The Trustees present their Report and Accounts for the year ended 31 March 2021.

## **The charity name.** 

The legal name of the charity is:- Surviving Christmas 

## **The charity's areas operation and UK charitable registration.** 

The charity is registered in England & Wales with the Charity Commission in England & Wales (CCEW)  with charity number 1033117 

The trustees are all  individuals. 

## **The Trustees in office on the date the report was approved were:-**

Trustees discuss suitable Surviving Christmas members bearing in mind the legal rules on eligibility, skills and knowledge, who are approached and if the member is in agreement the reccomnendation is taken to general committee for proposal. The member is given induction material including the governing document, accounts and previous meetings minutes. 

## **Structure, governance and management of the charity** 

The Trustees meet monthly during each year to discuss the performance of the Charity and make decisions as appropriate. 

## **The charity's financial position at the end of the year ended 31 March 2021** 

The financial position of the charity at 31 March 2021 and comparatives for the prior period, as more fully detailed in the accounts, can be summarised as follows:- 

## **2021 £ Net income** 1,984 

The charity's trustees are responsible for the preparation of the accounts in accordance with the terms of  the Charities Act 2011 and the Charities (Accounts and Reports) Regulations 2008. Notwithstanding the explicit requirement in the extant statutory regulations,the Charities (Accounts and Reports) Regulations 2008, to prepare the financial statements in accordance with the SORP 2005, in view of the fact that the SORP 2005 has been withdrawn, the Trustees determined to interpret this responsibility as requiring them to follow current best practice and prepare the accounts according to the FRS 102 SORP (Statement of Recommended Practice for Accounting and Reporting by Charities)  2015 (as amended by the Bulletin issued in February 2016) . 

The law requires that the trustees must not approve the accounts unless they are satisfied that they give a true and fair view of the state of affairs of the charity and of the surplus or deficit of the charity for the year.

## **Chair's Annual Report 31 March 2021** 

This report is presented by the Chair for the year 2020-21. 

The main objective of the charity, Surviving Christmas is to relieve in cases of need, hardship or distress, persons who are resident, whether temporarily or not, in the county Borough of Hastings or the Rother District in the County of East Sussex. 

Throughout 2020 our charity, as with other charities, were unable to fundraise in view of the COVID-19 pandemic restrictions which saw us through lockdowns and isolation.  The pandemic affected everyone in the country and put pressure on those most vulnerable in our community with mental health issues.  We adjusted to the restrictions by changing our 'modus operandai' - Trustees and lead volunteers were invited to Zoom meetings to discuss the way forward in the light of the Covid pandemic and how we could continue to support the community. 

We managed to help other local charities and the food banks with supplies we held over from last year. 

As Chairman I felt that our two day event over Christmas was definitely not possible and after liaising with the Salvation Army Captain and our Trustees we all voted, with heavy hearts, not to have the two day Christmas meals and associated support in the form of the clothes bank, hairdressing, showers, medical help and access to constant refreshments and entertainment as we normally do.  It was with great regret as this was the first time in 35 years that we had not provided this very welcome support and assistance over Christmas.  It would not have been possible to protect volunteers and guests from the virus and most certainly too big a risk to the local community.  t would also have been a complete unknown as to how many guests we could expect as the lockdown restrictions were changing and restrictions put in place which would either prevent attendance or would increase our guests fear of the risks associated with Covid. 

We did, however, decide to proceed with the provision of Christmas food hampers to those nominated by the local agencies and the team proceeded to make arrangements with those agencies.  We estimated that a minimum of 700 hampers would be required and fortunately our box supplier came up trumps yet again by supplying the required boxes free of charge.  The Trustees decided that we would not hire vans to deliver the hampers this year but just one to collect the boxes and distribute to those who were totally unable to collect or be delivered to, by the agency which nominated them. 

Volunteers were kept to a minimum which was disappointing to those who really felt they wished to volunteer again this year but the risk of the spread of Covid amongst our volunteers was too great, to consider using too many different volunteers. 

It was an emotional year with news of our dear Mrs Santa who lost her life to Covid along with her daughter.  We all send our condolences to our Santa and hope that he will be able to continue with Surviving Chistmas this year as Santa Clause, if we are in a position to resume our normal options for the local community. 

We also negotiated a reduction in the cost of using the Salvation Army premises and saved over a thousand pounds in that area.  We launched an online Crowdfunder appeal and received an amazing response with donations from schools, churches, societies and individuals.  We also had a great response to written appeals to our regular doners and it was encouraging to see, at the year end, our reserves were back up to sixty thousand pounds even though we had had to purchase all the hamper contents. 

Overall the project was a success and there were many changes made to our procedures which we feel could be implemented this year to save time and money.  We certainly hope that the COVID-19 restrictions will be lifted by December 2021 and we can once again return to 'normal service' and provide as much help and support to our local communities as we have in the past.

## **Independent Examiner's Report 31 March 2021** 

I report on the accounts of the Charity for the year ended 31st March 2021, which are set out on pages 4 and 5. 

## **Respective responsibilities of Trustees and Examiner** 

The Charity's trustees are responsible for the preparation of the accounts. You consider that an audit is not required for this year under section 144(2) of the Charities Act 2011 (the 2011 Act) and that an independent examination is needed. 

Having satisfied myself that the charity is not subject to audit under company law and is eligible for independent examination, it is my responsibility to: 

-  examine the accounts under section 145 of the 2011 Act; 

- to follow the procedures laid down in the general Directions given by the Charity Commission under section 145(5)(b) of the 2011 Act; and 

- to state whether particular matters have come to my attention." 

## **Basis of Independent Examiners Report** 

My examination was carried out in accordance with the general Directions given by the Charity Commission.An examination includes a review of the accounting records kept by the Charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you as trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given as to whether the accounts present a 'true and fair view' and the report is limited to those matters set out in the statement below. 

## **Independent Examiners Report** 

In connection with my examination, no matter has come to my attention: 

(1) which gives me reasonable cause to believe that, in any material respect, the requirements: 

- to keep accounting records in accordance with section 130 of the 2011 Act 

- to prepare accounts which accord with the accounting records, comply with  the accounting requirements of the 2011 Act 

have not been met; or 

(2) to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.
