My examination wa5 carried out in accordan￿ with the general tirections given by the Charity
Commi55ion. An examination includes a review of the accounting records kept by the charity and a

Sue explalned that rt was important for all Committ•8 Member5 to have an
underntsnding of safeguarding and gave out copies of the Eady Years Alllance mini*
guide 'SafeguardirvJ Responsibilib'es ol Charity Trustees,. At our last 6afeguardiThJ
audit we were infonned that 'all committee members should be suttably trained In
ordér to provid• appropriate gUPPOrt and challenge in en8uring the seth'ng is meeting
Its safeguarding requirements.. Sue advised that if an allegation was made against
her rt would be the Committee thatwould have to do the invests'gation8 and alwOf5ted
may want to speak to Committee members at our Inspecttons.
Sue again gave out the dates for the safeguarding tralning which havo algo been
attached to these minutes. This course is free of charge and is 4 hours long (9.30 a.m.
1.30 p.m.) and can be carrbed out at Brunswick House on Beverley Road in person
or vlrtually on-line. Once completed the 98feguarding training is valid for 3 year3. If a
committee member has a current children's safeguardirvJ certificate from their
workplace, then this is valid rf we receive a photocopy for our records. Therefore.
members were asked lo send Sue copies of their Certificat￿ rf applicable.11 members
had not received safeguanling training, Sue could arrange this for them so please k

Soptember 2023 Intake: We currenuy have 38 cJ)ildren on aur register which indud8S
10 children who retumed fr(xn last year. INe have a few spare sessions mainly on
Friday and we are considering ringing the parents at the top of next years walting list
to see rf they would be interested in a January 2024 intake. Vve. would only be abla to
accornmodate one or tsyo Children. Ruth suggested that we leave It untsl the Easter
tetm because our current parents may wish to take extra sessions in preparation for
the children going to school. Li8a said that she Ivould be intsr8Sted in thi8. Our
Breakfa$t club is not very busy arKI varles bets¥oon O and 4 children per day. Sue said
this was not a great concMI because the stsff do not get paKI for coveriw the
Breaklast Club and therèfore are not losing money.
Three children recelve SEN Indusion Support Funding at Level 3 tn order for u8 to
prowde intensive interventions. Six children have boen referred to Speech and
Language. Five thildr8n haye allergies but this Is nothlng comparad to the compknx
alleTgbe$ ￿ had Sast year.
Six chlldren recelve Early Years Pupil Premium %thlch18 an extra £353 per annum
funding per child. We have WTitten to parents for ideas of how to spend this ftjnding
which 1$ provided to enhance the child's experiencelieaming and can be spent on
rgsources. staff training, inteMntions etc.
8tsfflng: There were no staff changes In Septombor 2023. All staff are back to th8ir
nomial hr)ur8 and are continuing to ¢owr broakla8t club, lunche* and deaning dutie8.
Budg•t & Fundlng: Elaine gave everyone a copy of the 2023r2024 budget and the
Financial Ststsment for last year. Elaine advised that our reserves have increased by
£9500 over the yoar. We reduced staff hourn in the Autumn term due to lrywer
numbars. a8 the birth rate was exceptionally low for this cohort We also r•c4ived
addibonal fijnding as we had children additronal needs. The fiJnding we re(xived
from the Disability Access Fund is beiNJ used to pay for another shed *thich is being
8et up as a rnark making area. Funding has now increased to £4.68 per hour. We have
13 spare sessions, which is equal to £182.52 funding por week {£4197 for the
remairKler of the yearl. '&nce meeting. we have cont8Ct&Y 8 p8rnnt from our
waiting list and we have a child starting in January who will be a￿eSSing 3 Se￿10n6
P8r week. We have no update8 regarding the lease of Ihe building.
Banklng: Elaine reported that we are still in the process of changing our bankiry
fa¢ilibe8 to on-line. All the forni$ have been comploted but it is taking $0 long with th•
bank corning ba¢kwar(Is and foThvards to Elaine for more information. We have had to
add staff member8 to be trustees as the bank would not accepl us onto the bank
account otherwise. The bank will not automalically transfer all our stsnding orders to
the new account, Elaine has to do Ihis manualty. Consideriro we have been banking
with Lloyds tor 30 years it has been a nightmare to open a new account and once the
bank account has been set up, Elaine intend8 to do a letter of compiainL

Parental Partner•hlp: We had a parents evening in Oclober vthich was V￿11 attended
and all parents were happy wtth their child's progrèss. We will be offering Stay and
Play sessions to parents after Christrnas. We also be attending a trainlng session
whith is being held by the local authority to leam about ways to promote the home
leaming environment with parents IPEEP training).
Fundral8lng: Sue advised that we raised £252.00 on our fickled Pink Day ad £46.00
for Children in Need.

