4. Opening Address
Emma Gregory welcomed everyone and thanked them for coming and said it was nice to see so many people attend this year. She said the last meeting was last year during the covid , and was just a few of the executive members only. Since the pandemic there was some hurdles in the way including the damage to hall and building works. Emma said that they had partnered with St Philips as been using their hall while building work was in progress.
Emma asked anyone for leadership help within the groups, she said she had lots of hopes and plans for the children which couldn’t be achieved without help from leaders. With more leader help the group could open another pack with the amount on the waiting list.
Emma said that not much money was being raised from selling Christmas trees which was the main fundraising for the groups,and other options need to be considered.

Emma welcomed Mark as the quartermaster to the group, who had joined earlier this year, and had been sorting out the stores and camping equipment.
5. Approval of 2021-2022 Minutes
The Minutes of 2021-2022 were approved by John Harvey and seconded by Emma Gregory
6. Approval of Annual Report & Accounts
Dominic said that the Profit and Loss for the year was showing a loss of £422 which was due to the building works. But had received £24,000 mainly due to the covid grant.
Fundraising was also raised through Amazon Smile and Easy Fundraising, and asked parents to link us as their charity.
Some of the expenditure had gone towards upgraded uniforms, and hoodies. Repairs to the building damage were mainly covered by the insurance and district loan. Hall had been out of action so no money had been raised from hall hire, parties etc.

Bryn Regan was nominated as Chairperson by Emma Gregory and seconded by Dominic Morton

a. Peter Dreghorn Community Award for contribution to the group went to Gemma and Derek, for their help and in particular decoration to the hall.

Also a thank you gift to Emma for all her hard work in everything she does for all the groups.

4. Chairperson’s report
It has been a busy year for Chessington again. From the group perspective, we’ve had to replace a roof in one part of the HQ and had a lot of work done to restore the main hall after a leak in late

- So there has been some good progress to restore Chessington’s HQ, however there’s still a lot to do with refurbishment of the kitchen and bathrooms top priority for this year.
This is also the first year that we’ve required volunteering from all parents or carers that join the group. This first year has had a number of people willing to help, however there’s still a dependency on core volunteers to some extent. A focus for this year is to ensure the new volunteers are empowered to make progress with less support.
As a reminder, the roles we’ve defined are the following:

Fundraising team member
-
a. Join a team that helps to raise funds for the scout group. This would involve meeting up once a term with other committee members to discuss fundraising, coming up with ideas, helping to run events etc. Funds raised could be for equipment, events for members, camps or the scout hut.

Parent/carer representative on the exec committee
-
a. Attend an executive committee meeting to share your voice with the volunteers that help run the group. The committee meets every two months and you can sign up as an occasional or regular attendee.

Parent/carer helper
-
a. Volunteering here means you get added to a rota for your child's section (Beavers, Cubs, Scouts, Explorers). You'd then be asked to attend a section meeting to help the leaders run the session. In this role you are likely to help out at least once a term.

- Maintenance team member
-
a. In this role you will help with little jobs as needed around the scout hut, painting, gardening, gathering quotes for trimming the trees, plumbing jobs etc and general upkeep of the property. The team will aim to meet once a term to decide on activities needed.

With respect to our group sections we remain in a healthy position with the following numbers, however we still rely on a small core of key volunteers that run the sections.

Our team of Leaders under Emma’s leadership has grown this year, and excitingly we’ve had Explorers that came through the group become adult volunteers.
As ever, I’d like to thank the volunteers in the group, and particularly all the Leaders that run our meetings for all the time & energy they’ve given the group this year.

4. Group Scout Leader’s report
This time last year we were celebrating being back in our own hall but, now we have been back for a whole year! However a lot of work needs to be done still and we are very thankful to those who are helping get these jobs done.
Last year we changed the days of our sessions to accommodate the leader shortage, However we have also welcomed two new leaders to our team who offered to join us after last year's AGM (a whole year on the team!).
We are still looking for help across all sections, fundraising committee members, maintenance teams and any occasional helpers that fancy being part of our team. This year we planned and ran a large camp for the summer term inviting parents to help and allowing the children to participate in a wide range of new and exciting activities including archery, bouldering, orienteering, pioneering and tomahawk throwing.
We have also had a range of activities and outings in our normal session including Birds of Prey, Escape rooms, monkey bridge and trips to the theatre both for Christmas and to see Scouts the Musical this Summer.
As ever, a big thank you to all our volunteers for keeping the sections running smoothly over the last 12 months. Also, a huge thanks to our Executive Committee for the support provided in running the group throughout the year.

