Acting Chairman’s annual report 29 November 2024

Our achievements this financial year: the charity has installed a solar panel and battery system to contain energy bills, replaced defunct flood lights on the sports area and replaced failed Velux roof lights all with the invaluable help from various grants. Botesdale Parish Council generously provided emergency funding of £10K for the flood lights from its community infrastructure funds. Without this help we would have had great difficulty doing the repairs before the winter season. We also installed a sound system for use within the hall. The replacement of the wooden roof line and downspout covers with plastic was planned for the 2023/2024 financial year but was completed this month, November 2024. The grass mower finally succumbed to its age and was replaced with a younger model. We had earmarked funds to cover the cost. Looking forward, Suffolk County Council’s project to install two electric vehicle charging bays on the car park is scheduled for March 2025.

Volunteers on the management committee, from the local community and further afield carry out a wide range of tasks for the benefit of the charity and hence our local community, viz: running the regular market together with the autojumble & classic car meets; the annual Christmas craft fair; weekly & monthly safety checks; maintenance of the hall and playing field, administration of accounts and hiring out the premises. Without these contributions, the costs of running the hall would be significantly higher and the events held at the hall considerably fewer. Thank you to everyone who contributes their time and skills. However, the continued willingness of volunteers to organise these events is not guaranteed and difficulties in recruiting appropriate volunteers to support the village hall is a cause for concern. We were very sad to lose volunteer Mike Goodwin who has maintained the playing field in good order for many years.

The hall has been hired out a record 576 times to individuals, local organisations and small businesses, this compares with 507 hires last year. South Norfolk Netball League continues to hire the sports area throughout the year and in the summer months we have regular informal tennis bookings. The skate park continues to be well used. We plan to repaint the surface of the sports area in 2025 and promote the use of this area to a wider audience.

The charity’s principal sources of funds are hire charges made for use of the facilities, fundraising from the monthly markets, autojumble & classic car meets and annual Christmas craft fair. The £16,700 cost of running the hall and outdoor areas this year was covered by £18,000 income from hire fees. I therefore suggest that we can keep our current hire charges unchanged for 2025.

We hold a reserve to cover one year’s running costs (2024 £17K) plus £10K for emergency repairs plus money set aside for possible future projects and we continue to maintain and improve both the indoor and outdoor facilities of this important community asset.