S•ptsmb•r 2023 Intsk•: We had a few spaces available followng our
Septsmber intske arKI therefore we took on arther child in January 2024.
Some chlldren had also Increased tsir hours which means that we are almost
fijll, only a few SPa￿S left on a Friday.
Four th￿dren now receive SEN Inclusion SUP￿ Funding at Le￿1 2 or 3 and
we are in the process of apptying for an Educalfional Health Care Needs
Assassrnnt Request for one af these chiklren.

Parental Partnernhlp: We are holding Parents EvenirvJs on the 18th & 19th
March. We are also having Stay and Play sessions on the 11th 12th and 2181
March. These are all full and we will be puth'ng on more sessions after the
Easter holidays. We have sent out our annual Parent Questionnaires
req￿ting feedback from parents regarding our provision. The majority of the
replies are very posllfve. One or parents commented that Ihey do not
rec£ivo lots of inf0m￿tion about ￿at their child is doing each day, eswially
if they do not do the drops off and pid( up3 (we have lots of grandparents and
childmirKlers who do th8 school wn). To ty and rectify thls have sent a copy
of our planning to 811 parents which highlKJhts thè knpics arKI actiwties V￿ *411
be covering this temi and regulaty post lots of photos on Facebook. Parents
are en￿Ur8ged to ring us al the end of the day rf théy vAsh to speak to treir

lo gNe parents infomiation on that day. Sue advised that VR complete dally
dlaries for Our children vtho have addib.onal needs but it would be too time
con8uming to complete them for all 26 childrnn each day.
Fundral•lng: Sue adw8ed that had rernived a genercyjs donation from a
parent T•thich we ha¢ used to open up a savings bank account for the now
building. We had sent out our annual Sponsored Cram 8ox•s and we w•rn
p8rtlclpats.ng In Comic Relief on the 15th March.

OJr nativity performance was filmed by a group of 8tudgnts from Vlllberforce
College wilh the intention of selling 'th8 lin￿ of the perfom)ance to parents.
Unft)rtunateiy, the reeA>f(ling we re(*ived was not of the cornplets performance
and th•rnfor• wo w•r• unablo to give this to parent• on this occ*sion. HLiwwer
the college students appreciated the opportunity to film a 'real life, production
and wll do the same again this year but will give Ihe col*e more tlme to
edit their recording.

parents paying for a place between September atKI Decwnber or starb'ng with us in
January 2025 once they are eligible for their funding. The Local Authority are vgry
keen for seth'ngs to tske on 2 year old children as a result of the extended thildcare
policy the govemment have introduced. This is not an opb'on for us at the moment due
to limlted Spa￿ In the building.

Budget & Funding: Elaine gavè everyone a copy of ts 2023r2024 budget
Financially we are up on this time last year but thill have to give stsff a 10% pay
inwse in April due to the Nab'onal Minimum Wage increasing.
Banklng: Elaine reported that tha new bank account was up arKI running and was
making her role so much easier and quicker to do. Wages could now be transferred
straight into lh8 Staff bank aco)unts without having a time consuming visit to the bank.
All our dSrect dabits (apart from KCom} had been transferred to our new account
Elaine could now see our statements online and Can i56ue r?￿ipts to parents the
same day.
Bulldlng and Laa••: Sue reported that we had had a visit from Portakabln to give us
price for 8 new building. They advised that for a re￿rb13hed building of the same
8Iz8 would be in the region on £250,000 to £300.00. This would be a st861 tramed
buildlng V•ith a lifespan of 60 years. It would tske &9 weeks to instsll which could be
done over the summer. Sue has conts¢ted Kingston Modular Systems on Sutton
Fields on occasions for a comparats've quote but they have not got back to us.
Ruth had emailed Kart Tumer and Sue is w8tb.ng for him to riThJ us back.
However. beforn th8 fvndraiwng efforts for a new building begin, we want to Secure
new lease for the land, as our exisb'ng lease expires in July 2024. We have a meets'ng
wlth the Local Authority on the 21 ￿ March to discuss tre renewal of Ihe lease and any
potential problems they fore8e8 with this or wrth a proposed new building. Once a new
lea8e is in pla￿, will move fofward with our fundraising i.e. looking at company

