposes and Aims

The objects for which the Company is registered are by charitable means:

i) To promote, encourage and foster the study of family history, genealogy and heraldry and in furthering this to co-ordinate and assist the work of Member Societies and bodies interested in family history, genealogy and heraldry and

ii) To promote the preservation, security and accessibility of archive material.

Ensuring our work delivers our aims

The Company reviews its aims and activities each year as part of Its Strategy and looks at what it has achieved and the outcome of its work in the previous 12 months. The review locks at the success of each key activity, namely, Education, Archives Liaison, Projects, Publicity and Communications and the benefits they have brought to those groups of people it was set up to help. The Company reports to Members at the Annual General Meeting and it posts on its website written reports of its Directors on activities following the Annual General Meeting.

The Directors of the Company are all members of the Executive Committee and are trustees of the Company for the purposes of charity law. The Directors who served during the financial year up to the date of approval of this Report are listed below.

The focus of the Company’s work

Our main objective for the year continued to be ‘to promote encourage and foster the study of family history genealogy and heraldry’ and to coordinate and assist the work of Member Societies and bodies interested in similar studies.

The impact of Covid-19 Pandemic has resulted in many activities being on a virtual platform.

The strategies we have used to meet our objectives included:

The Company only attended 2 Craft Shows in 2021 due to the Covid-19 Pandemic. All the other family history events that we planned to attend throughout the UK did not go ahead and were cancelled due to Covid-19.

We did however launch the FHF REALLY USEFUL Family History Show which wasa virtual Show held in November 2020 and a second Show in April 2021. These have been hugely successful with an average of 70 Family History Societies attending together with other family history organisations, and we had over 2,000 online visitors at each event.

The Company has embraced the use of virtual meetings and held its Annual and General Meetings as hybrid meetings in June 2021. In September an informal ‘getting to know you’ online meeting was held for members allowing them to meet officers of the Company to discuss current issues important to Member Societies.

Federation of Family History Societies Services Limited (‘the Services Company’), the Company's wholly owned subsidiary, has continued to collaborate with Findmypast Limited, trading as ‘Findmypast’ (‘FMP’). The Company has a contract which came into effect on 24st April 2646 that will run for at least ten years ensuring continuance of the arrangement between the Company and FMP. This provides a means for our Member Societies to place their data online, furnishing them with a source of revenue and benefitting family historians world-wide by providing access to vital data. A substantial volume of fresh data has been added to the collection during the year including updated and improved National Burial Index information that benefits users of the FMP service, as well as contributing Member Societies.

The Services Company operated its Family History Books and Parish Chest operations for the Company online and saw an increased take-up by the public and Member Societies. Ail Member Societies are.now treated as members of Parish Chest as a benefit of their membership of the Company, subject to them activating this. The ability of members of Member Societies to pay their annual membership subscriptions has been added to Parish Chest free of charge to the Member Societies.

How the Company’s activities deliver public benefit

The Directors have referred to the Charity Commission‘s general guidance on ‘public benefit’ when reviewing the Company's aims and in planning future activities. The Directors are satisfied that they have complied with the duty in section 17 of the Charities Act 2011 to have due regard to public benefit.

Risk Management

The Directors recognise that they should manage the Company's risks effectively. They have taken into account during the year the principal risks and uncertainties facing the Company, especially due to Covid-19 Pandemic, and identified the major impact of risks to the Company, including its strategic . plans for the future, risks to its financial sustainability and the impact on achieving the Company’s objectives. From March 2020 the Covid-19 Pandemic required immediate changes to the way in which the Executive Committee as Directors operated and managed the Company. The Executive Committee continued to meet virtually online. This has enabled them to discuss more reguiarly and in greater detail than previously future Strategy and additionally how to assist Member Societies, as a result of ihe impact on them of the Covid-19 Pandemic. The Directors are satisfied that their systems and policies are adequate to manage and reduce the risks

Projects.

