INTRODUCTION

The Trustees present their report and the accounts of the charity for the year ended 31 August 2025.

The financial statements have been prepared in accordance with the Charities Act 2011 and the Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (Second Edition effective 1 January 2019) and comply with the Budbrooke School PTA constitution.

STRUCTURE, GOVERNANCE, AND MANAGEMENT

Budbrooke School Parent Teacher Association is a Registered Charity governed by its Constitution dated 6 January 1994 and it is registered with the Charity Commission of England and Wales.

All trustees give their time voluntarily and receive no benefits from the charity.

Appointment of trustees

There must be at least three charity trustees—a Chair, Honorary Secretary, and Honorary Treasurer. If the number falls below this minimum, the remaining trustee or trustees may act only to call a meeting of the charity trustees or appoint a new charity trustee.

There is no maximum number of Trustees that may be appointed to the Charity.

The Trustees and Committee are elected at the Annual General Meeting and serve until the commencement of the next Annual General Meeting.

Management

The management of the Charity is vested in a Committee, consisting of the trustees, together with four other members, plus the Head Teacher and 1 other member of the teaching staff.

The Board of Trustees and Committee meets quarterly to plan the events and run the affairs of the charity.

Five members of the Committee constitutes a quorum.

The objective of the association is to advance the education of the pupils in the school. In furtherance of this objective, the Association may:

Trustees’ Report on Fundraising Events

Overview

This report sets out the events held by the Budbrooke School Parent Teacher Association (PTA) over the course of the year and the funds they generated for the benefit of Budbrooke Primary School and its pupils. The trustees are pleased to report another successful year of fundraising and community engagement, with a combined surplus of £8,900 across all events.

These results reflect the continued generosity, energy and goodwill of the school community. Every event relies entirely on volunteers, and the trustees wish to record their sincere thanks to the parents, carers, staff and friends of the school who gave so freely of their time, skills and enthusiasm. From early morning set-up to late evening pack-down, from baking and decorating to running stalls and supervising activities, none of these events would be possible without that contribution. The hours given by volunteers represent a very significant in-kind investment in the life of the school.

Note: The Mother’s Day room figure of -£302 reflects expenditure on stock purchased in advance for the 2026 event. As this stock has not yet been sold, the cost has been recorded this year while the corresponding income will fall into the following year. This is a timing difference rather than a loss on the event itself, and the trustees expect the 2026 Mother’s Day room to show a healthy surplus once that stock is sold.

Event Highlights

The Christmas Fayre and Summer Fun Activities remain the two cornerstone events of the PTA calendar, each bringing together stalls, games, refreshments and entertainment for the whole school community. These larger events take many months of planning and depend on a wide team of volunteers covering everything from stall-holder coordination to raffle prize collection, and this year’s results reflect that effort, raising £1,206 and £1,816 respectively.

The three school discos continue to be extremely popular with pupils and provided a reliable and growing source of income across the year, raising a combined £2,220. These events give children a fun, safe social occasion to look forward to and are made possible by parent volunteers giving up their evenings to supervise, sell refreshments and manage the door.

The sponsored skip was the standout fundraiser of the year, raising an excellent £3,345 towards the PTA’s timber trail fundraising campaign for the Year 3 & 4 playground. Sponsored events of this kind ask relatively little of any one volunteer but, through the combined sponsorship of the whole school community, generate a disproportionately large return, and this year’s result is a credit to everyone who took part and to those who collected sponsorship on the school’s behalf.

The chocolate tombola, Mother’s Day and Father’s Day rooms, and uniform sales are smaller, regular fixtures that nonetheless make a steady and valuable contribution to PTA funds. The seasonal gift rooms in particular are cherished by pupils, who enjoy the experience of choosing and buying a small present, and they depend on volunteers to source stock, set up the room and support children with their purchases throughout the day.

Timber Trail Fundraising Campaign

The trustees would also like to highlight the outstanding achievement of the PTA’s timber trail appeal, which raised over £15,000 towards a new timber trail for the Year 3 and 4 playground. A significant portion of this total came from grant funding secured through the skill and persistence of PTA members who researched funding bodies, prepared applications and saw bids through to successful

outcomes, bringing in several thousand pounds in grants that would not otherwise have been available to the school. The trustees are enormously grateful for this bid-writing effort, which is a specialist and often time-consuming undertaking in its own right. The remainder of the total £18,000 to be donated to the school was made up of generous donations from parents, carers, staff and the wider school community, plus some of the profits from the year’s events. Together, this combination of grant income and individual generosity will provide a lasting addition to the school’s outdoor space for a generation of children to enjoy.

Special thanks go to the Warwickshire County Council Councillor’s Fund, The King Henry VIII Charity, Budbrooke Charities, St Michael’s Church Budbrooke, and the 29[th] May Charity for their generous grants and donations.

The trustees would like to extend their thanks to every parent, carer and member of staff who volunteered their time this year. Whether through organising an event from start to finish, helping on the day, donating tombola prizes and items of school uniform, or simply encouraging their children to take part, every contribution matters. It is this generosity of time and spirit that allows the PTA to continue supporting the school and enriching the experience of every child at Budbrooke Primary School.

The trustees look forward to building on this year’s success with another full and varied calendar of events in the year ahead.

FINANCIAL REVIEW

For the year to 31 August 2025, Budbrooke School PTA secured an income of £26,349. Expenditure in the year was £11,182 resulting in an overall surplus for the year of £15,167. With a balance of £7,337 brought forward from the previous year, £15,792 of total funds was restricted funding for the Timber Trail project and unrestricted funds at the end of the year were £6,712—which the trustees consider is sufficient to provide financial security into the current financial year and beyond.

Reserves

At the year end, total funds were £22,504, of which £6,712 were Unrestricted General Funds. These also represent the charity’s ‘free reserves’. The intention of the Trustees is to maintain free reserves at three months of recurring expenditure (approximately £3,000).

FUTURE PLANS

Looking ahead, the trustees intend to run a very similar calendar of events next year, building on what has clearly worked well for the school community. The Christmas Fayre, chocolate tombola, school discos, Mother’s Day and Father’s Day rooms, uniform sales and the summer fun activities are all expected to return in some form, giving pupils and families the same enjoyable and reliable fixtures to look forward to.

In place of the sponsored skip, the PTA plans to run a different sponsored event next year, offering a fresh challenge for the school community to get behind while keeping the low-effort, high-return appeal that made the skip such a success. The major focus for the year ahead, however, will be a new fundraising campaign to install a PA system in the school hall, replacing this year’s timber trail as the PTA’s chosen capital project. A good sound system would benefit assemblies, performances, and countless other school events.

TRUSTEES’ RESPONSIBILITIES IN RELATION TO THE FINANCIAL STATEMENTS

The Trustees are responsible for preparing the Trustees’ Annual Report and the financial statements in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice).

The law applicable to charities in England and Wales requires the Trustees of the charity to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the charity and of the incoming resources and application of resources of the charity for that year. In preparing those financial statements, the Trustees are required to:

The Trustees are responsible for keeping proper accounting records which disclose with reasonable accuracy at any time the financial position of the Charity and to enable them to ensure that the financial statements comply with the Charities Act 2011, the applicable Charity (Accounts and Reports) Regulations. They are also responsible for safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.
