Governing Document
The Rotary Club of Alresford Charity Fund was founded by Trust deed on 26 March 1990 and is constituted according to the deed.
The Charity Fund is related through the Trustees and its fundraising activities to the Rotary Club of Alresford. The Rotary Club of Alresford is part of Rotary International District 1110 locally known as Rotary Wessex, which is part of the Rotary International movement, a worldwide organisation comprising more than 1.2 million Rotarians in over 200 countries and geographic areas.
Objects
The main objectives of the Charity Fund are for the relief of the poor and needy or for such charitable purpose as the Trustees on behalf of the Rotary Club of Alresford shall decide.
Risk Management
The major risks to which the Charity Fund is exposed have been reviewed by the Trustees and systems established to mitigate these risks. This includes maintaining sufficient funds in the Trust Account to cover the expenses associated with the major events.
Activity and Achievement for the Public Benefit.
During the year the charity undertook four main fundraising projects:

The annual quiz night

The 10k road race

The bonfire night and fireworks

The sale of Christmas trees
The Charity donated £20,962,32 to a number of local and international projects during the accounting period. See page 7 for a full analysis.
Statement of Public Benefit
The Trustees confirm they have referred to the guidance contained in the Charity Commissioner’s general guidance on public benefit when reviewing the Trust’s aims, objectives and plans for the current year.
The Trustees confirm the Charity Fund meets the two principles of public benefit namely:

That there must be an identifiable benefit or benefits and they must be clear and related to the objectives of the Charity and must be balanced against any detriment or harm; and
-
That the benefit must be to the public or a section of the public and that the beneficiaries must be appropriate to the aims of the Charity and must not be unreasonably restricted and that those in poverty must not be excluded from the opportunity to benefit.
Reserves Policy
The Charity Fund maintains a reserve balance that is sufficient to cover the risks associated with the fireworks and Christmas tree selling events where costs are incurred in advance and where

poor weather can affect the success of the events. The reserve fund level is reviewed regularly by the Club Council and annually by the Trustees.
Statement of Trustees Responsibilities
The trustees are responsible for preparing the Trustees’ Report and Financial Statements in accordance with applicable United Kingdom accounting standards, applicable statements of recommended practice and regulations under the Charities Act 2011. In addition, the Trustees are responsible for safeguarding the assets of the charity, taking reasonable steps for the prevention of fraud or other irregularities and keeping proper accounting records which disclose, with reasonable accuracy at any time, the financial position of the Charity.
Statement of disclosure to the independent examiners
In so far as the Trustees are aware there is no information of which the examiners are unaware.
