## Trustees’ Report 

The Trustees’ Report provides details of the Reculver CE Primary School PTFA’s (‘the PTFA’) objectives, trustees and membership, fundraising events and activities, support to School projects and initiatives, its financial performance and year-end balance sheet position. 

## Objectves 

The object of the PTFA, as set out in its Constitution document dated June 2016, is to advance the education of the pupils in the Reculver CE Primary School (‘the School’).  In furtherance of this objective the PTFA may: 

- Develop more extended relationships between the staff, parents and others associated with the School; 

- Engage in activities which support the School and advance the education of the pupils attending it; 

- Provide and assist in the provision of facilities for education at the School (not normally provided by the Local Education Authority). 

## Trustees and membership 

The Trustees in post during the year were Natalie Lane (Chair), Olivia Locke (Secretary) and Nicola Spratt (Treasurer) but an agreement of sharing the roles and responsibility was made. 

Members of the PTFA comprise all parents and guardians of children enrolled at the School, together with teachers and friends of the School. There is no charge for membership of the PTFA.

During the year ended 31 August 2024, the PTFA had net incoming resources of £1,853, (2022/23: net incoming resources of - £4068) and can be summarised as follows:

Our three big money makers are: Fireworks, Discos (2 per year) and the Summer Fair. However, due  to  the  expenditures  our  Summer  fair  overall  profit  is  lower,  and  our Fireworks display cost the PTFA a significant amount, which eats into the profit. The Disco’s therefore are the best money maker for the school overall. It must also be noted that the funds for the next years Fireworks are also taken out of the profit for the fireworks. 

The PTFA now have an agreement with the school, that the school will pay any invoice over £100 because they can claim back the tax and then invoice the PTFA for that amount (less vat). Which helps the PTFA raise more money for the school.

This year despite Covid 19 challenges donations of £3503.37 were made to the school to enable them to buy resources to enhance the learning of the children. The school benefited from lots of new texts to compliment the School’s Accelerated Reader approach to reading, these new texts will provide years of reading pleasure. The PE department and school football teams will benefit from the new football goals that have been purchased. 

## Balance Sheet 

The net current assets and net assets of the PTFA at 31 August 2024 was £15,171.88 (2023: £13,319.26). 

You can see by these figures that as more events returned each year (following the Covid 19 Pandemic, a slow introduction of events happened) that our expenditure and therefore our income was higher. 

It is the PTFA’s policy to always hold cash reserves of at least £3,000 to provide working capital for the advance preparation and funding of activities, goods and services procured for resale at major events. 

## Conclusion 



In summary, 2023/24 was another hard year for the PTFA events due to trying to balance the need to raise funds against keeping in mind the financial crisis that everyone is facing. 

Despite this, the fundraising event money raised, and the PTFA bank account surpluses enabled the donations above to be given to the school towards these important projects which will bring great benefit to children across the school over many years to come. 

The success of the PTFA and the resulting contributions to the school is only made possible by the continued hard work and significant contributions to fundraising activities made by the PTFA volunteers consisting of parents, teachers, and staff of the school. The Trustees would like to thank the parents, staff, children, and other volunteers who have given up their time during the year to help the PTFA in its many events and initiatives. Without such support, these successful activities would not have been possible. We welcome our new members and look forward to a new year, with fresh ideas and new fundraising activities. 

The school have asked us, the PTFA, if for upcoming events, we can carry out the events with the aim of funding something from the schools new Wishlist, from that event, and this can then be advertised to families before the event to help engagement.

Basis of preparation 

The financial statements have been prepared in accordance with applicable accounting standards and 

All incoming resources are accounted for gross. 

Resources expended are accounted for on an accruals basis and are accounted for gross.

## Independent examiner’s report to the Reculver CE Primary School PTFA 

I report on the accounts for the year ended 31[st] August 2024 which are set out on the following pages. 

## Respectve responsibilites of the Trustees and Independent examiner 

The charities trustees consider that an audit is not required this year under section 144(2) of the Charities Act 2011 (the ‘2011 Act’) and that an independent examination is needed. 

It is my responsibility to: 

- Examine the accounts under section 145 of the 2011 Act; 

- Follow the procedures laid down in the General Directions given by the Charity Commissioners section 145(5)(b) of the 2011 Act; and 

- State whether particular matters have come to my attention 

## Basic of Independent examiner’s statement 

My examination was carried out in accordance with the General Directions given by the Charity Commission. 

An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts and seeking explanations from the management committee concerning any such matters. The procedures undertaken do not provide all the evidence that would require a full audit and consequently I do not express an audit option on these accounts. 

## Independent examiner’s statement 

In connection with my examination, no matter has come to my attention: 

(1) Which gives me reasonable cause to believe that in a material respect the requirements: 



- to keep accounting records in accordance with section 130 of 2011 Act; or 

- to prepare accounts which accord with these accounting records 

have not been met; or 

(2) to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.
