The trustees present their annual report and independently examined financial statements of the Rotary Club of Ainsty Trust Fund for the year ended 30th June 2024.

STRUCTURE, GOVERNANCE AND MANAGEMENT

Governing Document

The Rotary Club of Ainsty Trust Fund (the Charity) was founded by Trust deed on 28th March 1972 and is constituted according to the deed. The Charity was registered with the Charity Commission for England and Wales on 22nd September 1993.

Appointment of Trustees

The Trustees are all members of the Rotary Club of York Ainsty and elected at a Special General Meeting in normally held in October or November.

Management

The Charity is related through the Trustees and its fund-raising activities to the Rotary Club of York Ainsty (the Club). The Club is part of Rotary International and is a member of Rotary District 1040 Yorkshire and North Lincolnshire. Rotary International is a worldwide organisation comprising more than 1.2 million Rotarians in 35,000 Clubs in over 200 countries and geographic areas.

Power to make regulations

The relationship between The Trustees and The Council of The Rotary Club of York Ainsty is governed by “Power to make regulations”. Trustees may delegate powers to a management committee which is understood to be the club council. Only stipulation that at least one Trustee should be present at any meeting where finance decisions are made.

OBJECTIVES AND ACTIVITIES

Objects

The main objectives of the Charity Fund are for the relief of the poor and needy or for such charitable purpose as the trustees determine on behalf of the Club.

Training and Activities

Trustees have been provided with documentation describing the roles and responsibilities of a Trustee. The Trust raises funds by a variety of means and applies them to worthwhile causes in the UK and overseas. Before any expenditure is made it is subject to approval by the Council of the Rotary Club of York Ainsty.

Risk Management

The major risks to which the Charity Fund is exposed have been reviewed by the Trustees and systems established to mitigate these risks.

Activity and Achievement for the Public Benefit.

During the year, the Charity raised £27,587 (£23,178) from members and donations and paid out £25,488 (£19,170) to 30 different organisations by way of grants and other disbursements.

In December 2023 our Santa Float Collection raised £9,491 (£9,210). YorKits raised £2,876 (£4,306) This included £1,000 matching District Grant and the remaining from the public by holding its annual York Minster and Spring Fair events and getting individual donations.

A further £1,446 (£1,078) was raised by SpecSort by recycling Gold.

Münster St Mauritz Rotary Club donated £1,681 to The Trust which helped fund our Wilberforce Trust – Sensory Gardens Project.

The Charity is grateful to former member Don Wilson who left a legacy of £5,000. £1,442 was refunded to the club during the year RYLA (£525) and York Technology Tournament (£917).

Furthermore, the Charity raised £2,164 (£4,323), including gift aid from members and donated £455 to Motor Neurone Disease, £812 to York Food Bank, £350 to Rotary International’s Annual Program including Polio + which is Rotary International’s key project in partnership with the World Health Organisation and the Bill and Melinda Gates Foundation.

One of the Charity’s flagship projects is the making of feminine hygiene kits (YorKits) and training others to make the kits. The Charity made a grant of £300 to provide seed funding to Hedhi Huru Initiative via the Rotary Club of Moshi. This will enable girls in the Tanzania district the means to attend school every day by providing washable feminine hygiene kits. The team consists of more than 20 Friends of Rotary ladies including some from Tadcrafters in Tadcaster.

Another major project is ‘SpecSort’ that sorts, cleans and measures used spectacles collected from around the UK which are then sent to various countries overseas. Gold-rimmed spectacles are separated and sent to a refiner to separate out the gold content for which the Club receives payment. The monies raised help to fund transport abroad and support Physionet a partner charity with transport costs.

Another major project is “Sow Grow and Share” This project has encouraged the growing of edibles and flowers among young people, less well-off members of our community and those with learning difficulties. It has built upon an earlier windowsill project. Sow Grow and Share, with funding from the charity and Münster St Mauritz Rotary Club made a significant contribution to The Wilberforce Sensory Gardens.

The Santa Float Collection is only possible with the support of local York charities, Vale of York Academy, Manor Academy, Wilberforce Trust, St Leonard's Hospice, Age UK, Door 84, York Mind (& Good Gym) and Copmanthorpe Scouts. The Charity donated £3,739 to these charities.

£2,500, held in reserves was transferred via our 'twin' club in Germany - Münster St Mauritz Rotary Club, to help fund a joint humanitarian project in Albania.

The Charity continues to support the youth in our area and was able to support Rotary Youth Leaders Awards (RYLA) helping develop their leadership skills whilst having fun.

The Trustees are committed to finding local and international projects with which to distribute the accumulated funds

Statement of Public Benefit

The Trustees confirm they have referred to the guidance contained in the Charity Commissioner’s guidance on public benefit when reviewing the Trust’s aims, objectives and plans for the current year.

The Trustees confirm the Charity meets the two principles of public benefit namely:

That there must be an identifiable benefit or benefits and they must be clear and related to the objectives of the Charity and must be balanced against any detriment or harm; and

That the benefit must be to the public or a section of the public and that the beneficiaries must be appropriate to the aims of the Charity and must not be unreasonably restricted and that those in poverty must not be excluded from the opportunity to benefit.

Reserve policy

The Charity has no operational expenses and the Trustees having reviewed the risks to which the charity is exposed have decided upon a full distribution policy of all monies received from fund raising except to keep a fund of money to cover maintenances and a contribution to the replacement of the Santa sleigh, Community Games and Promotional Materials. The amount will vary from year to year.

Statement of Trustees Responsibilities

The trustees are responsible for preparing the Trustees’ Report and Financial Statements in accordance with applicable United Kingdom accounting standards, applicable statements of recommended practice and regulations under Part 8 of the Charities Act 2011. In addition, the Trustees are responsible for safeguarding the assets of the charity, taking reasonable steps for the prevention of fraud or other irregularities, and keeping proper accounting records which disclose, with reasonable accuracy at any time, the financial position of the Charity.

The Treasurer makes available a monthly statement to Trustees when reporting to the Club Council and Club members. The Trustees have a formal meeting once a year, generally near the end of the calendar year, to review the Charities affairs. The following policy has been adopted to with regards to a Trustee’s period of service.

• The Club Treasurer will not be a Trustee but will be responsible for providing information to the Trustees about the Charity fund and for implementing their instructions concerning grants etc.

In so far as the Trustees are aware there is no information of which the examiners are unaware.

Report to the Trustees and Members of the Rotary Club of Ainsty Trust Fund

We report to the Trustees on our examination of the accounts of the above Charity (The Trust) for the year ended 30th June 2024 as set out on pages 7 to 11.

As the charity trustees of the Trust, you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011.

We report in respect of our examination of the Trust's accounts we have followed the applicable directions given by the Charities Commission

We have completed our examination. We confirm that no material matters have come to our attention in connection with the examination which gives us cause to believe that in, any material respect

1.) accounting records were not kept in accordance with section 130 of the Act or

2.) the accounts do not accord with the accounting records.

We have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in order to enable a proper understanding of the accounts to be reached.
