Ecclesall Parents’ Teachers’ Friends’ Association (EPTFA) is an unincorporated association whose governing document is a constitution which was last amended in 2018. The Association was set up with the purpose of advancing the education of children at Ecclesall Primary School.

A parent or guardian of a pupil attending Ecclesall Primary School is automatically a member of the association. Members choose a committee at the AGM to manage the association on their behalf. All elected committee members are Trustees of the association, are registered with the Charity Commission, and have a legal duty to ensure that the association acts lawfully and is managed properly.

2019-2020 was, let’s say, interesting - and very challenging! - but still quite successful year for the EPTFA. The fundraising total for the year was £16,881.

The termly bun sales remain hugely popular with the children. Prices are now 50p per bun (apart from where a small amount of artistic licence is required for smaller offerings!) and that seems to be totally accepted now. The Autumn event passed uneventfully and successfully with bumper takings. The Spring bun sale was postponed by a week due to the first outbreak of disease of the year! (Norovirus) but went ahead on Valentine’s Day and was still very well received, raising a record £719.88!

Our first event of the year was the film night in October. This had been tried in the past with questionable results but “Sing” was a bit hit with the children and, possibly due to the success of the bar, was also enjoyed by the accompanying adults! Included in film night ticket was a hot dog and drink, and sweets were also on sale, so it was a great evening. “Matilda” was the film chosen for the February film night which was again very much enjoyed. The total raised over both these evenings was over £1000.

The nearly new toy sale in November was extremely busy and raised an amazing £1,410.44. We decided to hold a clothes sale as well this year, which was well received but a lot of work. Discussion will be required as to whether to continue with the clothes sale aspect going forward.

Christmas time brings with it a flurry of EPTFA activities including tea towels and bags, Christmas cards, discos and one of our major fundraising events, the Vintage Christmas Fayre.

Following on from the ongoing success of the design-your-own Christmas card initiative, we coordinated the project within school this year to trial if uptake would be greater and raised £426.00, slightly down on the previous year. The quality of work was deemed to be mostly inferior compared to when they are made at home so the feeling was that the uptake was probably less because of this.

The tea towels and bags project, heroically overseen by Cathy Kelland, remains popular and raised £1,164.08.

Our Vintage Christmas Fayre was held at the end of November and was a huge success. We had a magical grotto, brass band, fabulous stalls, sweet shop, games, crafts, raffle, a vintage tea room and café, all of which were expertly organised by the committee, and other volunteers, and it made an impressive £4,148.56.

The EPTFA discos held at Christmas and Easter are a highlight of the children’s social calendars and always very well attended. Sadly, the Easter disco was unable to go ahead this year due to the second epidemic of the year! However, the Christmas disco (KS2 only) was a great event. We sold hot dogs, sweets, tattoos and glo sticks all of which contributed to a fantastic profit of £1,023.66.

And then disaster struck in the form of COVID-19 and schools were closed to all but key worker children. Due to the pandemic any form of gathering and socialising became impossible as we went into a national lockdown. All planned events for the summer term were therefore cancelled and from here we moved our monthly meetings to Zoom, where we agreed that our EPTFA remit should become more about our community rather than fundraising.

We organised a Virtual Family Quiz which was very well received by all who took part. We didn’t charge anything to take part in this although it still, rather incomprehensibly, raised £18.84!!

During this time Vicki Parry, incredibly, managed to co-ordinate the production of leaver’s books for Y6, which are a lovely memento of their time at the school, and raised just over £43, although this isn’t aimed at being a money-making enterprise. Sadly, the much loved leavers’ party obviously couldn’t go ahead but we did organise hoodies for the Y6 leavers and were hoping to arrange a party in the following Autumn term which, again because of the ongoing pandemic, has still not been possible to arrange.

In the past we had decided not to do a Father’s Day craft as operational issues deemed it too problematic. However, with everyone at home, and as a bit of much needed distraction and fun, it was decided to work with Ecclesall Print to produce personalised cards and fridge magnets. This was quite popular and raised £301.73.

We also organised a summer treasure hunt, as a hopeful antidote to Lockdown Boredom. Each participating child received a prize and a certificate. It raised £139.96 and was declared to be good fun by all those involved!

We have benefitted hugely from the increased amount of match funding available to HSBC employees who help at our events and are extremely grateful to Louise Banks for co-ordinating our volunteers.

Below is a summary with a comparison of income for the last 5 years. Over £107,000 has been raised for our schools in these 5 years, which is fantastic. This year we raised less than previously,

clearly due to the fact that a third of our events could not go ahead, particularly including the Summer Fayre, which is historically a big fundraiser. However, under the circumstances, we feel that the amount we have managed to raise is commendable!

This year we have donated 18 Bee-Bot programmable robots for the Infant School, planters for vegetables for the “Dig for Victory” project, percussion lessons for Y3 and a £50 gift for each class for Christmas. We paid for the Y6 hoodies and also paid for a Science Day and an Arts Day via Zoom. We also paid £10,000 towards the Infant trim trail and have pledged £30,000 for the outside classroom, £500 for the Infant Woodland area and have undertaken to purchase 2 defibrillators for the school and the surrounding community.

None of this happens on its own.

I would therefore like to take this opportunity to pay a heartfelt tribute to the amazing dedication of all the EPTFA committee who have worked tirelessly to organise some fantastic activities and events. We are also very grateful for the support we have received from the parents and staff. The committee would also like to thank all the businesses who have supported our fundraising by donating raffle prizes and sponsoring events.

Hopefully we will soon be able to resume our exciting events and fun extra-curricular activities but in the meantime we will continue to do what we can to raise money to support the school and enrich the children’s lives at a socially distanced level. There will always be demand for resources for our school that go beyond their funding so our efforts remain vitally important.
