MINUTES OF AGM FOR YEAR 2023/2024

HELD AT OWEN HARRIS MEMORIAL GROUND, EASTINGTON 22[nd] OCTOBER 2024

CHAIRMANS REPORT:

The chairman opened the meeting, and presented his report to the meeting for the year ended 31[st] January 2023. Following the resignation of Brian Wright we are still short of user group representatives on the committee, and we would also welcome new Trustees and need to the expand the age demographic. Most of the current Trustees have been in post since the Charity was originally founded. John spoke about the availability of grant funding and the reliance that we have on volunteer input for maintenance of the hall & field. The building was repainted in the Summer of 2023 and needs doing every 3-4 years. The fencing around the building still requires attention. He expressed the need to maintain momentum, and to try to identify local contractors who would be willing to help with building and maintenance

Playgroup are the main users of the hall on a day to day basis, with various other group using the hall in the evenings, and strong one off bookings at weekends.

Trustees were voted in for another year, with no changes to offices held. The Chairman expressed thanks for the support they have received from the Management Committee, and from the Hall and Field user groups.

TREASURERS REPORT

The Treasurer presented his report to the meeting. The financial statement was provided to the meeting. He highlighted the major costs during the year. These were £2500 for new shutter motors, £4300 for painting the hall, and £495 for replacement of carpets in one of the meeting rooms.

There were slight increases in Insurance & Water charges.

PRS charges were reduced - AC & AM worked to separate out the costs relevant to field use only which had not been ‘factored out’ quite so diligently in previous years.

It was agreed that we needed to monitor the cleaning service provided by the new contractors.

JM raised the question of price review for users of the hall. TH & AM confirmed that in line with the agreement in 2022, we are able to consider a review in 2025.

The Current & Deposit accounts remains steady.

Financial Examiner Nigel Shuster, passed by Committee, and expression of thanks to NS for his input.

Trustees are willing to continue in post.

There are also vacant positions for Trustees from Playgroup, Football and Cricket.

INDEPENDENT EXAMINER’ S REPORT TO THE TRUSTEES OF THE OWEN HARRIS MEMORIAL GROUND CHARITY

I report to the trustees on my examination of the accounts of the Owen Harris Memorial Ground Charity for the year ended 31 January 2024.

Responsibilities and basis of report

As the trustees of the Charity, you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011.

I report in respect of my examination of the Charity’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act

Independent Examiner’s Statement

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect:

  1. Accounting records were not kept in respect of the Charity as required by section 130 of the Act, or

  2. The accounts do not accord with those records, or

  3. The accounts do not comply with the applicable requirements concerning the form and content of the accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a true and fair view which is not a matter considered as part of an independent examination.

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report to enable a proper understanding of the accounts to be reached.