6. Beaver Leader’s report
We have again had many Beavers joining us this year after others moved on to Cubs. Currently we have 19 members in our Beaver pack.
We had a busy Autumn term with Maypole Dancing, lots of cooking, a long hike to Tolworth for Chips, and personal challenges. We had an amazing visit from some birds of prey where the children got to learn about the different birds and fly them around the hall. The term ended with a trip to the Polka Theatre to see a Christmas show and a Christmas Party with snow!!
Throughout the Spring term we have covered Health and Fitness, we have been exploring, and had fun trying out lots of science experiments. We had a visit from Kingston Rugby Club before Easter which the children loved. They played tag rugby and learnt lots about the sport. In April we ran our first all sections camp at Walton Firs Activity centre with all young people sleeping under Canvas. It was a great weekend and amazing to dig out all of our traditional Canvas tents.
We are now half way through the summer term, we have done some gardening, planting some lovely colourful flowers in our garden at the hall. We have also been on a nature walk looking at different plants and leaves. Later on in the term we are planning a trip across all sections again to Scouts the Musical.

7. Cub Leader’s report
With help from our growing leader team we have been able to offer a range of different experiences to our cubs this year. We have completed Teamwork challenges, cooking and even had a go at rifle shooting! We have had fun trips and visits from Birds of Prey, theatres and Rugby sessions.
The cubs took part in the group camp experiencing their first for most of them: sleeping in traditional canvas tents, bouldering, crate stacking and group events from orienteering to pionering. Finishing the evening with a group Campfire singing a range of silly songs.
We hope to be able to bring a lot more adventure and experiences to the young people over the next year.

8. Scout Leader’s report
Our Troop has grown over the last year with moves up from Cubs and new members joining. Our New Leader Sam has moved up from Cubs with his daughter and is a welcome addition to the team.
The Scouts have worked hard on some maintenance around the building including helping to get things like the wood stores and garden cleared.
Scouts have been lucky to take part in some amazing opportunities this year. They have tried new activities on Group Camp from Tomahawk throwing to Archery, orienteering and pioneering. These skills have then been taken back to the hall and tried even further with building the Monkey Bridge and completing some more orienteering practice in Horton Park.
We have also taken part in sessions such as puppetry, mechanics, cooking and gardening. Outings have been to Laser Quest and finishing off this summer with a theatre trip to see Scouts the Musical.

9. Explorer Leader’s report

We are pleased to say that our Explorer unit (Skycube) continues to grow and is currently our largest section! We have had more moves from Scouts to join us and even welcomed new members.
The Explorer are still learning how to plan their own sessions and haven’t yet mastered this skill! They have completed lots of fun activities from cooking, clay, escape rooms, paintballing, hikes and so much more.
The explorers are planning a survival camp so we are currently looking for a good date and venue booking to achieve this.
We have also had several members awarded Jack Petchey awards for outstanding contributions. These have been for overcoming personal difficulties and helping the younger members and generally being a credit to the group.
We have also welcomed two of our explorers onto the leader team for the first time! So please join us in welcoming them to the team!

11. Treasurer’s report
Chessington Scout Group Treasurer’s Report for the year ending 31 March 2023
The accounts for the year are attached in the AGM report.
The group Profit & Loss account shows a surplus of income over expenditure for the year of + £2669.13. The Balance Sheet shows a very healthy bank balance at 31st March 2023 of £27,430.53 (from end of year bank statement). This profitable position has been achieved mainly through covid grants from the previous years and additional fundraising through Amazon smile and Easy Fundraising. We continued with cost cutting measures and closely monitored the subscriptions through Gocardless.

Our costs this year were higher than last year as the cost of living crisis affects every transaction. Our largest costs this year were due to essential maintenance on the roof and an unfortunate burst heating pipe. These were covered financially by a district loan for the roof and an insurance claim for the burst pipe.
Scout shop expenditure has increased due to price rises and the need for more things as our numbers go up, the increase in numbers also affects our district fee. Our ever increasing membership numbers and the rise in district fees, meant that we paid more than the previous year.
Unfortunately our hall hire income was very small this year due to the repairs closing the hall for a while. When we reopened we found some long term lettings had found alternative accommodation.
Our closing position gives us a very comfortable cushion with which to start the new Scouting year.

11. Lettings Report
We started the year with only two long-term contracts (brownies and guides) other than our own four sections, but due to the essential maintenance works, Chessington brownies had to find alternative accommodation and when we were open again they decided to stick with their new arrangement.
We have had a few enquiries about daytime lettings when the hall is empty, but until the new kitchen is in, we feel we aren’t in a position to advertise our hall space.
Short-term hire (mainly children’s parties) has been paused until the kitchen and possibly toilets have been modernised, we feel the current amenities are not up to a standard where we can open our doors to the public.
On the plus side, we do have a big refuge bin now so any rubbish from hires and events can be disposed of rather than taken home.

12. Chessington Methodist Church update
Numbers at Sunday morning worship have continued to increase since the lifting of Covid restrictions, and we have been pleased to see a number of new people, some attending regularly. It has been a joy to welcome the uniformed organisations to Parade Services for Harvest, Advent, Mothering Sunday and St. George’s Day, which actually fell on a Sunday this year.
2023 marks the 75th Anniversary of Chessington Methodist Church. We will be celebrating with an Anniversary Service on Sunday 11th June at 10.00 am and a Summer Fair in the Church car park on Saturday 17th June from 11.30 am. All are welcome.
