Legal and Administrative Information
The Edward Betham Friends Association is a registered charity that supports the Edward Betham CofE Primary School community. It brings together parents and carers of current pupils, members of staff, former pupils, former staff, and other friends and supporters of the school. The Association works to enhance the educational experience of pupils by fostering a strong school community and raising funds for initiatives and resources that benefit the school.

TRUSTEES' ANNUAL REPORT FOR THE YEAR ENDED 31 AUGUST 2025
Governing Document
The charity is governed by its Constitution, which sets out its charitable purposes, membership, and the rules for its administration.
Recruitment and appointment of trustees
Membership of the Association is open to parents and carers of pupils attending Edward Betham CofE Primary School, members of staff, former pupils, former staff, and other individuals with an interest in supporting the aims of the Association. Trustees are elected or appointed in accordance with the Constitution at the AGM and meet regularly (monthly) throughout the year.
Trustees’ induction and training
New trustees receive an induction covering the charity's objectives, governance arrangements, financial responsibilities, and the Association's relationship with Edward Betham CofE Primary School. Ongoing guidance and support are provided to enable trustees to fulfil their duties effectively.
Risk Management
The trustees are responsible for identifying, assessing, and managing the principal risks facing the charity. Risk management is reviewed regularly to ensure that appropriate financial and operational controls are in place to safeguard the charity's assets, minimise the risk of fraud or error, and support the effective delivery of its charitable objectives. The trustees are satisfied that the systems and procedures in place provide reasonable assurance that significant risks are identified and managed appropriately.
Objectives and Aims
The charity's objective is to advance the education of pupils attending Edward Betham CofE Primary School by providing or assisting in the provision of educational, recreational, and other charitable facilities and resources that are not normally provided by the local authority or through the school's delegated budget.
In furtherance of this objective, the charity seeks to:

Foster positive relationships between parents and carers, staff, pupils, former pupils, former staff, and the wider school community; and
-
Organise activities and raise funds to support the school and enhance the educational experience and wellbeing of its pupils.
The charity's principal activity is the organisation of fundraising and community events, together with other initiatives that generate funds to support projects, equipment, and resources that benefit the school.
Charitable activities and achievements
This year, the charity thrived, with many new fundraising events introduced to appeal to a wider range of interests and encourage participation from the whole school community. These events helped strengthen community engagement while generating valuable funds to support the charity's objectives. Innovative fundraising initiatives included Elfridges, Men and Women in Your Life Pop-up Shop, Legoland visit, Wonkalicious chocolate bars sale, all of which were exceptionally received by supporters. These new events complemented our established fundraising activities and contributed significantly to the success of the charity's fundraising activities during the year. The Summer Fair was again the most successful event of the year, followed by Xmas Fair, Discos and treat sales. This was made possible through the combined efforts of the committee members, class representatives, volunteers, school staff, and the children themselves. The full table of events and the corresponding net profit is attached below. The
trustees believe that the above activities, are not only of demonstrable financial benefit for the school providing items for the children that may not be available under the public grant funding, but also provide events that the whole local community is encouraged to take part in. This is how we provide a Public Benefit.

