A couple of items to vote on in this meeting:
- Voting in of current committee members. All agreed to stay in their roles and it was voted that this was ok.
Kim Tucker has agreed to be joint secretary with Emma.
Outside of the meeting Lowri has agreed to assist with Infant bookshop.
We have the following Vacancies
Vacancy’s
Vice Chair – Working closely with the chair, running meetings, encouraging volunteer participation, organising events and deputising in absence of the chair. Tallying up payments and emails for events planning for future events and scoping out tasks for the team.
Assistant Treasurer – works with treasurer and responsible for card readers and associated apps, removing excess cash from floats to a safe place during events and guarding money. Assist in tallying up payments with tickets etc. assistance with annual charity submission and ensuring that we are up to date on raffles and lotteries liscence.

Finances/Accounts
Summary of income & expenditure for the year.
We have had a change of team this year from May 23 onwards new Treasurer and Chair. It has taken around 5 months to change the banking over and gain access to the accounts online. We have two listed trustees, Myself and Sadie and controls are in place to ensure that any outgoings have a double signatory (as we had previously) We have put back into place a spreadsheet tracking income and expenditure which will capture all accounts alongside the online banking statements. We are also making sure that we are completing the relevant submissions to the charity commission in a timely manner.
For 2023 our income was £30,259 and our expenditure was £18,870 leaving a profit of around £11,389. We have been waiting for a paying in card to arrive so that we can put all money into the account. We expect that there could be an additional sum to be paid in to close off 2022-2023.
Final bank position for Foxhills Infant School PTA as of £14,931.41 note that we are expecting 2 cheques for Skoolkit to be cashed amounting to £2272.40 we also have a sum of £1680 still to be cashed.
Whilst we have a secure location to store cash, We are striving to ensure that all cash is banked ASAP after each event and all expenditure is logged with Sadie to ensure that we have good controls and tracking in place.
So far this year we have funded the Commerative Coronation coins in May 23, the Scarf education bus, and we have also provided leavers Tshirts for year 2 as well as paying for Leavers Hoodies for year 6.
2023- 2024 – where to spend our money
PTA shed needs to be prioritized this year so that we have somewhere close to playground and lockable. We are hoping for a Shed that has a hatch which will replace the current size of the existing shed and will need electric to be installed. If anyone is able to help with enquiries of the shed please contact Lorraine.

Replacement of the year R climbing frame/equipment. Dave is currently looking into this and it is anticipated that this will cost £10k. we think that there could be funding available for this which Administration team will be approached to see if they can assist in getting funding Anne Marie Datlin has also offered to help.

At the Junior school they are looking for £2400 play shed for the playground this will help with role play for the children and will be age appropriate.

Events planned
Autumn/Christmas events
Fireworks - booked for 3rd November. Kerry leading the event so any questions should be directed to her, We are looking for people to help with the set up, the evening and the next day clearing up the field. We will have access to the playground all day to set up for the event, the disabled toilet
will be sectioned off to ensure that Merlin don’t need to be chaperoned. It was suggested we invest in another extension lead for the event as this was required last year. Advertisement in the local council magazine and on local facebook pages required. Posters will be created stating that no cash will be stored on site.

