Minutes of the Annual General Meeting for 2023/2024 held on Tuesday, 20[th] August, 2024 at 2.00pm
Present:
Committee Members – Chairman, Roy Lee; Treasurer, Beryl Funnell; Secretary, Gill Pullen, Rose Menzies, Barbara Bourton, Janet Bayfield,Thelma Rowell,
Apologies: Sandra Shillum, Wendy Ransom, Avril Harrison
Roy welcomed everyone to the meeting and thanked them for coming.
Matters Arising
He asked if everyone had read the minutes of the previous Annual General Meeting and if there were any matters arising from that meeting. There were none.

Chairman’s Report
This has been my 7th year as Chairman and I couldn’t have managed without the help of my fellow officers and the Committee members. It’s been another busy year with activities and socials and we appreciate the help of all the members who help set up and put away furniture.
Solar panels were finally installed, again with Councillor Dan Watkins help. We are grateful to David Page, who spent a lot of time organising this. Unfortunately he later decided to resign following disagreements with the Committee on other matters.
Pete Menzies came on board and undertook a lot of alterations in the shed, including building new shelving to make things easier to get at. He is also looking after the weeds and flowers in the car park and overseeing the redecoration of the Club, due to happen the beginning of August. We had a roof leak above the porch but Pete quickly arranged for it to be repaired.
Unfortunately we couldn’t carry out the fire alarm tests as planned but hope to try again soon.
We purchased a Bowls mat holder, as a few members were having difficulty bending down and rolling up the mats. After a few trials and tribulations it has proved to be very beneficial.
We had the Club’s 60[th] anniversary in June with a good turnout. Special guests were Sir Roger Gale MP, and Councillors Dan Watkins and Neil Baker. Thanks to the Committee for all their hard work and the members who also helped on the day.
Sadly 2 of our members died during the year – Sheila Hosier, who came to Bingo and Mick Rogers who called Bingo. Regretfully Bridget Riley, who came to Sequence Dancing, also died at the end of July.
There were no questions and Roy asked for a minutes silence in memory of those members who had died.
Roy apologised if he’d offended anyone by occasionally shouting.

Secretary’s Report
I’d like to start by thanking my fellow officers and Committee members for all their hard work, help and support during the year; particularly Rose who has been helping me by taking the minutes at our meetings and Janet who has been doing the filing and taken over updating the registers and producing tickets for our socials.
Our membership is just under 200 now but has started to build up again as 2 new members have recently joined. A few new members joined after they started the Beginners Line Dancing but have decided not to renew as their original Line Dance teacher came back to Herne Bay and restarted some of her classes. This has resulted in low attendance now.
Most activities are thriving. We only give up on an activity when numbers become too low to make it worth opening up for.
Unfortunately Thelma, our Committee member, had been ill since the beginning of the year and we would like to thank Roger & Sandra Shillum for taking on the mantle of Kurling and Darts to help out. They already run the Table Tennis and Sequence Dancing and have also organised Socials for Table Tennis, Kurling and Darts during the year. We very much appreciate their help and support.
Bingo is chugging along with numbers going up and down. We usually have a good turnout for Fridays and Hoy/Bingo, especially if we do food. We would like to thank Val Wilson and Les Keemer for stepping into the breach to call bingo after Mick Rogers sadly died. Caroline O’Connor has also helped by checking and now calling Bingo occasionally.
Unfortunately Solo is down to 1 table now but Canasta is going strong, often with 2 tables of 6 and occasionally an extra table. The numbers for crib are down, sometimes with only 3 tables of 4 but everyone enjoys it.
Table Tennis, Kurling, Darts and Bowls maintain a strong attendance, as does Wednesday Sequence Dancing. The alternate Friday evenings have lower attendance but we find people don’t like coming out so much in the evenings.
We’d like to congratulate 2 of our members who got married recently – Doreen Taylor (now Gavin) and Mal Gavin. We wish them every happiness.
Marie Searle what was the maximum number of members. 225 + life members. This was increased a few years ago as there was a waiting list.

