History, objectives and activities of the Trust

The Charitable Trust was set up on 5[th] July 1993 to direct monies raised by the Rotary Club of Woking District to a variety of good works.

The objects of the Trust in accordance with the Trust Deed are to apply Trust Funds to the purposes of the relief of poverty and distress, and to the advancement of education. The trustees currently have a policy of supporting the objects of the Trust locally, nationally and internationally.

The Rotary Club of Woking District is a related party, which raises funds for the Trust to apply to its charitable objects.

Amounts raised since inception have been either distributed or where appropriate retained as reserves for future events. The Trustees have considered the amount of long-term reserves and uncommitted funds needed to be retained to meet the objects of the Trust at the end of each financial year and have decided that the amount of £38,000 is required.

The Trustees are assisted by the various committees of the Rotary Club of Woking District in identifying projects and organisations they wish to support.

Management and governance arrangements

The Trustees of the fund are members of the Club and usually those holding the offices of President, Secretary and Treasurer of the Rotary Club of Woking District. The Trustees can also co-opt members as required. Trustees in 2024/25 and their posts during the year and date they became a Trustee were as follows:

The Trustees annually review the risks that the charity faces. To date these have mainly related to the annual Fireworks event where costs of holding the future years event are held in reserves in case of late cancellation. It is the current intention that this practice will continue.

Procedures and policy for grant making

The Trustees meet as required during the year to review the controls of the clubs fundraising teams and ensure the monies raised are distributed in accordance with guidelines agreed by the members of the Rotary Club of Woking District. The Trustees also make grants in accord with the objects of the Trust.

How the activities satisfy public benefit

In planning the activities for the year the Trustees kept in mind the Charity Commission's guidance on public benefit at their meetings and direct funding to project work rather than operating costs.

The focus of the activities is to raise and distribute funds for the purposes of relieving poverty and distress, and for the advancement of education, both local, national and international.

Achievements and performance of the Trust

In the year ended 30 June 2025 the Trustees raised the sum of £100k and applied £41k in the fulfilment of the objects of the Trust.

During the year several fundraising events were organised very successfully. The Fireworks Extravaganza raised £40k along with £7k from the annual Christmas collections and £6k from the Golf Day.

The funds raised this year were applied to 30 charitable donations, which are fully detailed in the Annual Accounts. Donations were made for both International and local projects. The Trust continued to donate to the Rotary End Polio Now campaign to help to eradicate polio throughout the world and this year donated £500. Overseas donations totalled £13k with £6k given to Sand Dams Worldwide to fund a water project in Kenya and £5k to African Revival to fund children in Africa. Local donations included £5k to Freemantles School towards a minibus, £4k to Relate West Surrey and £4k to Surrey Drug and Alcohol Care.

Financial review

The results for the year accompany this report along with an Independent Examiners Report who had no concerns and came across no other matters in connection with the examination to which attention should be drawn.

Future Plans

The Trustees intend to continue providing grants in a similar way to recent years but retain flexibility as to timing, and scale of grant making.

Trustees' responsibilities statement

The trustees are responsible for preparing the Trustees' Annual Report and approving the financial statements in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice).

The law applicable to charities in England & Wales requires the trustees to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the charity and of the incoming resources and

application of resources of the charity for that period. In preparing these financial statements, the trustees are required to:

 select suitable accounting policies and then apply them consistently.

 make judgements and estimates that are reasonable and prudent.

 state whether applicable accounting standards have been followed, subject to any material departures disclosed and explained in the financial statements.

 prepare the financial statements on the going concern basis unless it is inappropriate to presume that the charity will continue in operation.

The trustees are responsible for keeping adequate accounting records that disclose with reasonable accuracy at any time the financial position of the charity and enable them to ensure that the financial statements comply with the Charities Act 2011, the trust deed and accounting and reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS102) (Charities SORP (FRS 102)).They are also responsible for taking reasonable steps for the prevention and detection of fraud and other irregularities.
