District Lead Volunteers Re￿"eW of Scouting in South East Berkshire
In the last yearthe District Trustee Board has continued to focus on the Goals which we began in
2024
The Governance of the Groups within the District
We reviewed the results of our Group Governance Questionnaire to assess compliance
at group level. It gave us an indication of where each group was and we're pleased to
say overallthe District was in a reasonable place
Alex directly supported several of the groups through the transition from Exec to
Trustee Board & helped them with theirAGM preparations
You will have heardlwill shortly hear/read Helen's review for the tremendous support
she and the Volunteer Development Team have also given to allthe groups to help
them transition to the newway of Scouting over this year
Earleywood transition &future plans
Some progress has been made for Earleywood (see the separate report) & Berkshire
County Scouts have formally agreed to the site being leased directly from Gilwell by SE
and S Berkshire. Discussions with The Scout Association legal team regarding
changing/extending the lease however were put on hold, due the amount of admin
arising from compliance followingthe Coroner's Report from The Great Orme. The
lease discussions will be resumed in 2026.
Investment Plan
The DistrictTrustee Board formally launched a scheme wherebygroups could applyfor
project funding from the District for their own group.
In the short term the District Trustee Board also offered each group £250 as a one-off
payment. to buy somethingtheir group needed. All groups applied and many payments
were spent on soft axe throwing kits {thankyou Costcol), tents, water heaters and other
camping kit...so put to very good use.
We also formalised the District's policy for Explorers participating in International
Scouting events11096 towards the cost of the trip)

Programme Team
The Programme and 14-24 Teams deliver jointly events across the District
14-24 Actlvl
Regular weekly evening meetings are up and running for all Network members taking place
Tuesday nights at 4th Bracknell.
Looking to get recruitment materials done in the Autumn term.
Events
9th October 24 - Army Leadership Day
7 Explorers from 3 Groups attended this free event run by the Army to earn their
Leadership Activity badge
25 to 2Ph October 24 - Gilwell Scarefest Camp
11 Explorers across 3 Groups attended this fun packed scary weekend
14th November 24 - Cubs Bowling Event
124 Cubs took over 18 bowling lanes at Hollywood Bowl Bracknell
1 st Binfield took home both team and individuaL trophies
22nd November 24 - Scouts Silent Disco
50 Scouts Strutted their stuff, busted moves, played games and sang out loud at their
neon silent disco

8 February 25 - Beaver Challenge & Sleepover
9 teams of 4 Beavers from 6 Groups completed 12 bases to test their team skills
physically, mentally and laterally.
Congratulations to 1 st Warfield who have taken home the shieldl
18 Beavers slept over and enjoyed an evening eating tea, watching a rnovie, played
games and up earLy next day for breakfast and home
29th March 25 - Squirrels/BeaverslCubs County Wild Adventure Days
Over 100 Squirrels1 Beavers/Cubs and 40 adults attended the County event

Scouts from 4th Bracknell and Explorers from 2ThJ Bracknell participated in this gruelling
hike across The Ridgeway
22fK1 July 25 - Cubs Camp Fire
Over 40 Cubs attended the camp fire at Earleywood Camp Site
August 25 - ALPS
We joined up with South District and together took 25 Explorers, 1 Network and 5
Leaders on an adventure of a lifetime to South France to enjoy adventurous activities.
13th Septeml)er 25 - Squirrelsl Beavers Hike
Over 100 YP, adults and their siblings hiked across Bracknell, ending up at Lilly Hill
Park for a picnic and camp fire
19 to 21st September 25 - Parent & Child Camp
Over 220 campers across 6 Groups supported by over 20 camp crew Explorers and
Leaders competed in the annual parent & child camp
The coveted Trading Post was taken home by 1 St Binfield and The Crew Challenge

retained by 1 South Ascot
Notifications
Busy year across the District, as we got out and about quite a lot:
399 Activity Notification (AN), meetings held outside the usual meeting place i.e.
Scout Hut, Community Hall, etc

Still plenty of Leaders interested and looking to get them onto courses
Distrirt Arti￿"tY Support Sub- Team
Prior to the autumn of 2024 the Support Sub-team was known as the District Active Support
Unit (DASU). Following changes at a National level we became an Activity Support Sub-team
under the umbrella of the District Support Tearn.
The DASU held its own funds and reported annually to the District Executive now known as
the Trustee Board.
The DASU held funds with Natwest Bank and Virgin Money. Funds held with Natwest have
been transferred to SE Berks District and the funds held with Virgin Money are in the process
of being transferred to the District. Awaiting conf7rmation that this has been done. The
Funds previously held by the DASU will be held as a restricted fund within the District.

Over the last twelve months or so the Sub-team have only supported the District at two
events - the 2024 Parent and Child Camp and more recently the Squirrel l Beaver Hike.
Members of the sub team continue to meet but only in an informal mode and during the day.
In recent months several members have decided to become retired members and
consequentially have restricted access to some activities and young people.
However the DASU and prior to that the District Scout Fellowship have been pleased to
support the District in a wide variety of ways over many, many years and have had enjoyable
time in doing so.

Earleywood
This year (to the end of March 2025) has been fantastic for bookings at EarleyNood (up 10% on the
prior yearl, with the site being enjoyed by more Scout & other groups than ever. They all love the
woodland feel and the opportunity to develop outdoors skills with the YP.

Improved Communications with Customers:
Atthe beginning of the year we decided to pay Zoe Arden to manage the bookings and
this has helped enormouslywith all aspects of the customer communication.
Zoe has overseen an extensive review of the Earleywood website, updating our Ts & Cs
and adding many more photos with clear descriptions of the facilities. The website is
now hosted through Pete Jeffries and the Countyteam and looks much more
professional.
Zoe has re-vamped the Earleywood information booklet, the information in OSM and
introduced "self-hosting. guides.
o Zoe is also proactively sending out the feedback form to all customers who book
overnight and this is providing a valuable source of information from our customers
perspective.
o Zoe has undertaken an extensive review of the Earleyoiood prices. comparing our
charges with similar sites and simplifying the structure. making it easier to understand
{and book!)
Consolidation of AdministrationlPapepNork:
With the creation of the SE Berkshire DistrictTeams account, Earleywood is now a sub
team within it and all the associated filing, minutes, certificates etc have been moved
from Dropbox & Google dox to this one repository. so it is all in one place.
Focus on Activities and Instructors
Zoe has introduced WhatsApp groups for instructors by permit activity, which has
made finding instructors for bookings much easier.
o With Zoe's help we have introduced a reward programme for instructors, so for every 5
hours volunteering a permit activity for another group, they receive a free 1-hour
session for their own group.
o Zoe has also investigated runningArchery permit and Rifle Shooting permittraining
sessions at Earleywood, to create a greater pool of instructors to call upon.
We have BIG plans for EarleyNood and we've onlyjust begun!!! We look forward to updating you
with our progress at the next AGM!
