Structure, governance and management

The Rotary Club of Storrington Charity Trust Fund (“the Trust”) is an unincorporated charity governed by a trust deed dated 26 October 1993 (“the Trust Deed”). It operates from day to day as the Rotary Club of Storrington & Pulborough District (“the Club”). The reference and administrative details set out on page 1 form part of this report and include the names of the trustees who served during the year and up to the date of this report.

As required by the Trust Deed, the trustee body (“the Trustees”) includes as a minimum the President, the President Elect, the Secretary and the Treasurer. In order to ensure the proper management of its activities the Club has established a council as its management board, the composition of which changes annually and is drawn from the Club membership as a whole, including appropriate representation from the trustees for the time being. Various committees are in place which report to council and also to the Club as a whole at its monthly business meetings.

Objectives and activities

The Trust Deed provides that charitable funds may be expended for such charitable purposes as the Rotary Club of Storrington & Pulborough District directs from time to time. In fulfilling its charitable purpose both in the local community and internationally the Club adopts the guiding principles of Rotary International.

The Trustees periodically review the Club’s charitable expenditure to ensure that it properly provides public benefit in line with the charitable objectives of the Trust.

Achievements and performance during the year

This year marked the 40[th] anniversary from when the Club received its charter from Rotary International. As part of our anniversary celebrations, we initiated what proved to be a well-received ‘40 for 40’ project, involving a donation of some £40 to 40 voluntary groups and activities in our locality. This served to highlight our presence in the community and our support for many of the voluntary activities vital to its wellbeing.

On the fundraising front, our Books project has gone from strength to strength. All the books we handle are donated second hand, with the great majority given by people in the local community. These are initially sorted in our own bookstore, located at the premises of a local business supportive of Rotary’s charitable objectives. Our weekly bookstall in Storrington gives us excellent visibility, as does our presence at special events, such as the Parham Steam Rally. Online book sales continue to grow, notably through channels such as eBay and Ziffit. We also have books for sale at a limited number of local outlets, such as that at Pulborough Station.

Our Film Night at Sullington Village Hall involves a monthly showing from September to May, and continues to be a well-supported community event, as well as making an important contribution to charitable fundraising. These are open to all to attend, but with the added benefit that free transport is made available to our more elderly attendees, many of whom are regulars. The inclusion of a raffle and bar adds to the community feel.

This was the second year of running our Christmas Tree Recycling in conjunction with Just Helping, a charity whose sole focus is to raise donations from the collection and recycling of Christmas trees, essentially in support of hospices across the country. The footnotes to the accounts describe how the Just Helping arrangement operates and its impact on our income and expenditure, including the donations to our nominated charities made directly from Just Helping.

Our other fundraising activities are as tabulated in the income and expenditure account. Some of these reflect appeals made to fund a particular charitable project, whilst others are designed to contribute to our general charitable funds. By way of example, within the former category we saw a continuing enthusiasm to help fund our Christmas Sacks project, set up to give some festive cheer to many of the more disadvantaged families in our community.

With regard to charitable giving, we continue to support a wide range of projects and organisations, as shown by the table on the final page of the report and accounts. This illustrates the breadth of our charitable coverage, both locally and internationally.

Our community related donations included those under the ‘40 for 40’ project already touched on. Like last year, we made a number of donations to local food banks, as well as to other family support charities and some individuals in need with whom we had a direct referral. We also have a longstanding and active involvement in the running of pop-in lunches for the elderly.

With regard to education and development, we are keen promoters of the Rotary Youth Leadership Awards (RYLA), a project designed to help young people to develop their personal skills as they approach adulthood. Likewise, we continue with the funding of team and confidence building days for selected local schoolchildren identified by the school as particularly in need of extra-curricula support. For this we utilise the excellent facilities of the nearby outdoor centre at Lodge Hill.

Also with a focus on young people, we are keen supporters of local youth clubs and organisations such as the Girl Guides and Scouts; and spanning all generations, we have a strong relationship with the local, charitably operated, community leisure facility, giving support and funding for a range of ad hoc projects and activities.

Internationally we helped fund a medical convoy to Ukraine as well as responding to the crisis appeals in Morocco and Libya following the earthquake in late 2023. It should be noted that such emergency donations are typically made via a combination of the Disasters Emergency Committee and Rotary channels, as well as bodies such as Shelterbox and the Red Cross. Otherwise internationally, we made donations to the Rotary Foundation, including the End Polio Now campaign, the David Tilley Children’s Foundation in support of a school at Kilolo, Tanzania and the L'Association Don d'organes et de Tissus.

Independent examlner's statement I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect: Accounting records were not kept in respect of the Trust as required by section 130 of the Act; or The accounts do not accord with those records. 1. Basis of preparation

These accounts are prepared on a receipts and payments basis, as permitted by the Charity Commission for England and Wales. Income is recorded as it arises and expenditure is written off as incurred, including any payments for fixed assets. No accruals or prepayments are recorded at an accounting period end.

2. Retail Gift Aid donations

Included within Book and Charity Shop sales are donations of £227 (2023: £698) arising from sales made on behalf of individuals who contributed items to be sold in compliance with the Retail Gift Aid Scheme.

3. Christmas tree recycling

The Club has a cooperation agreement with Just Helping, a UK registered charity which works with a number of other organisations and volunteers across the country to raise donations from the collection and recycling of Christmas trees. Tree collections are organised jointly in specified areas in the locality of the Club on the basis that all donations received are channelled through Just Helping. The total amount raised this year for charitable distribution was £4804 (2023: £3408) , of which £3603 (2023: £2556) was paid by Just Helping direct to our nominated charities (see note 4 below). Our own Christmas Tree recycling income of £1177 (2023: £1002) reflects the balance paid over to Club by Just helping as an unrestricted donation, as well as minor amounts of income and costs arising on our own account.

4. Charitable activities and donations

Expenditure on charitable activities and donations during the year totalled £27634 (2023: £37535) as tabulated on the final page of the Report and Accounts. That table excludes donations to Chestnut Tree House and Turning Tides of £2402 and £1201 respectively made by Just Helping under our direction as a result of the Christmas Tree recycling arrangements described in Note 3 above.

5. Costs incurred in support of charitable activities

Fixed assets expensed and other costs incurred in support of the charitable activities totalled £66 (2023: £282) and £2223 (2022: £1826) respectively. The most significant items within other costs concern the running and repair of the van, used primarily for the book selling activity. Other items include postage and packing for the online shop, signage and publicity, licences, maintaining our website and the meal costs of charity speakers.

Other costs also include a charge of £100 for the independent examination of the 2022-2023 Report and Accounts. A charge of £100 for having this year’s accounts independently examined will be reflected in the 2024-2025 Report and Accounts in line with our basis of accounting.
