Open Meeting:

Welcome everyone to the Stone Cross Independent Pre-School Annual General Meeting. For those that don’t know me, my name is Gaye Nethercot. We really do appreciate parents coming to the AGM here today. As you know we are a voluntary committee run pre-school and to be able to hold the AGM we need a certain number of Parents here. We do have over 10% in attendance as required so thank you again!

To clarify, the details of this AGM will cover the school year 1[st] September 2022 through to 31[st] August 2023.

Minutes:

Can we please agree that the minutes for the AGM held on Friday 30[th] June 2023 and that they are an accurate record and representation?

Please would somebody propose and second that the minutes are an accurate record of last year’s AGM.

The 2023 AGM minutes were proposed as being a true representation of the meeting by Kelly McQuillan and seconded by Amie Beard.

Chair Report:

Staff Changes

Nursery Unit – Kelly Regan resigned in July 2023.

Memorial Hall – Jenna Williams returned from Maternity Leave November 2022. Stacey Gaffney took up the Pre-School Assistant role and came off the bank staff team in February 2023.

Bank Team – Trixie Noble joined the team as a Volunteer.

Committee Changes

The AGM was held in June 2023 with the election of the Committee, Kerry Mepham and Lynsey Graham resigned from committee.

School Year September 2022 to August 2023

Trips were arranged, Blackberry Farm and Knockhatch for the Unit, Hampden Park and Eastbourne Beach for both settings all of which were well attended. We have continued to fundraise with charity events such as

Cyril Squirrel, Easter Competition, 100 squares and the Christmas shows. We also received donations from the pre-school photographer NX Photos and a Parent donation of their holding deposit. The Unit had a Coronation week of fundraising too.

Thank you to all Parents, Staff and Committee for all your continuing support.

In October 2022 with the support of the staff we were able to extend our provision to all day at the Hall on Tuesdays and Thursdays. The take up for this was very successful.

Staff Training

As always the staff undertook a huge amount of training during the year, both in and out of the usual working hours. Essential training continued both online and at face-to-face training events. A big thank you to the staff for this continued commitment to the pre-school and children.

Treasurer Report:

A full summary of the Pre-Schools financial situation can be seen on the audit of our accounts. These have been prepared for us by Watson Associates.

Fundraising activities historically have been a major source of income for the Pre-School. We attempt to try and carry out at least one fundraising event per half term. We do thank all of you for your continued support with this.

During this school year we successfully increased our fundraising activities from the previous year. Figure overall was £1915.17 in total.

Admissions:

The Hall and Unit finished the 2022/23 school year with available sessions filled.

We did not run a Unit Open Day as all sessions were already filled for the 2023/2024 school year from existing children at the Memorial Hall and new names from the waiting lists.

For the Hall admissions were taken on an individual visit basis rather than an Open Afternoon.

The number of enquiries have continued to increase throughout the year for the next few school years.

Election of the New Committee:

All current committee members must formally stand down.

The pre-school committee must have a minimum of 5 members and a maximum of 12 members with a further 3 co-opted members if required. Three of the members are officer posts which are Chair, Treasurer and Secretary.

Sharon Britton & Sharon Gavigan, our Supervisors at each setting sit on the Committee in an advisory capacity.

Any Other Business:

Does anyone have any other business to bring up?

Tristan Lindsay wanted to ask about fundraising and Tamara Lindsay to check about what we are allowed to do / not to do. Tristan brought up a new initiative that Tesco are doing instore with charities. Also that we could have a stall / table within the local shopping centre, like a tombola or something and to raise money and also our profile within community.

Triston also mentioned the process for the blue tokens, to go into a Tesco store and use the QR code which takes you to the application to be one of the recipients of the scheme. Lauren Fry mentioned that the local school did this for outdoor equipment so would need to specify what we are raising for such as cost of shade equipment in the Hall garden and Sharon Britton mentioned woodwork bench at the Unit.

Gaye Nethercot will look at the application for the token scheme and we will Tristan will speak to his contact re Tesco and stall.
