## **Annual Report for year to 31 March 2025**

The biggest change we have had is we are now charging for all trips at the end of each month. The pricing we have introduced has been very well accepted by 99% of our customers. We are monitoring this on a six-monthly basis. How many trips we complete in a month is slowly increasing even with introducing the charges which just shows how much our service is needed in Poynton. The set prices for driver’s journey’s has made life simpler.

## **Office**

Welcome to those volunteers who have joined us in the office over the last 12 months, we do hope you enjoy the time you spend with us knowing the difference you are making to our Poynton residents that need Open Hands.

We have had a busy year, we are all settled into the centre so we can concentrate on meeting the needs of the clients ensuring all the correct information is passed along to our drivers and all the paperwork is completed.

We have had a few changes within the office staff and as always our longer standing volunteers have done a great job in helping our new volunteers to settle in and learn the ropes.

We have started a What’s App group with the ladies in the office which has made life a lot easier with covering holiday and absences. Thank you ladies for helping to make this work.

## **Drivers**

Welcome to all our new drivers hope you are enjoying your role. We are constantly receiving compliments on how prompt and efficient you all are.

We currently have 49 Drivers on the system at the moment which is fantastic, it is actually above our normal figures, we are usually around the 40 mark, but if you do know anyone that may be interested in joining us please forward our details, the more we have the lighter the load.

We have been informed that Priorslegh Medical Centre are going to be holding blood test appointments at the weekend – Saturday mornings to be precise, whether that will affect us depends on family members being available but thought it was worth mentioning.

## **Treasurers Report to the AGM 18/06/2025**

This year has been a much better one, financially, than recent ones.

We were the beneficiaries of a grant of £10000 from the Dowager Countess of Peel Trust. This was suggested by one of our drivers. One of the problems with applying for grants is that few of the grant making bodies are prepared to fund running costs, wanting a defined project to support. As almost all of our expenses relate to running costs this can be difficult however this was not the case with the Countess of Peel and we are obviously very grateful to the Trustees for giving us this money as it will secure our financial stability for the foreseeable future. It has also meant a significant rise in the income from bank interest.

Even without this money we have done better this year with a deficit of £245 compared to recent years when it has been between £1000-£1500 after the effects of Covid had finished.

We had to start charging clients for trips to East Cheshire NHS appointments from last June. This made us look at all our fee structure bringing in the fixed costing for all trips. From an administrative point of view this has made things much easier dealing in whole pounds. Most of the clients have accepted this and remain grateful that we are significantly cheaper and more convenient that any alternative. This has meant that there has been a drop in the small donations that many clients gave in lieu of a fare, It is somewhat difficult to pull the exact figure from the accounts but it was probably in the region of £500 less from June24March 25 compared to the same period in the 23-24 year. However, many clients still continue to give donations

Our fund raising this year has been greatly helped by the efforts of Carolyn Watson, our newest trustee who has taken on the role as lead fo r marketing and fundraising. This has resulted in some significant sums being donated to Open Hands. These include the £10,000 from the Eleanor Peel trust as already mentioned. We also received £1200 from Poynton 41 club, £500 from Dragonfly engineering, £1000 from the North East Cheshire Community Partnership. We also received £490 from the residual funds of the Summerfest.

This has meant that overall there has been a slight increase in donations without the Countess of Peel money

The efforts of Adelle and all her helpers raised £350 from running the stall at the Christmas fest and £800 from the Fashion Show

The drop in Gift Aid reflects, in part, the decrease in small donations but also the timing of the payment from HMRC.

## **Fundraising/Marketing**

We have been very fortunate to receive funding from a few different organisations resulting in some significate sums being donated to Open Hands.

The Dowager Eleanor Peel Trust - £10,000 Poynton 41 Club - £1200 Dragonfly Engineering - £500 North East Cheshire Community Partnership - £1000 Christmas Fest Stall - £350

This doesn’t stop us continuing to raise funds, as this also help to make sure people know about our service and attract more volunteers.

We have had some new flyers printed, double sided with what we do on one side and volunteers needed the other. These have been displayed on the notice boards around Poynton and circulated around doctors and dentists etc.

Just Giving has finally been set up on our website for easy donations at no cost to ourselves and we are still signed up for Easy Fund Raising.

Poynton now has a new Mayor Peter Oakes, he has very kindly chosen Open Hands as his charity for the year ahead.

## RESPECTIVE RESPONSIBILITIES OF TRUSTEES AND EXAMINER

The charity's trustees are responsible for the preparation of the accounts. The charity's trustees consider that an audit is not required for this year under section 144 of the Charities Act 2011 (the Charities Act) and that an independent examination is needed.

It is my responsibility to:

(a) examine the accounts under section 145 of the Charities Act,

(b) to follow the procedures laid down in the General Directions given by the Charity Commission (under section 145(5)(b) of the Charities Act), and

(c) to state whether particular matters have come to my attention.

## BASIS OF INDEPENDENT EXAMINER'S REPORT

My examination was carried out in accordance wih General Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the Charity and a comparison of the accounts presented with those records. It also includes the consideration of any unusual items or disclosures in the accounts and seeking explanations from the Trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a 'true and fair' view and the report is limited to those matters set out in the statement below.

## INDEPENDENT EXAMINER'S STATEMENT

In connection with my examination, no matter has come to my attention:

1) which gives me reasonable cause to believe that in, any material respect, the requirements

(a) to keep accounting records in accordance with Section 130 of the Charities Act;

(b) to prepare accounts which accord with the accounting records and comply with the accounting requirements of the Act have not been met; or

2) to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.
