THE ROTARY CLUB OF ROMSEY TEsf TRusf FUND Page I TRUSTEES REPORT FOR THE YEAR ENDED 30TH JUNE 2024 TRUSTEES, REPORT The Trustees present their report, together with the Financial Statements of the charity for the year ended 30th June 2024. The Financial Statements have been prepared in accordance with the accounting policies set out on page 5 and comply with the charivs Trust Deed and Charities Act 1993 and ststement of Recommended Prartice: Accounting and Reporting by Charities 2005. S0516GS Structure, Governance and Management The Charitable Trust is constituted by Trust Deed dated 19th October 1993 as amended by an Amendment dated 8th June 2016, and an Amendment dated th 29 Janury 2019, and its object is to apply its funds to or for the relief of the poor and needy, or for such other charitable purpose, institution, society or project as the Rotsry Club of Romsey Test shall dirett. The policy is to work with the Rotsry Club of Romsey Test to identify suitsble individuals, groups or organisations to whom donations should be made. Objectives and Activities The Trust5 consider that the performance of the charity this year has been satisfactory. The Trustees are named on page l. Appointment of Trustees is governed by the Trust Deed of the charity as amended which provides that the Trustees be the President, the President Elett for the ensuing year, the Secretary, the Club Treasurer plus four other members of the Rotsry Club of Romsey Test elected by the Club membership.
THE ROTARY CLUB OF ROMSEY TEsf TRUST FUND Page 3 TRUSTEES REPORT/continued FOR THE YEAR ENDED 30- JUNE 2024 Financial Review The Fund has continued to receive the support of the Rotsry Club of Romsey Test with its fund-raising activities. The Club also supports the Fund with donations from the aubs fund-raising activities. During the year the fund raised £38,479 in respect of its normal attivities. This was further increased by applying for Gift Aid which increased funding by £1,073. The net decrease in funds during the year was £35,271 which includes £33,195 of event funding transferred to the Rotsry Club (see note on page 7). There is a balance of £8,572 to carry fotward into next year. It is the fund's policy to distribute funds as soon as recipients are identified, and to hold minimum reseNes. The Trustees actively review the major risks which the charity may face on a regular basis, and believe it is appropriate to hold minimal reserves. The Trustees have also examined other operational and business risks faced by the charity, and confirm that where appropriate, they have established systems to mitigate any significant risks. Statement of Trustees. Responsibilities Law applicable to charities in England and Wales requires the Trustees to prepare financial ststements for each financial year, which give a true and fair view of the charity's financial activities during the year, and of its financial position at the end of the year. In preparing those financial ststements, the Trustees are required to Selett suitsble accounting policies and apply them consistently. Make judgements and estimates that are reasonable and prudent. State whether applicable accounting standards and statements of recommended practice have been followed, subject to any departures disclosed and explained in the financial statements. Prepare the financial ststements on a going concern basis, unless it is inappropriate to presume that the charity will continue in operation.
THE ROTARY CLUB OF ROMSEY TEsf TRusf FUND Page 4 TRUSTEES REPORT/continued FOR THE YEAR ENDED 30- JUNE 2024 The Trust5 are responsible for kpIng accounting records which disclose with reasonable accuracy at any time the financial position of the charity, and enable them to ensure that the financial ststements comply with the Charities Att 1993. They are also responsible for safeguarding the assets of the charity, and hence for tsking reasonable steps for the prevention and detection of fraud and other irregularities. THE ROTARY CLUB OF ROMSEY TEsf TRusf FUND Page 5 INDEPENDENT EXAMINERS REPORT TO THE TRusfEES OF THE ROTARY CLUB OF ROMSEY TEsf TRusf FUND I report on the accounts of the charity for the year ended 30th June 2024 which are set out on page 4. This report is made solely to the charity's Trustees, as a body in accordance with S43(3)(a) of the Charities Art 1993. My work has bn undertaken so that I might stste to the charity's Trustees those matters which I am required to state to them in an independent examiner's pOrt, and for no other purpose. To the fullest extent permitted by law, I do not accept or assume responsibility to anyone other than the charity, and the charity's Trustees as a body, for my work for this report, or for the opinions I have formed. RESPEcfIvE RESPONSIBILrrIES OF TRusfEES AND EXAMINER As explained on Page 2, the charity's Trustees are responsible for the preparation of the Accounts. The charity's Trustees consider that an audit is not required for this year (under Section 43(2) of the Charities Act 1993 (the 1993 Act) and that an independent examination is needed. It is my responsibility to Examine the Accounts (under Section 43 (3)(a) of the 1993 Act) Follow the procedures laid down in the General Directions given by the Charity Commissioners (under Section 43 (7)(b) of the 1993 Act, and State whether particular matters have come to my attention. BASIS OF INDEPENDENT EXAMINERS REPORT My examination was carried out in accordance with the General Directions given by the Charity Commissioners. An examination includes a review of the accounting records kept by the charity, and a comparison of the Accounts presented with those records. It also includes consideration of any unusual items or disclosures in the Accounts and seeking explanations from you as Trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently, I do not express an opinion on the view given by the Accounts.

THE ROTARY CLUB OF ROMSEY TEsf TRusf FUND Page 8 NOTES TO THE ACOUNTS 30TH JUNE 2024 ACCOUNTING POLICIES The Accounts have bn prepared in accordance with the SORP, Accounting and Reporting by Charities" and accounting stsndards. The principal accounting policies, which the Trustees have adopted, are set out below. INVEsfMENT INCOME All investment income is unrestritted and is credited to the income and expenditure account in the year in which it is receivable. OTHER INCOME Donations and other sundry income are treated as income in the year in which they are received, unless they are related to expenditure in the future. EXPENDrruRE Expenditure has been charged to the income and expenditure account on the accruals basis. CHANGES OF RESPONSIBILTrY During the year Romsey Rotsry closed, and their charity funding was transferred to Rotsry of Romsey Test to be held in the Trust Fund. The trustees agreed that responsibility for the 2 fund raising events; Walk the Test Way and the Relay Marathon should be transferred to the Rotary of Romsey Test Club. The funds held by the charity relating to these 2 events as at 1st July 2023 (£33,195) were therefore transferred to the club. £20,000 of this was subsequently transferred back to the Trust Fund as donations.