Treasurer’s Report
Beryl thanked everyone for coming and Brian Silk for auditing the accounts. Brian was very happy with the accounts. A copy of the report was available for all attendees and Beryl went through the accounts explaining different sections. Some of the money shown has been spent on the redecorations.
She thanked Barbara for the bric a brac table which had raised £1,235 during the year. She commented on the gratuities for activity Christmas socials. This helps all activities have a social if required.
Beryl thanked Paul & Val Browning for organising the Potters holidays and racing and Games show evenings. She also thanked Barbara for organising outings and holidays. She commented that we take 10% of surplus from socials to go towards each annual She thanked Gill for keeping everyone informed via e-mails and notices etc., and Roy for all his help. Also a big thank you to Committee and members for all their help. Beryl told the meeting that she intended retiring next year or earlier if someone offers to take over.

Social Report
It’s been another busy year and the Social Committee have worked very hard to bring a variety of socials and events to the Club. Barbara has continued arranging holidays and outings and Rose has taken charge of finding and booking entertainers. Beryl, Wendy, Barbara and Rose have been in charge of food, when this was provided. Beryl is also responsible for keeping the money under control and Gill organises tickets and table plans.
From June 2023 we had coach trips to the Blue Bell Line/ Sheffield Park and the Camden Market/ Canal Trip. There were several Hoy Bingo evenings and Line Dance Socials together with a Dance evening combining Line and Sequence Dancing. Thanks to Derek Barnes and Roger Shillum for putting on an enjoyable evening.
Thanks to Paul & Val Browning for organising a TV Games Show and a Potters Holiday and others are planned for the latter part of 2024. In December we had the Christmas Lunch and Christmas Tea. Unfortunately we were let down again by the entertainer for the Lunch, so we’re trying something different this year. Other socials included Karaoke – Baad DJs, Strawberry Cream Tea, Barn Dance with the Royster Catchers. Duck soup entertained and was due to come back this May. Unfortunately we had to reschedule Steve Terry for 5[th] May, and we didn’t get enough members buying tickets for Duck Soup, so we had to cancel.
During 2024 until May 31[st] there was a New Year’s Day Party with Carousel and Karaoke evening with Baad DJs.
Roger Shillum offered to organise Saturday socials for some of the activities he and Sandra help run and Table Tennis, Kurling , Darts and Sequence Dancing were included in the activity socials during the year. Line Dancing and Bowling socials have already been held regularly for a few years now.
We had our first Quiz evening for some time and Caroline O’Connor was questionmaster. The questions were devised by Barbara and Caroline and Beryl was the adjudicator. Everyone enjoyed the ploughman’s meal provided.
Paul & Val Browning organised the Horse Racing Games and the May Potters Holiday and Barbara arranged a coach and river trip to Hertfordshire.
Unfortunately we have had to cancel two evenings of entertainment in May and August, also a Line Dancing social in July due to lack of numbers. Any ideas for entertainment appreciated. Perhaps you don’t want so many Saturday socials. Hopefully you have put some ideas down on the Suggestion Form which was available when you came in.

Election of Officers & Committee
The nomination notices have been on the boards for the required time. Roy Lee, Gill Pullen and Beryl Funnell had put their names forward again as Chairman, Secretary and Treasurer and received their proposers and seconders. No-one else was standing for these positions so they were duly re-elected..
The following people had put their names down again for Committee: Rose Menzies, Barbara Bourton, Janet Bayfield, Wendy Ransom, Thelma Rowell and Avril Harrison and were duly reelected. Pete Menzies had been co-opted onto the Committee earlier in the year and his position was ratified.

Life Member- Val Browning for all her admin work and input to assist Paul in organising the Potters Holidays and previous coach trips and the Horseracing/Pigracing evenings and TV Games shows held at the Club.
Club Charity
Proposed charities – Demelza, Porchlite, Salvation Army and Guardian Angels. Results:Demelza received 18 votes, Salvation Army 9, Guardian Angels 8 and Porchlight 4, therefore Demelza House was agreed as our Charity for 2024/25.
Any Other Business
There was a query on insurance for holiday cancellation, as this is not now always provided by coach companies and holiday venues. Travellers would need to find their own insurance in this regard, however not many insurers offer this.