Statement on Public Benefit
The trustees have had due regard to the Charity Commission's guidance on public benefit when exercising their powers and carrying out the charity's activities, in accordance with Section 17 of the Charities Act 2011. The trustees consider that the charity's activities further its charitable purposes for the public benefit by supporting the education and wellbeing of pupils at Edward Betham CofE Primary School.
Future plans
The PTA will continue to raise funds to support the educational needs and wellbeing of the school's pupils by providing resources, equipment and opportunities that enhance the learning environment beyond those funded through the school's core budget.
During the coming year, the Trustees plan to build on the success of previous fundraising activities by organising a
varied programme of events that encourages participation from the whole school community. The PTA also aims to introduce new fundraising initiatives, strengthen relationships with parents, carers, local businesses and the wider community, and seek additional opportunities for grants and sponsorship where appropriate.
Funds raised will be used to support educational projects, purchase learning resources and equipment, contribute towards improvements to the school environment, and help fund activities and experiences that enrich pupils' education. The Trustees remain committed to ensuring that all funds raised are used effectively and in accordance with the charity's objectives, delivering lasting benefits for the pupils and the school community.
Financial review
The charity generated a surplus of £18,517 for the year ended 31 August 2025 (2024: deficit of £3,943). The improvement reflects the success of a number of fundraising activities during the year, including the Summer Fair, Christmas Fair, discos, Elfridges and themed fundraising events. The surplus will be used to support future educational initiatives and projects benefiting pupils at Edward Betham CofE Primary School. Based on the accounts prepared, unrestricted funds at 31 August 2025 were approximately £30,005. See appendices for full details.
Basis of Preparation of Accounts
The Trustees have prepared the accounts for the year ended 31 August 2025 on an accruals basis in accordance with applicable charity accounting principles.
Although the charity is eligible to prepare receipts and payments accounts due to its level of income, the Trustees have elected to continue preparing the accounts on an accruals basis, consistent with previous years. This approach ensures that income and expenditure are recognised in the accounting period to which they relate, rather than when cash is received or paid.
The Trustees consider that this basis provides a more meaningful reflection of the financial performance of the Association, particularly given the number of fundraising events undertaken during the year and the timing differences that can arise between events being held, costs being incurred and settlements being made. The accruals basis therefore enables a more accurate assessment of the surplus generated from each activity and provides comparability with prior years.
The Trustees believe that the accounts give a fair representation of the charity's financial position as at 31 August 2025 and of its financial activities during the year.
Reserves policy
The charity aims to maintain a minimum level of unrestricted reserves of £5,000 to ensure sufficient funds are available to support planned activities and fundraising events, and to meet any short-term financial commitments.
The charity's income and funds are applied solely in furtherance of its charitable objectives. No part of the charity's income or property is paid or transferred, directly or indirectly, to any member of the association by way of salary, honorarium, or other financial benefit, except where permitted by the governing document or applicable charity law.
Trustees' Responsibilities
The Trustees are responsible for preparing the Trustees’ Annual Report and the financial statements in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice). The law applicable to charities in England and Wales requires the Trustees to prepare financial statements
for each financial year which give a true and fair view of the situation of the charity and of the incoming resources and application of resources of the charity for that year. In preparing these financial statements, the Trustees are required to:

Select suitable accounting policies and then apply them consistently;
-
Observe the methods and principles in the Charities Statement of Recommended Practice (SORP);
-
Make judgements and estimates that are reasonable and prudent;
-
State whether applicable UK Accounting Standards have been followed, subject to any material departures disclosed and explained in the financial statements; and
-
Prepare the financial statements on the going concern basis unless it is inappropriate to presume that the charity will continue in operation. The Trustees are responsible for keeping proper accounting records which disclose with reasonable accuracy at any time the financial position of the charity and enable them to ensure that the financial statements comply with the Charities Act 2011 and the Charity (Accounts and Reports) Regulations 2015. They are also responsible for safeguarding the assets of the charity and for taking reasonable steps for the prevention and detection of fraud and other irregularities.

Independent Examiner’s Report to the Edward Betham Friends Association
I report on the financial statements of Edward Betham Friends Association for the year ended 31 August 2025, which comprise the Trustees' Annual Report, Statement of Financial Activities and Statement of Assets and Liabilities.
Respective responsibilities of Trustees and Independent Examiner
The charity’s Trustees are responsible for the preparation of the accounts in accordance with the Charities Act 2011. The Trustees consider that an audit is not required for this year under section 144(2) of the Charities Act 2011 (the Act) and that an independent examination is needed.
It is my responsibility to:

examine the accounts under section 145 of the Charities Act 2011;
-
follow the procedures laid down in the General Directions given by the Charity Commission under section 145(5)(b) of the Act; and
-
state whether particular matters have come to my attention.
Basis of Independent Examiner’s Statement
My examination was carried out in accordance with the General Directions given by the Charity Commission under section 145 of the Charities Act 2011.
An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts and seeking explanations from the Trustees concerning any such matters.
The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a true and fair view. The examination is limited to the matters set out in the statement below.
Independent Examiner’s Statement
In connection with my examination, no matter has come to my attention:

which gives me reasonable cause to believe that, in any material respect, the requirements

a. to keep proper accounting records in accordance with section 130 of the Act; and

b. to prepare accounts which accord with those accounting records and comply with the accounting requirements of the Act have not been met; or

to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.

Appendices
The accounts have been prepared on an accruals basis. Income and expenditure are recognised in the period to which they relate and include appropriate year-end accruals and prepayments where relevant in accordance with the Charities Act 2011. TREASURER REPORT FOR EBFA AGM 2ND OCTOBER 2025
I’d like to say a heartfelt well done to everyone for your incredible hard work, dedication, creativity, and commitment throughout the year. Despite our busy lifestyles and family responsibilities, your efforts have truly paid off. Thanks to our fantastic work, we’ve achieved some amazing results, and I couldn’t be happier with what we’ve accomplished together.
As of today, 2[nd] October 2025, our bank balance is £29,921.11, putting us in a strong financial position as we look ahead.
Every pound raised has been used responsibly and in line with our charity’s goals – and I’m proud to say that these funds have made a genuine and lasting difference to our school.