Teaching staff will be helping on the night
We have BBQ, Chocolates, Glow items, Drinks and Jacket potatoes.
Halloween
Victoria has agreed to make Halloween biscuits which will be made to School recipe to ensure we cover most allergies. Lorraine to speak to Sam to borrow the Kitchen. Will be made and sold after school on Tuesday.
Children in need
We will do dress down day for children in need this year and no PTA involvement is needed. Donations will be given to CIN by the school.
Winter Fayre
Dress down day for Rainbow Hampers per class will be held the week before the fayre.
Timings will be 1-3.30
Stall holders need to be arranged
Steph is going to contact local business to get raffle prize donations.
It was suggested that we could increase our external stall holder price this year to £15. Lorraine to arrange a post on local pages to invite people to sell. Also we should ask parents if they want a stall.
Golden bucket.
Christmas Discos
Discos to be held for both schools - Infants to include Gotto.
Lorraine to contact Malcolm and Keith to secure the date. Helpers will be needed as running both schools on one night.
Potential to give Junior children a roll of sweets as part of the ticket.
Year 6 leavers
Hoodies will be prepared in time for the year 6 residential in February. A poll was completed on facebook to guage parent opinion and it was preferred to have them for residential. Mrs Howe agreed they could then be used on PE days. School will start creating photo memories so that we will be able to give them a year 6 leaving book as a leaving gift instead of the hoodie.
Year 2 we will continue to give Tshirts to the children leaving in year 2.
Aerobathon/Race to Paris
Abbie Heiden (who has run the Aerobathon for the last 6 years) has stepped down for the next year as her children have now left the school. So we need another idea for February.
As the Olympics are coming in July 2024 we thought it might be an idea to repeat the race to Tokyo event but to Paris. Kerry is going to find the details.
Bag to school
Lorraine to arrange and set a date – we will do this all in 1 day, parents will bring in bags, they will be collected that day (not at school pick up times)
Easter
The trail wasn’t as effective last year so its time to think of a different activity, we discussed an egg hunt which generally is better for infant children, or an egg creation competition.
Pantos? We have previously paid for M&M however it was deemed to be very expensive and not appropriate for the children as the acoustics are not right in the hall, it can be very loud.
Other ideas
Car boot sale - sellers pay for space in car park, shoppers pay to enter - maybe springtime
Quiz night
Family film night
PTA space on the school websites
Remind people to see if their employers do match funding.

As you can see from the figures above, Sarah gave us a strong start to the year. During the second half we pulled together and managed to achieve a good result, We have a small team of people who manage to pull off big events, but we wouldn’t be able to do this without the support of the
teaching and admin support staff, for which we thank them and would love to build on the good relationship we currently have to gain future support.
We are proud of the events we have provided for the children, in particular events like the gift shops, the spring fayre and Christmas discos. Unfortunately, due to our small number and various work commitments across the team, we were unable to run some of the planned events due to lack of people and time to organise (colour run, car boot sale). we hope that if we can get more people joining, we will be able to run these events next year. We will still be mindful not to overload parents with an overpowering request for money and to not overload the PTA team with too many events during the year.
Book shops are now federated and the money from both gift shops are being paid to the PTA. These are still successful and provide a lovely resource to the children for them to enjoy books. We hope that with the sending out of bookshop information, parents and children can engage with it more this year.
In celebration of the Kings Coronation, during May we funded coronation badges which were given to all children and staff.
At the end of the school year, Year 2 were given Leavers T-shirts and Year 6 we organised and paid towards the cost of the leaver’s hoodies. We had representatives of the PTA attend the leavers assembly and it was really humbling to see the children’s reactions to these gifts.
As a request for this year, I would like to have a list of obligations of what the PTA are requested to pay for throughout the year, for both schools. This will enable us to budget for the year ahead and also be able to report back to parents on what the funds are being put towards. We have had a request from infants to pay for SCARF which we are happy to do. But would like to match this with something for the Junior school so that we can try to keep things equal. Other than SCARF I am unsure as to what needs to be paid for as this was dealt with by Sarah.
The PTA shed is still on the list to try and achieve this academic year however I would imagine that because we haven’t gotten round to this yet, the process will likely need to be restarted and requoted. We would like to have a PTA hub that can be used for ticket sales, uniform storage and ice cream sales in the summer. This will benefit parents and the school by improving the current view of the shed and also give the PTA secure storage close to the playground where most events are held.
I would like to be able to apply for Grants to help replace the infant school climbing frame. However, there is a lack of resource on the PTA team currently so will be looking for support to do this at the AGM.
We feel that there’s a missing link between school and the PTA now that Sarah has left. It would be good to have some teacher or admin support at the PTA meetings which generally happen monthly via Zoom so that we can maintain a good working relationship and improve communications between School and PTA.
