## **TRUSTEES' REPORT FOR THE YEAR ENDED 30 JUNE 2024** 

## **Objects and Governing Document** 

The charity was founded in 1984 to administer the funds held for charitable purposes by the Rotary Club of Saffron Walden . 

The Trust Deed empowers the Trustees to hold monies received upon trust to apply both capital and income for such charitable objects as the Trustees may in their absolute discretion decide having regard to : 

Any wishes expressed by any individual or organisation when donating funds Any direction given by the Business Council of Saffron Walden Rotary Club 

The Trust Deed was amended on 22 June 2016 to incorporate current best practice  for the operation of the Trust . 

## **Appointment of Trustees** 

Trustees are appointed by the members of Saffron Walden Rotary Club. The maximum number of trustees is 5 and minimum 3 . Trustees hold office for a term of 5 years  and may be re-appointed . The existing Trustees were all re- appointed in March 2021. 

## **Review of the year** 

The level of activity was again very buoyant , 

The major fund raising  event was a Golf Day with nett proceeds of £ 8,600 used for Club Charitable activities. 

£ 2,000 of the £ 5,000 from the Estate of Donald Purkiss has yet to be used . Further events were organised to raise funds for UK Aid / Ukraine . 

The Christmas Street Collection raised funds in excess of £ 5,500 with the proceeds given to support local Charities. 

## **Accounts** 

The Accounts have been prepared on a receipts and payments basis as in previous years and in accordance with guidance issued by the Charities Commission. 

## **Voluntary Support  :** 

The Charity  relies on the voluntary services of its Trustees and of the Rotarians of Saffron Walden Rotary Club .

## 1. Accounting Policies. 

(a) Accounting Conventions : These accounts have been prepared under the historical cost and in accordance with the Financial Reporting Standard for Small entities and the applicable standards as set out in the Statement of Recommended Practice "Accounting and Reporting by Charities " SORP 2005. 

(b)  Income Recognition : Income is credited to the Statement of Financial Activities (SOFA) in the year in which it is received . The value of voluntary help is not shown in the accounts. 

(c) Expenditure recognition : Expenditure is charged to the SOFA on a cash basis.

The Foundation donations relate to the Rotary International  Foundation in the US and the sums have been remitted . 

The legacy money will be distributed to local charities in accordance with the Deceased's wishes . 

The balance of the Golf Day activity has been and will be distributed to identified charitable activities both local and national .

## **Report to the Trustees of Saffron Walden Rotary Club Trust Fund on accounts for the year to 30 June 2024 as set out on pages 3-6** 

## **Respective Responsibilities of Trustees and Examiner** 

The Charity's Trustees are responsible for the preparation of the accounts in accordance with the guidance set out in the Charities Act 2016 ( "the Act") 

The Charity's Trustees consider that an audit is not required for this year under the Act's guidance but that an independent examination is needed . 

It is the Examiners responsibility to : 

- Examine the Accounts under the guidance of the Act 

- To state whether particular matters have come to my attention 

## **Basis of Independent Examiner's Statement** 

My examination was carried out in accordance with general directions from the  Charity Commission. An examination includes a review of the accounting records kept by the Charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts ,and seeking explanations from the Trustees concerning such matters . The procedures undertaken do not provide all the evidence that would be required in an Audit and , consequently, no opinion is given as to whether the accounts present a "true and fair view " and the report is limited to those matters set out in the statement below . 

## **Independent Examiner's Statement** 

I have examined the Accounts set out on pages 3 and 4 above and in my opinion : 

- The Accounts have been prepared in accordance with the guidance for financial reporting provided by the Charities Act 2016 

- The Accounts are in accordance with the accounting records 

- There are no unusual items that require disclosure.