The Company made the final payment towards the cost of computerising the Mancrial Documents Register (MDR) by The National Archives (TNA) before the year end. This concluded the contractual arrangement. The Company has increased the.provision of services online. Our first Podcast was recorded in September 2020 with a series of podcasts following in late September 2021. It was agreed by the Directors that steps should be taken to update the Company’s website in 2022.

Outreach

The outreach work of the Company provides advice and information to members of the public interested in the study of family history, genealogy and heraldry. We have traditionally performed this service by means of face to face consultation at public events, as well as through the distribution of ‘Our Really Usefut Information Leaflet’ (RUL) and other helpful material, provided at no charge whenever the opportunity presents itself. All our Member Organisations are listed in the RUL at no cost to themselves.

The RUL, plus other material is available for free download via the Company's website to interested parties and external organisations involved in teaching and promoting the study of family history, genealogy and heraldry.

The Company's booklet entitled ‘My Family Tree’ continues to prove very popular. Copies have also been made available to members of the public to download from the Family History Federation website and a small number have been distributed by post.

A general information service is available to the public online, by telephone and by post.

In 2018'Family Tree Magazine published its first ‘Family History Handbook 2018’ in association with the Company. Details of Member Societies were given in a directory contained therein. The Company was pleased to be involved again in the 2021 edition.

The Company has been able to continue to attend virtual public events due to the commitment and dedication of its team of volunteers and the generosity of event organisers.

A Monthly online Newsletter, now called the Really Useful Bulletin was distributed to about 15,000 subscribed individuals and organisations with an interest in family history, genealogy and heraldry.

A growing social media presence via Facebook and Twitter has had a positive impact allowing us to engage with a wider group of interested parties. The Company's engagement increased during the year.

The Company held a number of ‘Virtual Coffee Mornings’ and encauraged Member Societies to attend online to exchange ideas and to support them through this difficult time. These proved to be popular and well attended.

We attended a number of virtual fairs in 2021 run by our member societies which proved to be very popular and attracted visitors from all over the world.

Plans for Future Periods

The Company plans to continue the activities outlined above in forthcoming years subject to satisfactory funding arrangements.

It is not felt necessary to raise subscriptions for 2022. However, this situation can only continue if the Company continues to be prudent and effective in its operations. The current healthy financial position is due in no small part to the continued hard work of the Company's Financial Team and the members of the Board of Directors to constrain costs as well as the financial contribution of the Services Company.

Even when meetings become face to face again we will still continue with the Virtual Coffee Mornings as a way to communicate with our member societies as our members are all over the UK and worldwide.

The Company intends te hoid its virtual Really Useful Family History Show in November every year due to the accessibility to overseas visitors.

The Company has run beginners’ courses for members of the public and intends to repeat these in the Spring of 2022. It plans to run a similar course jointly with Bedfordshire FHS in 2022.

Structure Governance and Management

The Company has a President who is appointed for a 5 year term. The President may stand for reelection for a second term of 5 years. The President Dr Janet Few was appointed at the AGM in June 2021. The main function of this post is to attend and chair the Company’s Annual General Meeting and te promote the activities of the Company.

The Company currently has four life Vice Presidents, Dr Colin R. Chapman, Derek A. Palgrave, Mrs Pauline Litton MBE and Lady Teviot ali of whom have made a valuable contribution to the Company.

The Company has a Board of Directors who comprise an Executive Committee of up to 12 members. It did not meet in person during the financial year under review due to the Covid-19 pandemic. All such later meetings have been held virtually since March 2020, every two weeks. The Directors are responsible for the management, strategic direction and policy of the Company. At their meetings they review the finances, human resources, development and delivery of activities that contribute to the charitable objectives. At the end of the financia! year there were 8 elected Directors from a variety of backgrounds.

The Company retains the services of a Company Secretary who is appointed by the Executive Committee. He attends Executive Committee meetings but has no voting rights.

To facilitate operations the Executive Committee has put in place a scheme of delegation so that day to day responsibility for the administration of the Company rests with the Administrator along with the Finance Officer with assistance where appropriate from the Company Secretary.

