**SOUTHAM PRIMARY PRE SCHOOL LTD MINUTES OF AGM REPORTING ON YEAR SEPTEMBER 2024-AUGUST 2025**

## **CONFIRMATION OF MINUTES FROM LAST AFM** 

A copy of the minutes from last year’s AGM was read by all three directors and agreed that it was a true record of the proceedings. 

## **OFFICE MANAGER’S REPORT:** 

By the summer term 2025, we had 35 children on role with an average of 23 every morning, 20 every lunch time and 21 every afternoon. 

Since our last AGM we have taken on two new members of staff, Sophia Eykyn started in January 2025 as a permanent part time member of staff and Kerry Fletcher starting in April this year to cover lunch clubs until the end of the year. 

Frankie went on Adoption Leave in May and Maria went on Maternity Leave in July. 

September 2025 numbers are looking healthy with an average of 19 in the mornings, 17 at lunch 

and 16 in the afternoons. In January 2026 this average will increase to 22 every morning, with 21 each lunchtime and afternoon. 

Regarding finance, we have begun itemised charging for edible consumables and non-edible consumables as the new funding guidance has dictated. 

We have also had to change the time of the half hour that we were charging when children attend for a full day. Up until April 2025, we were charging for the half hour over lunch club, 11.45-12.15. However, we have to let the parents have the funded entitlement with no extra costs should they wish. This means that we now charge for the half hour at the beginning of the day, 8.45 – 9.15. This then allows the parents the choice of not paying for that half hour by starting their child at 9.15a.m. 

Our hourly rate will increase to £11 in September and we have felt it necessary to increase our deposit to £100 as we had eight families cancel their places for this September when we had previously been full and had actually turned children away. This has meant a lot more admin work and lots of last minute arrangements for families who had not secured a pre-school place for their child for September 2025. 

We are also mindful of the increase in the minimum wage, which came into effect in April this year along with a decrease in the National Insurance threshold. 

Jodie has done very well setting up various fundraising initiatives, which have raised significant amounts of money for pre-school. 



We have also put £40,000 into an interest account, which has earned an extra £1,000 for us this year. 

We currently have an excellent staff team who had a very good Ofsted inspection two days before we broke up for the summer!

## **SAFEGUARDING REPORT:** 

- The 2024-2025 academic year was another busy year from a safeguarding perspective. There was a total of 10 children across the year for which safeguarding concerns were recorded/reported. 

- 8 of these 10 involved isolated ‘low-level’ safeguarding concerns which were reported promptly, recorded appropriately and dealt with satisfactorily within Pre-School via conversations with parents/carers and/or further monitoring 

- 1 of the 10 involved several separate but related ‘low-level’ safeguarding concerns. These were recorded appropriately and dealt with satisfactorily within Pre-School via conversations with parents/carers and/or further monitoring. 

- 1 of the 10 involved a referral to Family Connect (Formally known as the Front Door). 

- None of the children in our care over the course of the 24/25 academic year were subject to a Child in Need or Child Protection Plan. There was also no children part of the Early Help Process. 

- The vast majority of the action points that were identified during our last safeguarding audit, have been addressed. Any outstanding action points have been carried over on to the new action plan. 

## **SEND** 

During the year 24-25, there was one child referred to IDS (Integrated disability service) who were able to offer advice regarding supporting the child. This child also had an IEP in place, a referral made to WPAS (Warwickshire Pre-School Autism service), an EHCNA referral made, which resulted in them receiving an EHCP. 

We had three other children have IEP targets in place to support their learning and development and one other child that had been referred to WPAS via another professional just before joining us. 

Two children were referred to speech and language due to speech clarity.  One of these children attended speech groups to support speech sounds and the other was seen in clinic, supported with some information for parents and discharged. A third child was flagged with needing some additional support with their communication and language when they were Wellcomm screened, a toolkit used to identify any difficulties early on.
