## **North Hykeham War Memorial Hall and Playing Fields Trust** ## **Charity Number: 1037017** ## **April 2020-April 2021** ## **Chairpersons Annual Report:** This has been an unprecedented year! Like so many other organisation’s the Trust was forced to close the doors for most of last year in order to help prevent the spread of COVID-19. During April 2020 the Trust successfully applied and received a £10k government grant for both the Sports Club and Memorial Hall. This helped support the costs of overheads and spoilt stock accrued during the first lockdown period. Throughout the remaining periods of closure to April 2021 both the Hall and Club have been in receipt of regular grant payments. The Trust also utilised the government furlough scheme for all staff with most remaining on the scheme whilst the facilities remained closed. Despite the challenges, the Trust has been able to top up salaries and retain staff, most of whom volunteered during the lockdown period to deep clean the premises, organise maintenance contractors and deal with anti-social behaviour. The Trust would like to acknowledge and thank staff for their valuable contribution and dedication during the past year. In October 2020, the Chair of the Trust resigned from his position and at a meeting held on 22nd October 2020, a temporary Chair and Vice Chair were elected to stand in until such times as a safe AGM could take place. At a special meeting held on 19[th] November 2020, Trustees agreed that: **Due to the COVID-19 crisis, the Trust would be unable to hold an open AGM in July 2020. The governing document (21.4) requires that notification of the AGM must be given in the area of most benefit. Due to all premises being closed to members, this was not possible. Trustees were also opposed to holding the AGM via digital format due to concerns around confidentiality and security. It was therefore agreed that the AGM would not take place and is supported by government guidance issued to Charities https://www.gov.uk/guidance/coronavirus-covid-19-guidance-for-the-charity-sector#agms-and-othermeetings-postponing-or-cancelling-meetings** - **The Treasurer agreed to submit final accounts and a full report to the Charity Commission by 31[st] January 2021.** - **The Acting Chair and Acting Vice Chair would continue in their unelected roles with the full support of existing Trustees and that any newly nominated Trustees would be referenced as “co-opted” Trustees.** - **An AGM to be scheduled for July 2021 if permitted.** In November 2020 Trustees were unable to host the annual remembrance event. Instead, local residents were requested to attend the Memorial individually for quiet reflection and to place wreaths and poppies. The Trust would like to thank North Hykeham Town Council for tidying the area prior to Remembrance week and to one of the Trustees for mounting the wreaths afterwards. Following the 3[rd] lockdown between Jan – Mar 2021, the Club and Hall prepared to open outdoors in accordance with guidance. The Hall and Club received a final grant payment of £8,000 each.