Governing Document

The organisation is a Company limited by guarantee, (Company number 02930189) incorporated on 18th May 1994 and is a registered charity (Charity number 1038721). The Company was established under a Memorandum and Articles of Association which state the objects and powers of the charitable Company. It is governed under new Articles of Association, adopted on 17th April 2004 as amended at the General Meeting in September 2012 and the Annual General Meeting in March 2013, May 2020 and May 2021. Itis planned to ask members to approve the adoption of new Articles of Association at the 2022 Annual General Meeting.

In the event of the Company being wound up, each Member Society has agreed to contribute an amount not exceeding £1.

When carrying out its activities the Company uses a variety of names including Family History Federation, FHF, the Federation in addition to its corporate name.

Recruitment and Appointment of Directors

The Directors of the Company are also charity trustees for the purposes of charity law and under its Articles of Association are known as members of the Executive Committee. Under the requirements of the Articles of Association, the chairman and other members of the Executive Committee are elected to serve for a term of four years commencing at the conclusion of business at either the Annual General Meeting or General Meeting at which he or she was elected to the Executive Committee by Voting Members. They may stand for re-election for a further term of four years but no Executive Committee member shai! serve for a continuous period of more than eight consecutive years.

The Executive Committee have power to co-opt no more than four persons to act as additional members of the Executive Committee until the next Annual General Meeting or General Meeting following their co-option, even if the total number of members of the Executive Committee, including co-opted members shall exceed twelve. All members of the Executive Committee give their time voluntarily and received no benefits from the Company. Any expenses reclaimed from the Company are reflected in the accounts.

Directors Induction and Training

Most Directors are already familiar with the practical work of the Company, having held key positions on the Committees of Member Societies to which they belong.

New Directors receive a copy of the Memorandum and Articles, Roles & Responsibilities handbook and the latest as well as the previous year's financial statements and accounts. They are also directed to read and follow the Code of Practice for Directors which was adopted for them some years ago.

Directors have been given training at meetings held during the year on the legal aspects and implications of being Directors and charitable trustees, to help facilitate the understanding of their role.

Membership of the Company is of three classes, namely:

. Associate Membership - open to all Societies or Bodies (other than those eligible for Ordinary Membership) which are interested in family history, genealogy or heraldry and whose association with the Company, in the opinion of the Executive Committee, is considered desirable.

e Institutional Membership - open to all Bodies other than Societies or Bodies eligible for Ordinary or Associate Membership including (without prejudice to the generality of the foregoing) libraries, archives, repositories and public institutions that are interested in the preservation, security and accessibility of archive material and whose association with the Company in the opinion of the Executive Cammittee, is considered desirable.

The Company had a membership of 165 during the year comprising of 131 Ordinary Members and 34 Associate Members. There are currently no Institutional Members.

Reserves Policy

Itis the policy of the Company to maintain unrestricted funds which are free reserves of the Company at a level which equates to a minimum of twelve months core expenditure. This fund is required to ensure that the Company is able to meet its potential liabilities. The Directors have in place their own procedures for reviewing and reducing the major risks to which the Company is exposed. Internal risks are minimised by procedures for authorisation of all transactions and projects and to ensure a consistent delivery of all aspects of the Company

2 ACCOUNTING POLICIES

Accounting convention

These financial statements have been prepared in accordance with financial Reporting Standard 102 "The Financial Reporting Standard applicable in the UK and the Republic of Ireland" including the provisions of Section 1A “Smaller Entities" and the Companies Act 2006. The financial statements have been prepared under the historical cost convention. ~

Turnover

Turnover comprises subscriptions received from members and any surpluses arising from the carrying oul of the company's charitable activities, all amounts exclude value added tax and trade discounts.

Tangible fixed assets

Depreciation is provided to write off the cost of tangible fixed assets on a straight line basis as follows:-

Software, computers and printers 25% per annum Display equipment 25% per annum

Investments

Investments are inciuded at cost less amounts written off. Profits or losses arising from disposals of fixed asset investments are treated as part of the result from ordinary activities.
