Note.1. Churches. Ipswich Road URC was the only church to support FSJMS in 2023. In 2022 donations were also received from West Moors PCC, Chailey PCC, North Newnton PCC.

Secretary’s Report: April 2023 – March 2024
The committee has met five times by video conference.
Committee Meeting held on 16.6.23 by video conference
Fr. Ncube had sent progress reports for the bursary girls. Some students were struggling with their grades, possibly due to the closure of St. James for long periods of time during the pandemic.
Fr. Ncube had also emailed to say that some girls had left St. James as their families could no longer afford the fees. Sibo explained that the Zimbabwean dollar had suddenly plummeted and many people were struggling to pay for basic needs. Salaries were paid in local currency and these had not increased so many families were affected. Stephen had replied expressing his concern and explaining that FSJMS would continue to do as much as it could.
It was apparent that without Chris’ fundraising charity work, FSJMS would not be able to meet its commitments. The average monthly income from donors, without charities contributing, was approximately £1,000, giving an annual income of £12,000. This meant that expenditure was greatly outstripping income. A very generous donation of £2,500 had been received from The Carmela & Ronnie Pignatelli Foundation
The Term 2 transfer comprised: Bursaries for nine girls, Feeding Fund, Pre-School salary, Honorarium and transport costs to the bank. A donation of £50 had very kindly been sent for the Clinic and it was agreed to check with the Clinic if they required anything urgently.
Sarah had checked the Government website: UK Sanctions List Zimbabwe, to ensure that FSJMS was not in contact with any person or organization on the current list of designated persons.
Sponsorship from the London Marathon had raised £1,700 which was excellent. Lydia was going to run the Marathon for FSJMS in 2024 and was already training hard for the event.
Committee Meeting held on 22.9.23 by video conference
It was good to hear that Sister Dorcas was still working at the Clinic. She had said that the usual funds were needed for the Clinic.
The Gift Aid claim had been made for 2020 and £1,544.40 had been received which was excellent. Two generous donations had been received: £1,360 from The Fellowship of St. John and £500 from The Stockwell Trust.
Alan had made a three-year comparison of the annual sums received from Supporters’ standing orders. It could be seen that income had increased slightly even though the supporter base had slightly decreased. The income from charities fluctuated from year to year and expenditure continued to outstrip income. Interest rates had increased which was beneficial and might encourage supporters to increase their donations.
The Term 2 transfer had been made: £8,857.83 and bank charges: £28. The Term 3 transfer was due to be made soon. Sarah had checked the UK Sanctions List Zimbabwe to ensure that FSJMS was not in contact with any person or organization on the list.
Janice was thanked very much for designing a beautiful Christmas card. They would also be suitable to be used throughout the year.
Minutes of Committee Meeting held on 24.11.23 by video conference
Chris was going to visit Sibo in Zimbabwe in January 2024 and they planned to visit St. James for two days. This would be a good opportunity to reinforce the commitment and trust that FSJMS had in St. James, but also to remind the school that resources were limited.
A donation of £100 had been kindly sent for the Clinic. Sister Dorcas had said that the Clinic needed a machine to test blood sugar so Sibo and Chris would be able to follow this up during their visit.
Income was stable but costs had increased. Gift Aid for 2021 and 2022 had recently been received and The Oak Trust had kindly made a donation. The Term 3 transfer had been the only expense.
The accounts for 2022 had been examined and a declaration of correctness had been issued by the examiner. The Charity Commission Annual Return had also been completed and submitted online.
Fr. Ncube had emailed regarding new bursary students in 2024 which the committee discussed. FSJMS would already be supporting nine bursary girls, including two in the L6. It was agreed that Forms 1-4 were the priority. Part-scholarships seemed a good idea, so that there could be match-funding with other agencies and maybe some parents could also give a contribution or the PTA. This might mean that more students could be supported. It was also agreed that girls from St. James Primary School were still the priority.
Minutes of Committee Meeting held on 12.1.24 by video conference
Alan had sent the end of year balance sheet to the committee and was thanked very much for all his hard work. A total of £9,010.00 had been received from charities thanks to Chris’ great efforts. The Christmas card sales had also been excellent, raising £3,072.93 and Janice was thanked very much. A good amount of interest had been received on the current account which covered the bank charges and the Gift Aid claim for three years was also a substantial amount. However, expenditure was still outstripping income as total income received: £25,522.47 and total expenditure: £30,205.60. The committee accepted the accounts and was happy for Alan to submit them to the examiner for verification.
Alan and Alison had been very busy completing the Due Diligence Review for Barclays Bank. Chris always checked that the charities she contacted were registered with the Charity Commission and would ensure that Alan had their charity numbers for his records.
During their visit to St. James, Chris and Sibo expected to meet all of the bursary pupils, visit the Clinic and see the Feeding Scheme in action. In Bulawayo they hoped to meet the staff at the Diocesan office and also to meet up with some of the Alumni.
It was agreed to hold the AGM on 6[th] April in Poole and to have the same format as 2023. The social afternoon would include a report of the visit to St. James.
Alison had been contacted by an IPSOS researcher looking at small charities and one topic raised was cyber-attacks. The committee realized the importance of having a cyber-attack policy and this would be discussed at a future meeting.
Minutes of Committee Meeting held on 8.3.24 by video conference
The Term 1 transfer had not been made yet as information regarding the bursary fees was still required from Fr. Ncube. It was understood that one Form 4 bursary pupil had not returned to 6th Form as she had come to live in England with her family. Chris confirmed that all of the current bursary pupils, apart from one, had attended St. James Primary School.
Sister Dorcas at the Clinic had said that a Kidney Function Testing Kit and an Iron Testing Kit were both needed but apart from that, the Clinic was well-stocked. These could be purchased with the funds which had been kindly sent for the Clinic.
The Annual Accounts for 2023 had been examined and approved by an independent examiner. Donations had been kindly given by Chailey PCC: £136.57, Children First International: £350 and SMB Trust: £1,000. Chris was thanked very much for her fundraising work.
The Term 1 funds for the Feeding Scheme had been sent as these were needed at the beginning of term. It would be good to have more contact regarding the Scheme and hopefully this would happen when the new Acting Headteacher was appointed.
When the Feeding Scheme transfer was made, there was a transfer fee of £28. However, hopefully this would change in the future as Barclays was considering online accounts for charities due to the closure of many bank branches.

All the arrangements were in place for the AGM. Chris and Sibo were going to write a short report on their visit to St. James and Chris was planning to do a Power Point presentation. Hopefully some of the Alumni would be able to join.
