TRUSTEES ANNUAL REPORT

Charity Name: Spetisbury and Charlton Marshall Playgroup Known as: SCAMPS and The Treehouse Club Registered Charity No. 1023882 Financial Year: 01/9/20 – 31/08/2021 Charity Address: c/o Spetisbury Primary School, West End, Spetisbury, Dorset, DT11 9DF.

Objects of the charity are to provide Preschool learning and extended childcare services to children within the local area.

The Trustees are selected either at the A.G.M or at committee meetings held approximately 10 – 12 times a year. Due to the pandemic, these meetings were held virtually over Zoom to ensure health and safety for all. Our trustees are elected by parents of the Preschool and the current trustees.

The charity runs with a voluntary committee of members made up of mainly parents of the children attending the preschool, breakfast and afterschool club along with other interested parties. We continue to forge a close relationship with the Primary school whose site we share. We aim to meet with the Headteacher, governors and preschool manager 3 times a year. There are two appointed Preschool Managers (one currently on maternity leave) responsible for the staff and the daily running of the Preschool and they are supported by several assistants.

Unfortunately, all charity/fundraising events were cancelled due to Covid-19. We shut Scamps and the Treehouse club for a short time before re-opening with correct measures in place for the safety and wellbeing of our children, staff, parents/carers. We received very complimentary feedback from the parents and carers who were very appreciative of how everything was being dealt with and that their children were continuing to thrive being in the setting.

We continue to forge fantastic relationships with the school enabling a smooth transition for the preschool children moving up into school. The children particularly enjoyed their Friday afternoon going to their new reception class and being with their new teacher and TA – the school found this very beneficial too and it is something we aim to continue.

We continue to offer extended services of a breakfast and afterschool club for preschool and school aged children from 2 years up to 11 years old within the school term times.

We have amended our reserves policy due to the growth of the setting and aim to hold 3 months of running costs in reserve for any eventualities such as redundancy etc. This reserve is held in a savings account at our local Lloyds Bank.

At present we do not make grants, if we were to this would be a decision made by the committee.

In view of any major risks, we currently make decisions as a committee and vote on any matters arising. Cheques are issued by the Treasurer or Chairperson and must be signed by a second appointed signatory. The Preschool Manager checks timesheets to ensure the correct hours are claimed and the Treasurer then checks for any anomalies before payment.
