Structure, governance and management

The Rotary Club of Storrington Charity Trust Fund (“the Trust”) is an unincorporated charity governed by a trust deed dated 26 October 1993 (“the Trust Deed”). It operates from day to day as the Rotary Club of Storrington & Pulborough District (“the Club”). The reference and administrative details set out on page 1 form part of this report and include the names of the trustees who served during the year and up to the date of this report.

As required by the Trust Deed, the trustee body (“the Trustees”) includes as a minimum the President, the President Elect, the Secretary and the Treasurer. In order to ensure the proper management of its activities the Club has established a council as its management board, the composition of which changes annually and is drawn from the Club membership as a whole, including appropriate representation from the trustees for the time being. Various committees are in place which report to council and also to the Club as a whole at its monthly business meetings.

Objectives and activities

The Trust Deed provides that charitable funds may be expended for such charitable purposes as the Rotary Club of Storrington & Pulborough District directs from time to time. In fulfilling its charitable purpose both in the local community and internationally the Club adopts the guiding principles of Rotary International.

The Trustees periodically review the Club’s charitable expenditure to ensure that it properly provides public benefit in line with the charitable objectives of the Trust.

Achievements and performance during the year

Our Books activity continues as the most significant individual aspect of our fundraising. All the books we handle are donated second hand, with the great majority given by people in the local community. These are initially sorted in our own bookstore, located at the premises of a local business supportive of Rotary’s charitable objectives. Our weekly bookstall in Storrington gives us excellent visibility, as does our presence at special events, such as the Parham Steam Rally. Online book sales are growing in importance, notably through channels such as eBay and World of Books. We also have books for sale at a limited number of local outlets, such as that at Pulborough Station.

Our Film Night at Sullington Village Hall involves monthly showings from September to May, and continues as a well-supported community event, as well as making an important contribution to charitable fundraising. Our film showings are open for all to attend, but with the added benefit that free transport is made available to our more elderly attendees, many of whom are regulars. The inclusion of a raffle and bar adds to the community feel.

Once again, our Christmas Tree Recycling activity was run in conjunction with Just Helping, a charity whose sole focus is to raise donations from the collection and recycling of Christmas trees, with a strong focus on support of hospices across the country. The footnotes to the accounts describe how the Just Helping arrangement operates and its impact on our income and expenditure, including the donations to our nominated charities made directly from Just Helping.

Our other fundraising activities are as tabulated in the income and expenditure account. Some of these reflect appeals made to fund a particular charitable project, whilst others are designed to contribute to our general charitable funds. By way of example, our Christmas Sacks project is very much within the former category, and is strongly supported by many in the local community. The concept is to provide some festive cheer to disadvantaged and struggling families in our community, hopefully helping them to celebrate Christmas in a more enjoyable way.

With regard to charitable giving, we continue to support a wide range of projects and organisations, as shown by the table on the final page of the Report and Accounts. This illustrates the breadth of our charitable coverage, both locally and internationally.

By way of example, like last year, we made a number of donations to local food banks, as well as to other family support charities. We also receive occasional requests direct from social services and other community organisations for ad hoc financial and other support to help alleviate special or onoff needs. Also, mainly for the elderly, we have a longstanding and active involvement in the running of monthly pop-in lunches.

With regard to education and development, we are keen promoters of the Rotary Youth Leadership Awards (RYLA), a project designed to help young people to develop their personal skills as they approach adulthood. Likewise, we continue with the funding of team and confidence building days for selected local schoolchildren identified by a local first school as particularly in need of extracurricular support. For this project, we utilise the excellent facilities of the nearby outdoor centre at Lodge Hill.

Also, with a focus on young people, we are keen supporters of local youth clubs and organisations such as the Girl Guides and Scouts; and spanning all generations, we have a strong relationship with the local, charitably operated, community leisure facility, giving support and funding for a range of ad hoc projects and activities.