MINUTES
Welcome: Sue welcomed everyone to the meeting and thanked everyone for
attending.

Minute8 of last mogtlng were emaiw to all members prior to this meeting and all
were happy wÉth them.
Safeguardlng tralnlng dates were given out to those WIKJ have not yet completed
the training and a copy will be attact*d to the minutes. The training is held in pers
at BrUnSW￿k House or virtually and rf anyone would like to select a dats. Sue will book
it for them.
Intake September 2024: Elaine reported that have 37 children starting in
September. We have spare sessions on a Monday p.m. {4), Wednesday p.m. (2) arKI
a Friday p.m. (4) but ble are hoping we may fill these once the chIld￿n have Started.
C￿e still have a number of children wants'ng a January start date so either way we will
probably fill these spaces). Sue advised that we are aware of 5 children starts'ng wtlo
have additional needs, 3 of which are comirvj to us ¥*ith additional support funding
already in place We have been to vi&t their current sethngs, have carried out home
visits and have invited them into Pelicans to gain as much infornation as possible
about their development and needs. In addition. we have one child who is diabetic and
ha5 been fitted wrth an insulin pump and therefore we have arranged for the Diabeti
Nurse to vistt u8 in September to provide Ihe staff with training.
8taffing will remain the same next year. Leanne will be Wofking an extra half day to
help with the SEND children. We have recruited a Lunchtirne Supervisor (Lauren) and
she will be startsng in September working 11.00 a.m.

should we need it vthich will be very benefiual.
Transltlon8 have gone well. Our children are moving to either Gillshill. Cavendish or
Biggin Primary Schods. All children have been inmted to transition visrts with parents
to the schools and we have had extra play dates at Cavendish.
Budget & Funding: Elaine gave everyone a copy of the 2023r2024 budget.
Financialty we are up by £10,000 this year as we have saved money by not paying
staff lunches {they have used the hours eamed to pay back for any absences e.g.sick
leave) and Y￿ have received additional funding for our SEND provision. However. we
will be starting next year with a £30.000 shortfall but hopefully we wll be able to recoup

Bulldlng and LM•o: Sue ad%ised that we have secur&1 a new lease for a fvther ffive
yearn and therefr)re our fimdraising efforts to purchase a new buiklinll have begun.
We have had 4 building firms visit us to measure up and give u5 a price for
replacement modular buildirg (strll waib"iyJ to receive tsvo quotas) but at the moment
we are looking in the region of £300,000. We hav8 written to 25 local companies arKI
have many more letters to send OLrt before the end of temi. ￿ have given a copy of
the letter to all our parents to forward to their empk)yers or people I1￿Y know rf
appropr￿ts. We have Set up a Go Fund Me page and advertised thls on Facebook fA)
that parerrts pasc present and fiJbJre can make a donation rfthey wish (so far we haNt
received £600) and have placed coltection boxes in Sally'8 pubs. We are al80
looking at any c(xnmunity grants etc and have been given lots of links to follow up. Gill
menlioned that it 18 great to have so many links to look at it is very1Sme consurnng

Morris museum arKI the children found this very enjoyable. Vve had then extended
theiw leaming and ¢reated our own prinb'rwj blocks and *BIFpaper inspired by a Wlliam
Morris dosign. We used to have regular visits from ts library but this stopped durir
covid.

Caroline brought it to our attention that the school have changed th&'r start time t)
8.30 a.m. from September. This migm mean some of our chiklren arrive sfighly lats.
Sue advised that all our poliues need updab'r& as there are n8W templates avallable
from the Earfy Yearn AllIan￿ aThJ we will start these over the summer.