Internationally we made donations this year in response to the Myanmar earthquake and the floods in Valencia. It should be noted that such emergency donations are typically made via a combination of the Disasters Emergency Committee and Rotary channels, as well as bodies such as Shelterbox and Aquabox. Aside from these disaster appeals, we had the opportunity to contribute towards a broader Rotary project to construct sand dams in central Kenya. Otherwise internationally, we made donations to the Rotary Foundation, including our continuing support of the End Polio Now campaign as well as the David Tilley Children’s Foundation in support of a school at Kilolo, Tanzania with which we have a long association.

Financial review

During the year ended 30 June 2025 total income was £35786 (2024: £35402) and total expenditure was £32190 (2024; £29933) leaving a surplus for the year of £3596 (2024: £5469). The great majority of our expenditure is in respect of our charitable activities and donations, which totalled £30128 (2024: £27634). Expenditure in support of our charitable activities was £2062, (2024: £2299) which included fixed assets purchased in the year totalling £97 (2024: £66) and expensed in line with our basis of accounting.

Our total reserves carried forward at the year-end, including restricted and designated funds, were £21433 (2024: £17837), all of which were represented by cash at bank or in hand. Restricted funds within our reserves at year end totalled £1918 (2024; £2075) wholly attributable to the Christmas Sacks appeal and carried forward to help fund a similar campaign at the end of 2025. Designated funds at year end amounted to £4000 (2024: £2000), comprising a sinking fund for the replacement of the van used primarily for the Books activity.

Reserves policy

It is the policy of the Trustees to maintain reserves at a level compatible with the objectives of the charity and the scale of its activities. In so doing the Trustees ensure that unrestricted reserves are fully adequate to meet the planned pipeline of charitable donations and other costs associated with the operation of the charity. This is after taking account of amounts earmarked as either restricted or designated funds. All charitable funds are maintained in bank accounts which can be drawn on with noe notice.

Rotary Club of Storrington Charity Trust Fund Notes to the accounts

Year ended 30 June 2025

1. Basis of preparation

These accounts are prepared on a receipts and payments basis, as permitted by the Charity Commission for England and Wales. Income is recorded as it arises and expenditure is written off as incurred, including any payments for fixed assets. No accruals or prepayments are recorded at an accounting period end.

2. Retail Gift Aid donations

Sales from the Charity Shop included donations of £420 and £89 for Books and Non-books respectively, (2024: £227 and £NIL), arising from items sold on behalf of individuals in compliance with the Retail Gift Aid Scheme.

3. Christmas tree recycling

The Club has a cooperation agreement with Just Helping, a UK registered charity which works with a number of other organisations and volunteers across the country to raise donations from the collection and recycling of Christmas trees. Tree collections are organised jointly in specified areas in the locality of the Club on the basis that all donations received are channelled initially through Just Helping. A proportion of the surplus is donated direct from Just Helping under our direction, and the balance remitted to Club. The total amount raised this year for charitable distribution was £6898 (2024: £4780) , of which £3355 (2024: £3603) was paid by Just Helping direct to our nominated charity (see note 4 below).

4. Charitable activities and donations

Expenditure on charitable activities and donations during the year totalled £30128 (2024: £27634) as tabulated on the final page of the Report and Accounts. That table excludes a donation of £3355 to Chestnut Tree House made by Just Helping under our direction as a result of the Christmas Tree recycling arrangements described in Note 3 above.

5. Costs incurred in support of charitable activities

Fixed assets expensed and other costs incurred in support of the charitable activities totalled £97 (2024: £66) and £1965 (2024: £2223) respectively. The most significant items within other costs concern the running and repair of the van, used primarily for the book selling activity, packaging and other costs associated with book sales, signage and publicity, licences, maintaining our website and the meal costs of charity speakers.

Other costs also include a charge of £100 for the independent examination of the 2023-2024 Report and Accounts. A charge of £100 for having this year’s accounts independently examined will be reflected in the 2025-2026 Report and Accounts in line with our basis of accounting.
